The minutes were available for reading. Mike Upton moved the minutes be accepted as being true and correct, seconded by Phil Saxton. Motion was carried. There were no matters arising.

Chairman’s Report:

Phil Saxton spoke to the report.

The regulations for the bar licensing are becoming more difficult but due to a lot of hard work from the house committee and other volunteers we have been successful in securing a license.

We have been blessed to be able to make appointments this year of Nick Risdon to the Game Development Officer role and Anka Browne to the Club Administrator role.

The Game Development Officer role is changing and becoming more focused on working in and with the community.

The report was moved by Phil Saxton, seconded by Jim Longstaff, carried.

Treasurer’s Report:

Mike Upton spoke to the report.

Player subscriptions are still low, and the incoming committee will need to put some work into this area. We received a grant that enabled us to upgrade the security system in the clubrooms. The Golf day fundraiser was a big success and congratulations to those that worked to make this happen. Paul O’Reilly ran another event raising nearly $1,000 for the players fund. Additional staff required for the bar impacted on the profits however this was required to meeting our licensing agreement.

Greg Hooper commented that since Mike started there has been several improvements and thanked him for his good work, professionalism, and transparency.

Game Development Officer

Nick spoke to the report.

A component of the job is WRFU tasks. Focusing from March to August on the club. The work with our secondary schools, Sacred Heart, HVHS and St Bernards will provide benefits to club. Most recent work has been focused on the Eagles Academy game, sevens training for the tournament and communicating with ex junior players. Nick is also looking forward to working with the junior club next year.

Eagles Supporter Club (ESC):

Mike Hally spoke to the report.

The ESC has 54 members who donate around $14,000 per annum to the fund. The ESC is well set up and running well and have had a good year of signing up new members. The brochure has been updated and new jackets were purchased for members.

Given the lightness of the new jackets, Warwick Stoupe questioned if there are any thoughts about getting something a bit warmer to wear? Phil spoke about new partnership with NZ Uniforms and advised that supporters gear will become more accessible through the NZ Uniforms shop on High Street. Jackets may be something that could be considered in adding to the supporter’s range.

Junior Club:

Ben Ross, Junior Club Convenor, introduced himself. The junior club has a strong base of volunteers on the committee and good number of coaches. The junior playing numbers are up.

Election of President:

Phil Saxton nominated Greg Hooper to the office of President, which was seconded by Mike Upton. There being no other nominations the motion was carried.

Election of Honorary Auditor:

Mike Upton moved that Brian Hall be re-appointed as Honorary Auditor, which was Seconded by Jim Longstaff. The motion was carried.

Election of Honorary Solicitor:

Max Parsonage moved that Nigel Stirling, Gibson Sheat be re-appointed as Honorary Solicitor, which was Seconded by Mike Hally. The motion was carried.

Election of Treasurer:

Phil Saxton moved that Mike Upton be re-appointed as Treasurer, which was Seconded by Jim Longstaff. There being no other nominations the motion was carried.

It was noted that others can be seconded onto sub-committees by the committee.

Mike Upton moved that nominations be closed, seconded by Max Parsonage.

Those nominated onto the committee were carried by the members present.

Patrons:

Greg moved that the Principals of St Bernard’s College and Hutt Valley High School along with the Director of St Patricks College, Silverstream be elected as patrons of the club. This was seconded by Mike Upton. The motion was carried.

Nick Risdon asked if there was a reason for these patrons. This is historical but Sacred Heart College should be considered. The committee will contact the Principal of Sacred Heart College.

Chairman’s Report I am pleased to report that despite the disruptions caused by COVID-19 during the 2020 season, the season finished with another successful year on and off the field.

Starting the period, the committee negotiated a new partnership with NZ Uniforms. This has given our club more transparency, a better working relationship and a shop in Lower Hutt that can display and promote our club attire. We look forward to working with NZ Uniforms as we work to build on this relationship.

The house committee have continued to look at ways to improve operations. Regarding our facilities, we have been fortunate to receive funding to carry on with the much-needed repairs and maintenance in the green room. This work will take place in the offseason and includes replacement of the artificial flooring etc. Other R&M in the pipeline approved by committee include replacing front and rear doors, painting of the clubrooms, gym floor and some other minor repairs etc.

Regulations are tightening up when it comes to the serving of alcohol and food and I am pleased to report we have added another two licensed bar personnel, food and hygiene licenses are in place and we have processes to monitor as required. I would like to thank Anka and Stu for their efforts in getting these measures in place.

The Rugby committee, with Nick Risdon as GDO who has been reappointed until December 2020, have worked tirelessly on presenting our player base with the best possible outcomes given the climate this year. I am happy to report the season ran with precision and would like to thank all involved in what made the season, the season it was!

Dave Merritt has joined the Rugby subcommittee and has also taken on the role of Club Captain. We look forward to working with Dave as we look to continually improve and strengthen our Rugby community.

With six teams taking the field this year, I would like to congratulate all teams on their season. It was great to see two of our teams at Petone Rec on finals day. Congratulations must go out to our Colts who won their final. Also, to note our Premier reserves for making their semifinal, our Premiers for making the Hardham cup final and of course let us not forget our woman’s team who finished 4th overall in an improved performance on last year. Our under 85’s again had great numbers and a good season. Well done to Santell and our Presidents who were unbeaten this year and took out their championship.

This year the sponsorship committee acquired new sponsors, and this has been an area of the club that continues to grow. We had to postpone our corporate golf day due to Covid and a date will be set for early 2021 for another successful and enjoyable day I am sure. We thank all those involved in working this area of our club.

I would like to take this opportunity to personally thank our committee for your time, governance, and management over the last 12 months. Thanks also goes out to the many volunteers, coaches, managers that make our club what it is today. Our plan is quite simple, and the four pillars are to show respect, have inclusiveness, to strive for excellence and to make sure we are all having fun. The cement that holds this together is our SOAR AS ONE purpose.

The best is yet to come.

Treasurer’s Report I am pleased to report that despite the disruptions caused by COVID-19 during the 2020 season that the committee has worked diligently to maintain its strong income streams whilst controlling expenditure, resulting in the reported increase in income before depreciation and amortisation of $23.7k on last year.

On behalf of the members I would like to express our thanks to the Sponsorship sub- committee for the work they do each year to ensure that the club remains viable, as can be seen from the income received from our generous sponsors and from the community trusts. It should be noted that there is an additional $32k of trust funding income being held in the Balance Sheet for the upgrade of the Green Room artificial turf, which is planned to be undertaken during the off season.

A pleasant surprise this season has been the high level of player subscriptions received, even after they were reduced from $150 to $120 per player as a result of the WRFU waiving their affiliation fees and being a team down (the Baba’s) on last year. Thanks to Mo, Nick and the team managers for this sterling result.

Unfortunately, due to the lock down restrictions of COVID-19 we were unable to generate any income from the golf day and movie night. Also, with the bar being closed, except for when we were in level one, the net income from trading is well down on last year. For those days when we were able to open, the members certainly showed their appreciation to get along to the games and then onto post-match discussions in the clubrooms, with average trading be higher than in previous years. This along with a price increase for the first time in the last four years has resulted in nett income being in line with last year.

Overall expenditure is down by $25k on last year as a result of the controls put in place for COVID-19 and it being a shortened season. Included in the expenditure are the costs associated with the prizegiving that was held in October, along with the associated bar revenue.

Congratulations to the Under 21’s for winning their final, as well as to all our teams for fronting week in week out during a disruptive season.

I am sure that we are all hoping for a less disruptive season in 2021, but I will be planning for the worst case scenario, ensuring that the costs savings made in 2020 are carried through into 2021 where it is practical to do so.

1) Statement of Accounting Policies

Basis of Preparation These accounts have been prepared in accordance with accounting practice generally accepted in New Zealand.

Debtors This amount is based on the Club's assessment of amounts owing to the Club at balance date that will be received in cash subsequent to balance date.

Fixed Assets Buildings are valued at depreciated replacement cost. Furniture & Equipment are valued at cost less accumulated depreciation.

3) Intangible Asset The Intangible Asset represents contributions made by HOBMRFC towards the cost of the artificial turf construction.

The contributions entitle HOBMRFC exclusive use of the artificial turf during the rugby season for the anticipated life of the pitch which is projected to be between 6 and 11 years.

The Intagible Asset is being amortised to the Income & Expenditure statement over a period of 6 years.

Game Development Officer Report Well what a year 2020 was! Very challenging, but very rewarding at the same time.

It was great to be able to field six teams in 2020 and maintain our player base despite the obvious challenges. I would like to think this gives the club a great platform to build off for 2021 and into the future.

The focus of my role is coach/player development and promoting HOBM rugby (both Senior and Junior), as well as supporting rugby in our local community at Premier and Secondary levels.

I was also lucky enough to be involved with the Premier team in a coaching capacity and learnt a great deal working with Bus (Dan Vulu) and Gibbo (Phil Gibbo), as well as from the players.

Some of the personal highlights for me over the past 12 months include:

Working with the Sacred Heart College 7’s team

In 2019, we surprised everyone by making the Cup semi-final, losing in injury time to St Mary’s College.

In 2020, we came back with many from the 2019 team and made the final – thus qualifying for the National Condor 7’s to be hosted in Auckland in early December. With half the team still eligible for Under 15’s, I think this bodes well for the future of SHC rugby, and Hutt Valley Women’s rugby.

HOBM 7’s

The 2019 WRFU American Ambassadors 7’s Series was very successful for HOBM. We were one of two clubs that fielded Men’s, Women’s and Colts teams.

Our Men’s and Colts teams won their respective grades while the Women’s team finished a very creditable 4th overall across the two tournaments.

In winning the 2019 WRFU American Ambassadors 7’s Series, we qualified for the Club 7’s Nationals which was hosted by Norths. Allocated into the pool of death (both Cup finalists were in our pool), the team eventually lost the Bowl final.

We are now preparing for the 2020 WRFU American Ambassadors 7’s Series which is made up of two tournaments to be played 7th and 14th Nov.

Premier Reserves Resurgence

As a club we have struggled in this space for a number of years with numbers and results. However, a top 4 finish and strong playing numbers were a real highlight and helps build depth as a club.

Leadership, Employment and Mental Fitness workshops

A big focus for me was having opportunities to be a better person, as well as a better player. With this in mind, we delivered three workshops as part of an Eagles Personal Development Programme (EPDP). The workshops covered Leadership, Employment and Mental Fitness.

Mani Malaeulu of Empowerment Training facilitated the Leadership and Employment workshops for us. While we were fortunate to have NZ Rugby and Nehe Milner-Skudder to facilitate the mental fitness workshop.

Hutt Valley Women’s Rugby

I was part of a group that delivered two sessions that were open to ALL Hutt Valley based female college rugby players. The sessions covered four critical rugby skill areas – Catch and Pass, Tackle, Breakdown and Ball into Contact. Over the two sessions we had 40+ college girls attend, with 8 schools represented.

We also organised two games for a combined Hutt Valley Women’s team against Western Bays Women’s (12 September and 19 September). The team was made up of players from HOBM, Petone, Avalon, Wainui and a few from other clubs with links to the Hutt Valley.

The third initiative in this space was an Under 15’s girls development day during the October holidays which involved over 20 girls. The morning comprised of skills with games in the afternoon.

All three initiatives were aimed to help grow the Women’s game and provide development opportunities.

Under 12/13 Player Development Day

We successfully ran a Player Development Day targeted towards our Under 12 and 13 players. Over 40 Under 12/13 players were taken through skills by members of our Premier team. Skills covered were: Catch and Pass, Tackle, Breakdown and Ball into Contact, as well as some positional skill content.

Return to the Nest programme

The 2020 Return to the Nest Programme proved to be hugely popular with over 65 players being a part of the programme, in its first year.

Games were played against Wainui, Petone and Norths at Under 14, Under 16 and Under 18 levels over 3 consecutive Saturdays.

The overall purpose of this programme is to reconnect with our Eagles Juniors, and maintain a connection, so once they leave school, they “Return to the Nest”. It is also about providing a positive and supportive environment to help keep kids playing the game.

All feedback received has been very positive with everyone looking forward to next year.

Premier Report The Capital City Motors Premiers were losing Hardham Cup finalists in a season like no other. The team fought hard but were unable to overcome a tough Wainuiomata side losing 17-15.

Pre Covid The team had an excellent preseason culminating with a young side heading the Spillane tournament in Napier. The team played well both days and led the final only to lose to Napier on the full-time whistle.

COVID Lockdown came right in the middle of the weeks prep for Swindale Shield Round 1. The team stayed connected through lockdown with regular zoom catch ups. As we moved down the levels, we were able to set up small training bubbles for conditioning blocks to occur.

Return to Play We effectively started preseason all over again with a two-week window to ready ourselves for a full Swindale shield round.

The team started the season well with wins over ORIES, Wellington and Johnsonville. Unfortunately, we lost two key forwards to season ending injuries over those games.

We then entered a tough three weeks that would make or break our chances at making the Top 4 for Jubilee Cup. While the effort was there, we lost key moments over consecutive weeks to lose to Norths, Tawa and Petone.

With the season in the balance with a 3 win and 3 loss record, the team recovered well to win the next 3 games including a quality win over MSP.

A disappointing loss to Upper Hutt was followed by team best effort of the season. The eventual Jubilee Cup champs OBU were beaten in the 79th minute.

The regular season was completed with wins over Poneke and Avalon. The team finishing the Swindale Shield in 6th place which in normal seasons would have qualified the team for Jubilee Cup rugby. In 2020, 6th meant a home semi-final in the Hardham Cup.

Post Season A home semi-final against an inform ORIES side was always going to be a tough game. While spending long periods of the game hanging on, the team were able to score crucial points when it mattered to win 27-21.

The finals opponents Wainui were Jubilee Cup finalists in 2019. They are a very experienced and finals hardened side. While we scored 2 trys to 1, Wainui kicked some crucial penalties and ground out a good win.

Presidents Report

2020 has been a up and down season with Covid... we started with a great Spillane in Napier going down in a tight battle to the home team. We were pumped for a big season when Covid put a spanner in the works with a delay to the season. This helped the presidents in making the hunger to play stronger for the boys training in groups and ready to hit the ground running when season finally started.

The boys were strong from the get-go, beating both North’s sides (in the past the hardest teams in the comp) and beating valley rivals Avalon and Wainui, taking the cup put up by Yogi Rogers. We finished the season undefeated, but this was all down to the hunger and hard work the boys put in off the field with culture events, fitness trainings at Avalon park, and having each other’s backs the whole way!

Was great to have some new blood in the team this year and believe most will be in it for the long run! Great season for the Eagles once again, proud to be a part of a great club with great people!!!

Junior Club Report The 2020 season for the Junior Club was again a success but had its challenges due to the Covid19 Pandemic. We had a nervous couple of months wondering if we were even going to get to play rugby. Original club registration dates were cancelled, and members were encouraged to register online, we were finally able to hold club weigh ins in late May with junior rugby games starting on 19 June. This year we had 329 registered players making up 1 U13, 3 U12, 3 U11, 3 U10, 2 U9, 3 U8, 1 U10/11 Rip, 4 U7, 2 U6 teams and 35 children registered for the nursery grade. Numbers are down on previous years, but we are not sure if this is due to declining numbers in rugby in general or the impact of Covid19. However, we are still one of the larger junior clubs in the Wellington region. The season operated under several restrictions with limited numbers allowed at trainings and games along with having to physically distance and contact trace. We were just grateful that we were able to play rugby. Disappointedly we were unable to have any club exchanges and several tournaments were cancelled including the tour to Manly. However, the Manly tour were able to provide an excellent tour to the Bay of Plenty instead. Prizegiving also had to be cancelled but teams replaced this with their own smaller celebrations and the U12’s and U13’s waited to hold a prizegiving once restrictions eased. The Junior club is supported by an amazing group of volunteers. Thank you to our committee, coaches and managers who work so hard throughout the year to ensure we can provide a positive, inclusive, fun environment for our rugby players. We also need to thank the staff at the WRFU who worked so hard to get the kids playing in such challenging times.

Eagle’s Supporters Club Report

The Eagles Supporters Club is a vehicle for individual club members to contribute financially to HOBM RFC and is separate from corporate sponsorship of the Club. All Eagles Supporters Club members are automatically honorary members of the Club. There are three membership levels depending on the amount of financial contribution which is set at either of $10 (Silver), or $20 (Gold) or $50 (Platinum) per month.

The Eagles Supporters Club primary objective is to “assist the main club committee maintain a financially secure and sustainable rugby club and maintain the goal of being the leading and most professionally run rugby club within Wellington rugby”. Practically speaking - this is achieved via funding from the Eagles Supporters Club for the likes of player and coaching development, assisting with new or replacement capital assets the Club requires, providing training resources, supporting the Clubs rugby programmes and Colleges. And not least, to assist with building a strong sense of community and belonging to the Club by and for our members. Funding requests are initiated via formal application to the Eagle Supporters Club Trustees and all requests must firstly meet Eagles Supporters Club objectives and secondly Wellington Rugby Union bylaws.

Distributions for the year ended 30 September 2020 numbered 7 and totalled $18,512 (4 distributions were funded in 2019 totalling $7,234). Individual distributions for 2019 are detailed below. Funding recipient & amount Detail of funding HOBM RFC - $1,400 Funding to assist with HOBM 7's programme including HOBM representing WRFU at the National 7's tournament in February 2020 & HOBM Academy. HOBM RFC – HOBM Game Funding to assist with key initiatives driven by the Development Officer - $2,800 Club's GDO to benefit HOBM Club as a whole. More specifically - HOBM Eagles Personal Development Programme (PDEF) $1,200, HOBM Eagles Academy $800, HOBM Coach Development programme $800. St Bernard’s First XV - $590 Jersey sponsorship. HOBM RFC - $2,000 Assist with costs of HOBM RFC attending the annual Spillane Tournament for 2020. HOBM – Premier Team - $1,540 Meet costs of external & professional video analysis of the Premier team games for use by team members and coaches. HOBM RFC – HOBM Game Assist with partial funding for the employment of the Development Officer - $10,000 Game Development Officer role (Nick Risdon) for HOBM RFC Inc. over the 2020 year. St Bernard’s First XV - $182 Hosting costs of providing after match function for St Bernard’s 1st XV post their traditional rugby match verses Hato Paora College played at Hutt Rec.

Total Eagles Supporters Club annual member contributions under its current structure (since 1 January 2015) as at 30 September 2020 total $77,958. Total approved distributions over the same relevant period total $78,815 (excludes any costs).

The Eagles Supporters Club experienced no losses of membership numbers for YE 2020 ending the year with 55 members compared with 54 for YE 2019 an overall a net gain of 1 member. This is an extraordinary outcome in a year where Covid-19 impacted heavily on our day to day lives and indeed on all our activities throughout much of 2020. On behalf of all of the Eagles Supporters Club Trustees & Committee Members and indeed HOBM RFC Committee a sincere thank you for your continued support of our Club over these unprecedented times. Total member contributions plus interest from 1 October 2019 to 30 September 2020 amounted to $14,849 ($12,771 for the previous year). Well done to each of you. Simply brilliant.
