The name of this association shall be Sigma Theta Psi, Iota Chapter, University of San Diego henceforth in this document it shall be referred to as Iota Chapter. B. In order to maintain on-campus status Iota Chapter must abide by USD’s policies and guidelines outlined for all Greek and student organizations. ARTICLE II: MEMBERSHIP A. Affiliation a. The Iota chapter membership will be open to all female students enrolled at the University of San Diego, regardless of race, creed, physical disability, or sexual orientation. The Iota Chapter may also accept into its membership any active member of Sigma Theta Psi who has already successfully completed the pledging process of Sigma Theta Psi at another recognized chapter, and who wishes to become an active Iota member. B. Membership Status a. In order to be considered an active member of Iota Chapter, members must fulfill the requirements in Article IV, Section 4.02, 4.02.01, of the Constitution of Sigma Theta Psi. b. Active members must maintain at least a 2.5 GPA, per USD guidelines. If ever an active member fails to hold the required GPA, she will fall under probationary status, as outlined in the Iota Probationary Status Guideline. The contents of this document may be subject to change by future classes, but only by a 2/3-majority vote by the active executive board. Active members are to abide by Iota Chapter Risk Management Policy, Contract Behavior for Sigma Theta Psi Sorority Members, the 2 Conduct and Disciplinary Probation for Sigma Theta Psi Sorority Members, and Attendance Policy. c. If a sister falls into or voluntarily becomes inactive status, she must sign and abide by the Iota Chapter Inactive Policy and the National Constitution. d. If a sister chooses to be active following inactivity, she is to immediately pay dues and is to sign and abide by the Iota Chapter Re- Activation Policy: Voluntary and the National Constitution to official become active again. e. Sisters from other chapters who become students at USD and wish to become active sisters at Iota Chapter will be given membership through a majority vote of all active Iota sisters and are to sign and abide by the New Sister Contract. f. Honorary Members: In order for anyone to be considered for Honorary Member status of Iota Chapter, an active Iota member must motion for the third party during any Iota business meeting. A discussion of any length of time must follow before voting. Such status will be granted by an unanimous vote by all current active members of Iota Chapter, whom all need to come to a unanimous consensus on which events and meetings the Honorary member may, and may not, attend. ARTICLE III: EXECUTIVE OFFICERS/DIRECTORS A. Qualifications for Executive Officers/Directors a. Anyone who wishes to accept nominations and run for an Officer position must have been an active member of Iota Chapter for at least a semester, refer to Article VIII. b. An active member of Iota may accept nominations and run for an Executive Officer position after being an active member of Iota Chapter for a year or more. They also must have previously held a Directors position. c. Exceptions may be made to these qualifications by a majority vote of the current Iota active sisters. B. Executive Officers/Directors of Iota Chapter that vary from the National Constitution consist of: a. Social Chair b. Multicultural Chair c. Academic Chair d. Recruitment Chair e. Fundraising Chair f. Community Service Chair g. Public Relations h. Pledge Educator i. Pledge Educator Assistant j. Panhellenic Delegate Last Modified: April 16, 2015 3 k. Panhellenic Junior Delegate l. Alumna Chair C. Committees a. Director positions that have the right to a committee are designated within the position description below. b. A committee consists of a group of Iota Chapter members who have volunteered to assist the chair in a particular task or major event. c. Chairs are to use committees as aids in completing tasks or events that correlate within one’s job description. Chairs are NOT to make committees do majority of their work but may designate small tasks to members. d. Chairs are always to be the main point of contact throughout the whole process of one’s event or tasks being completed. e. To become a part of a committee, the chair will announce the need for a committee. At this time sisters, who are willing to volunteer, are to notify the chair within 48 hours from the time of announcement. Among those who have volunteered, the chair will select her committee. Once an individual is selected to be a part of a committee, she can only disaffiliate from the committee due to extenuating circumstances (i.e. school, work, medical emergency etc.), by discretion of the chair, or when the committee has terminated. f. Committees are to terminate after the event or task has been completed or taken place. Committees may also terminate before completion of a task or event if the chair calls for it to terminate. D. Duties of Executive Officers/Directors a. All Executive Officers/Directors are to abide by Iota Chapter Calendar Policy. Executive Officers: b. President i. Represent Sigma Theta Psi, Iota Chapter at all functions, both on and off campus and provide leadership. ii. Oversee directors/officers iii. Inform of all active sisters of activities iv. Represent Iota Chapter at weekly Panhellenic meetings c. Vice President i. Work closely with the President in order to be informed of current events so they are able to assume the duties of President in their absence. ii. Will temporarily assume responsibilities associated with an office if an officer or director is unable to fulfill their duties. 1. The Vice President will maintain the duties of the office until the current executive board nominates and all active sisters vote as to who shall take over the position. d. Secretary Last Modified: April 16, 2015 4 i. Take role and accurate minutes at all meetings. ii. Keep an accurate attendance of active members at Sigma Theta Psi business meetings. iii. Abide by and enforce Iota Chapter’s Attendance Policy and Calendar Policy. iv. Distribute business meeting minutes to all members within 48 hours of meeting v. Assemble Iota Chapter event calendar that is to be made and distributed before the beginning of the new academic year. e. Treasurer i. Maintain updated accounts of financial records. ii. Collect and keep track of member dues each semester. iii. Keep record and control of all business transactions of the chapter, such as receipts, disbursements, gains, loses, and money pertaining to fundraising and the chapter’s philanthropy. iv. Record Iota Chapter’s bank account transactions f. Sergeant of Arms i. Ensure that sisters are conducting themselves in a manner that is respectable as well as professional during Sigma Theta Psi events and in accordance with Iota Chapter Risk Management Policy. ii. Maintain Robert’s Rules of Order and Iota Chapter Business Meeting Guidelines during business meetings. iii. Enforce the risk management policy at all social events. g. Historian i. Keep documentation and photographic records of all Iota Chapter events. ii. Keep records of all Iota Chapter family lines iii. Maintain and update Sigma Theta Psi Iota Chapter website at least once a week. h. Pledge Educator i. Educating incoming members on the values and history of Sigma Theta Psi, while following the pledge education program that is approved by both USD and National Board. ii. Report to National Board Pledge Educator and members of Iota Chapter on the progress of the pledges. Directors: i. Academic Chair i. Offer assistance and/or resources to active members and Iota Chapter pledges. ii. Keep a record of active members and Iota Chapter pledges’ GPAs. iii. Keep a record of Iota Chapter pledges’ and active member’s library hours. Last Modified: April 16, 2015 5 iv. Submit academic information to National Board Academic Director per semester j. Community Service Chair i. Serve as liaison between Iota Chapter and the community for events that benefit the community. ii. Plan and organize at least one community service event per month that is to be a minimum of two hours. k. Multicultural Chair i. Plan and organize at least one mandatory multicultural event, lasting a minimum of one hour, per month. l. Fundraising Chair i. Plan and organize at least three fundraising events per semester. ii. Propose and set annual fundraising goals and develop strategies to obtain them. iii. Shall develop and propose a budget for funding as well as organize and run any fundraising activities taken upon by the organization. iv. May appoint any active Iota member to assist and serve as needed in the form of a committee. m. Social Chair i. Plan and organize all social events between Iota Chapter and other fraternities/sororities, organizations, and clubs. ii. May appoint any active Iota member to assist and serve as needed in the form of a committee. n. Philanthropy Chair i. Plan and organize at least one philanthropy event (Breast Cancer Awareness) per semester. ii. May appoint any active Iota member to assist and serve as needed in the form of a committee. o. Panhellenic Delegate i. Represent Iota Chapter at weekly Panhellenic meetings.
