Job Title: Advancement Coordinator Reports To: VP, Advancement Department: Advancement Date: December 2019 Position Overview

The Advancement Coordinator will work directly with the entire Advancement team to support all fundraising programs and events- including the Annual Fund campaign, donor acquisition tactics, event logistics including Hall of Fame Enshrinement Weekend, Legends Ball, cultivation events and other ITHF programs such as TeamFAME. The Advancement Coordinator will also be responsible for assisting with direct mail renewals, database maintenance and other fundraising opportunities. Lastly, they will support all board communications including assisting in developing presentations for internal/external use.

Key Roles and Responsibilities

• Coordinate and facilitate fundraising programs including Bricks/Benches and “Name a seat”; • Support Advancement and Events Manager with logistics for all fundraising events with key focus on Hall of Fame Weekend, the Legends Ball; • Provide administrative support to team during annual budget process, identify new grant and corporate partner opportunities, support with preparation and writing of grants; • Support Database Manager during the ATP , Hall of Fame Weekend, Legends Ball and new cultivation events; • Execution of direct mail/email fulfillment and renewals of annual fund/ membership bricks and events; • Monitor and track documentation from all donors to guarantee the achievement of annual KPI’s with input from VP, Advancement; • Support SVP, Advancement with all ongoing communication with Board Members and constituents to develop pathways that encourage and foster event participation and prospecting; • Support all VIP engagement for Hall of Fame Weekend including coordination of hotel rooms, VIP travel and transportation needs, RSVP/Guest lists and seating plans; • Support team when needed with communications to committee members and meeting notes.

Requirements & Preferred Skills

• Strong written and oral communications skills required; • 2 – 3 years fundraising experience; • Excellent writing ability and previous experience supporting senior leadership; • Excellent computer skills, experience and knowledge of Raiser’s Edge, Social Tables, Excel, PowerPoint, Hubspot and event related programs a plus; • Ability to execute effectively in a timely manner; • Strong organization, planning and communication skills, with ability to handle multiple projects at one time; • Willingness to work collaboratively in a team-oriented environment; • Undergraduate degree required; • Demonstrate a knowledge and appreciation of the sport of as well as comfort working with VIP’s preferred.

Travel

• Position may require some travel to NYC for Legends Ball

Location & Time Commitment

• Position is based at the International Tennis Hall of Fame in Newport, Rhode Island. • 40 hours per week, 9 am – 5 pm, Monday – Friday • Evening and weekend work is required from time to time to support special events.
