This guide encompasses all the key information you need to learn more about TVM, get a glimpse of the different positions, and understand the application process.

TVM is a student-run television station and production outlet that aims to become an intricate part of the McGill community. We, at TVM, work hard to provide entertainment and news for the McGill community.

These are TVM’s objectives:

• To be a creative outlet for any and all SSMU and PGSS members who wish to express themselves and explore the medium of video production ​ • To be a free educational institution for the McGill community, and a not-for-profit educational institution for the Montreal community at large ​ • To be a content producer and distributor by yielding high-quality content for a wide audience ​ • To be an accessible and active producer of content in conjunction with other McGill groups in order to engender positive community and promote opportunity for McGill students ​ • To be an enjoyable place to work by encouraging and stimulating growth and professional development for all members of TVM during their tenure with us

You may only apply for one position, but if there are other TVM positions that you are interested in, please indicate this in your cover letter/video.

Admin

TVM’s Admin is the administrative board that oversees the operations of the service. The Admin is responsible for ensuring the Constitution and Bylaws are adhered to and respected, and have the responsibility of making impactful decisions for the future of TVM. The Admin is also responsible for ensuring student funds are appropriately and effectively allocated, and for monitoring the work of all members of the Exec. Admin Members should be organized and motivated, and have solid communication and interpersonal skills.

All Admin positions are paid from May 1, 2021 to April 30, 2022. Partial orientation will begin in April 2021.

If you are applying to be TVM President, you MUST be located in Montreal next year. If educational instruction remains remote, you are not required to be located in Montreal next year if you are applying for other Admin positions, but it is preferred.

President

● Act as TVM’s liaison to SSMU; act as a spokesperson for TVM when required. ● Ensure the continued adherence and respect within the organization of the Constitution and Bylaws of TVM. ● Draft and manage contracts between TVM and third parties. ● Responsible for the coordination and mediation of the TVM Admin. ● Serve as the final decision-maker for any decisions that affect TVM, if necessary. ● Be constantly in-tune with the happenings within TVM and be in a position to prevent conflict or mediate any problems that may arise within the organization as a result of day-to-day operations. ● Set and implement the strategic direction for TVM in order to expand and/or continue to grow and succeed as an organization. 3

● Ensure that all members of TVM are fulfilling their responsibilities. ● Ensure that the interests of all members of TVM are considered and respected, including all students that have paid TVM’s student levy. ● Handle the administrative work associated with HR, including but not limited to employment agreements, reporting hours worked, etc. ● Handle the administrative work associated with creating and/or maintaining TVM’s alumni network, including but not limited to researching and reaching out to alumni, finding opportunities for alumni engagement, etc. ● Lead TVM’s efforts to institutionalize equity by coordinating equity workshops (i.e. with SEDE), facilitating the development of equity guidelines, etc. ● Schedule and attend, or arrange to have covered, three weekly Office Hours in the TVM Office. ● Attend weekly Admin meetings and weekly TVM Team meetings ● Attend TVM’s Bootcamp in September 2021. Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations. ● Must complete a thorough Exit Report within one month of vacating the position. ● This is a paid position.

Vice President Internal

● Record and make accessible to meeting attendees within reasonable time all meeting minutes from Admin and TVM Team Meetings. ● Oversee all administrative operations having to do with Exec and General Members, including recruitment, scheduling meetings, sending newsletters, etc. ● Run the weekly Admin and TVM Team meetings, preparing and distributing agendas in advance. ● Oversee the scheduling of Admin and Leadership Team Office Hours at the start of each semester; create an office hours sign-in process and follow up on missed office hours throughout the semester. ● Coordinate the TVM Education Program: oversee the scheduling of workshops and the General Member training, provide teaching resources to the Exec, maintain all records pertaining to General Members. ● Plan and execute internal communication efforts to Execs and General Members on a weekly basis. ● Plan and coordinate internal TVM events, including but not limited to Bootcamp (in Fall and Winter), Golden Tapes, Exec parties, etc. ● Plan and execute TVM social media in coordination with the Executive Producer and VP External. Such efforts may include, posting TVM videos on Twitter, Facebook, and Instagram, among other social media platforms, curating the TVM Facebook and Instagram pages, responding to TVM’s online fan base, leading social media promotional campaigns to increase TVM’s reach, etc. ● Handle the administrative work required to book rooms in the SSMU Building ● Schedule and attend, or arrange to have covered, three weekly Office Hours in the TVM Office. ● Attend weekly Admin meetings and weekly TVM Team meetings.

● Attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations. ● Assume presidential duties should the President be unable to fulfill their responsibilities or should the President position be vacant. ● Must complete a thorough Exit Report within one month of vacating the position. ● This is a paid position.

Vice President External

● Act as liaison to other McGill Clubs and Services; act as liaison to media outlets at other universities. ● Coordinate all contracts in which TVM collaborates with third parties and/or receives monetary compensation. ● Coordinate requests for media coverage of events from student and faculty groups, coordinating with the Executive Producer to share these projects with relevant producers or at TVM Team Meetings and liaising between the external parties and TVM’s Exec. ● Organize and coordinate advertising and promotion of TVM programming and events. ● Organize and coordinate TVM events, including but not limited to the Fokus Festival and Launch Party. ● Plan and execute TVM social media in coordination with the Executive Producer and VP Internal. Such efforts may include, posting TVM videos on Twitter, Facebook, and Instagram, among other social media platforms, curating the TVM Facebook and Instagram pages, responding to TVM’s online fan base, leading social media promotional campaigns to increase TVM’s reach, etc. ● Participate in TVM’s Editorial Board, approving all videos for technical and content quality and equity before release. ● Schedule to attend, or arrange to have covered, three weekly Office Hours in the TVM Office. ● Attend weekly Admin and weekly TVM Team meetings. ● Schedule and attend weekly 1:1 meetings with the Graphics Coordinator ● Attend TVM’s Bootcamp in September, 2021 (to be confirmed when offers are made). Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations. ● Must complete a thorough Exit Report within one month of vacating the position. ● This is a paid position.

Vice President Finance

● Allocate the budget to different initiatives, projects and/or productions, accounting for capital expenses, in accordance with TVM’s Finance Procedures and in a way that will best represent TVM’s mandate.

● Handle all operations in a timely fashion, including but not limited to reimbursements, purchase orders, and issuing invoices. ● Keep internal record of all TVM transactions. ● Reconcile the TVM credit card every month. ● Disseminate information regarding purchasing guidelines and the reimbursement process to the Exec. ● Work closely with the SSMU VP Finance to justify TVM’s budget and operations. ● Work closely with TVM’s to facilitate the purchase of equipment; work closely with TVM’s Chief Editor and IT Director to facilitate the purchase of software. ● Schedule and attend, or arrange to have covered, three weekly Office Hours in the TVM Office. ● Attend weekly Admin and weekly TVM Team Meetings. ● Attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations. ● Must complete a thorough Exit Report within one month of vacating the position. ● This is a paid position.

Executive Producer

● Implement the creative and strategic direction for TVM’s content. ● Be ultimately responsible for all creative output of TVM and for every of the production process. ● Ensure that all TVM output maintains high standards for quality, creativity, and experiential learning. ● Responsible for managing the week’s release schedule, and planning in advance to ensure the consistent release of videos. This includes, but is not limited to, creating and making public the weekly release schedule, using discretion to schedule and space out videos if needed, following up with producers, creating posts on the TVM Website, coordinating releases on social media (with the relevant person), etc. ● Coordinate Exec Members and Production Leadership Team, i.e. by holding Production Leadership Team Meetings, checking in with Execs on a regular basis and providing them with resources, guidance and feedback, etc. Ensure minutes are taken during meetings and be responsible for distributing them to the Production Leadership Team within reasonable time. ● Ensure all Execs are pitching projects regularly and meeting deadlines for their productions. ● Coordinate and participate in TVM’s Editorial Board, approving all videos for technical and content quality and equity before releases. Coordinating includes, but is not limited to, ensuring videos are properly uploaded to YouTube, sharing pertinent video information with the Editorial Board, notifying the Editorial Board of review deadlines, following up with producers to communicate Editorial Board concerns (if any) and their video’s status in the approval process, etc. ● Oversee all production operations having to do with General Members, including but not limited to engaging GMs in meetings and productions, offering guidance and resources, following up with interested GMs, and providing feedback. 6

● Offer, at minimum, three production-related workshops per semester. ● Schedule and attend, or arrange to have covered, three weekly Office Hours in the TVM office. ● Attend weekly Admin meetings, weekly TVM Team Meetings, and weekly or bi-weekly (at the Executive Producer’s discretion) Production Leadership Team Meetings. ● Attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations. ● Must complete a thorough Exit Report within one month of vacating the position. ● This is a paid position.

Chief Editor

● Oversee the Post-Production Exec Members. o Assign editing projects to Editors and General Members. o Keep track of all productions and their progress through post-production. o Ensure all editing deadlines are met; follow up with editors and producers when needed. o Ensure all Post-Production Exec Members are proficient in the required editing software. ● Participate in TVM’s Editorial Board, approving all videos for technical and content quality and equity before release. ● Offer, at minimum, three editing workshops per semester. ● Continuously search for improvements and instill best practices within TVM regarding post-production, organization, and utilization of editing software. ● Coordinate with I.T. Director to archive all videos. ● Work closely with the Executive Producer to coordinate production teams with post-production editing efforts. ● Oversee all post-production operations having to do with General Members, including but not limited to engaging GMs in meetings and productions, offering guidance and resources, following up with interested GMs, and providing feedback. ● Schedule and attend, or arrange to have covered, three weekly Office Hours in the TVM Office. ● Attend weekly Admin meetings, weekly TVM Team Meetings, and weekly or bi-weekly (at the Executive Producer’s discretion) Production Leadership Team Meetings. ● Attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). Leadership TVM’s Leadership Team is the backbone operations of the service, overseeing all daily production and the support needed for production to happen. These positions require strong interpersonal, communication, and organizational skills, and great time management abilities. They should be self-motivated and willing to take initiative.

All Leadership positions run from May 1, 2021 to April 30, 2022.

If you are applying to be TVM Tech Director or I.T. Director, you MUST be located in Montreal next year. If educational instruction remains remote, you are not required to be located in Montreal next year if you are applying for Music Coordinator or Graphics Coordinator.

Tech Director Reports to the President

● Oversee and manage the production equipment o Set up and ensure the organization and smooth operations of TVM’s equipment booking system. o Perform basic maintenance on any malfunctioning equipment. o Maintain an updated inventory of all TVM’s production equipment, relaying the information to TVM’s President and VP Finance and SSMU. o Ensure a comfortable stock of expendable production resources. ● Maintain a running inventory of TVM Equipment ● Be proficient in the use of all of TVM’s production equipment. ● Offer at least three production workshops per semester ● Continuously search for improvements and instill best practices within TVM regarding the use and organization of TVM’s production equipment. ● Provide production insight and advice to all members of the production team. ● Work closely with the Executive Producer to provide knowledge regarding the use of production equipment in order to improve the technical quality of TVM productions. ● Be in close contact with the VP Finance, Admin and SSMU regarding the current state of TVM’s production equipment and the expansion of TVM’s production equipment inventory. ● Schedule and attend, or arrange to have covered, two weekly Office Hours in the TVM Office. ● Work with the rest of the Exec in meeting the objectives of TVM. ● Attend weekly TVM Team meetings as a member of Exec (attendance to meeting will only be paid if Tech Director is carrying out education-related duties, for example a workshop) ● Attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations. ● This is a paid position.

I.T. Director Reports to the President

● Liaise with SSMU IT to ensure the correct administration of the server o Ensure proper security protocol is being followed o Ensure file access is maintained o Ensure adequate storage space is maintained o Ensure user accounts are maintained and updated o Work with SSMU IT to troubleshoot server failures ● Maintain editing computers o Ensure adequate local storage for scratch disks o Oversee software installation o Ensure user account system remains active ▪ This is done in conjunction with SSMU I.T. who administrate the main server ● Maintain old video archives o Ensure old projects are not lost o Access cold storage to recover old projects as needed ● Work with TVM Admin team o Ensure they are up to date with any action being taken o Ensure that they are aware of any system limitations or failures ● Additional Duties o Continuously search for improvements and instill best I.T. practices o Disseminate I.T. knowledge to any interested TVM members o Ensure continued functionality of the TVM Website and support updates and redesigns o Schedule and attend, or arrange to have covered, two weekly Office Hours in the TVM Office. o Work with the rest of the Exec/Admin team in meeting the objectives of TVM o Attend weekly Exec and Admin meetings o Attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations ● Relevant Experience o Working knowledge of Microsoft Active Directory and its implementation on Apple computers considered an asset o Working knowledge of FreeNAS / TrueNAS / ZFS filesystems and their implementation considered an asset o Experience in film considered an asset o Experience with editing software considered an asset ● This is a paid position with an expected schedule of between 1 and 6 hours a week

Graphics Coordinator Reports to the Vice President External

● Create and maintain a shared folder (i.e. Google Drive) with resources.

● Support TVM’s promotional efforts by providing graphics for posters, social media, workshops, etc., or assist other Exec in providing these graphics. ● Support TVM’s productions by providing title sequences or graphics (i.e. logos), or assist other Exec in providing these graphics. ● Provide resources, guidance and support for other Exec with an interest in graphics by assigning graphic design projects, ensuring exec are proficient in the required software, following up to ensure deadlines are met, and providing assistance as needed. ● Be proficient in Adobe Photoshop and/or Adobe Illustrator and/or Adobe After Effects. ● Continuously search for improvements and instill best practices within TVM regarding graphics, design, and publishing ● Schedule and attend, or arrange to have covered, two weekly Office Hours in the TVM Office. ● Provide, at minimum, one workshop in the area of Graphic Design per semester. ● Work with the rest of the Exec in meeting the objectives of TVM. ● Attend weekly TVM Team meetings as a member of Exec (attendance to meeting will only be paid if Graphics Coordinator is carrying out education-related duties, for example a workshop) ● Attend weekly 1:1 meetings with the VP External. ● Attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations. ● This is a paid position.

Music Composer Reports to Chief Editor Composer position begins September, 2021 and runs through April, 2022. All orientation will occur in the Fall.

● Create and maintain a shared folder (i.e. Google Drive) with resources. ● Support TVM’s productions by providing music for TVM projects ● Provide resources, guidance and support for other Exec through occasional workshops and support to Admin during music software purchases ● Schedule and attend, or arrange to have covered, two weekly Office Hours in the TVM Office. ● Provide, at minimum, one workshop in the area of musical composition per semester. ● Work with the rest of the Exec in meeting the objectives of TVM. ● Attend weekly TVM Team meetings as a member of Exec (attendance to meeting will only be paid if Music Composer is carrying out education-related duties, for example a workshop) ● Work with the rest of the Exec in meeting the objectives of TVM. ● Attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). Holding this position is contingent on attendance at Bootcamp, except for in extreme and unforeseeable situations.

● This is a paid position. Production and Post-Production Team

If educational instruction remains remote, you are not required to be located in Montreal next year if you are applying for Producer or Editor, but it is preferred.

Producer Each producer is encouraged to explore as many aspects of production as they would like throughout their time at TVM. Producers may engage in all elements of production, from planning to cinematography, costumes, design, etc. and working with editors. A producer may choose to focus their time at TVM on a specific aspect of production (like costume or set design, or sports). All producers can pitch, produce and/or work on videos in any area of !

Producer positions begin in September, 2021 and run through April 30, 2022. All orientation will occur in the Fall.

● Report to the Executive Producer. ● Coordinate logistics pertaining to video shoots, including but not limited to ensuring all crew members are on time, having the relevant contact information, and having the relevant experience. ● Responsible for contacting subjects for interviews, if relevant. ● Exercise some choice in selecting projects to produce or help produce, depending on personal interest and on TVM’s needs. ● Meet the production quota of, at minimum, 2-3 videos per semester, as set by the Executive Producer. ● Provide, at minimum, one workshop in the area of pre-production or production per semester. ● Encouraged to learn about and get some experience with video editing as well! ● Work with the rest of the Exec in meeting the objectives of TVM. ● Attend weekly TVM Team meetings. ● Must attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). ● Producers are highly encouraged to learn to edit their own projects and the tools to do so will be provided for them. ● This is an unpaid position.

Editor Each editor is encouraged to explore as many aspects of post-production and production as they would like throughout their time at TVM. All editors can pitch, produce and/or work on videos in any category/ area of filmmaking!

Editor positions begin in September, 2021 and run through April 30, 2022. All orientation will occur in the Fall.

● Report to the Chief Editor. ● Collaborate with Producers and coordinate with the Chief Editor to ensure all TVM content is edited on time and with a high level of technical quality. ● Exercise some choice in selecting projects to edit or help edit, depending on personal interest and on TVM’s needs. ● Encouraged to learn about and get some experience with video production as well! ● Edit, at minimum, two TVM videos per semester ● Provide, at minimum, one workshop in the area of post-production per semester. ● Work with the rest of the Exec in meeting the objectives of TVM. ● Attend weekly TVM Team meetings. ● Must attend TVM’s Bootcamp in September 2021 (to be confirmed when offers are made). ● Editors are highly encouraged to produce their own content or to collaborate with others. ● This is an unpaid position. ● TVM has access to Final Cut Pro, the Adobe Suite, Affinity, Motion, Davinci
