The hire fee will be £40.00 all inclusive which is the discounted rate to take into account the reduced facilities which will be available as a result of our extension project. Your attention is drawn to the Operating Policies of the Village Hall (http://villagehall.chelveston.org.uk/policies/) and in particular to the Standard Conditions of Hire. In hiring the Village Hall you will be deemed to have agreed to these conditions. If you are using a sound system please set up the speakers etc on the stage near the front door so that they are not adjacent to School House. This helps the tenants next door. If you want to stick things up for the event feel free to use the green screens which work well with bluetack or Velcro dots, or use the picture rail. Take care with blue tac on the walls as the paint can come away and obviously I'd rather it didn't!! However, you can of course us the temporary wall for materials! You can use all the tables and chairs in the store cupboards or around the hall for your event. I'd be grateful if you would put them all back as you found them as it makes the next hiring easier to manage. Arrangements for access will be sent to you nearer the time, please call a few days before in case you don’t receive them. If your guests wish to use internet access the access code is CVH2010-12-10. We’ll need payment at least 2 weeks beforehand as you live outside the Village. I can take cash, cheque, PayPal or direct bank transfer. Let me know which you prefer and I can invoice you. Bank Name: Lloyds Bank Rushden Account Name: Chelveston Village Hall Sort Code: 77-21-06 Account No: 04217360 Please could I have full contact details with address and both mobile numbers in case there are any issues I need to discuss If you have any questions at all, please give me a call at any time on my mobile. The host would normally reverse their car down the side of the Village Hall to make it easier to unload provisions into the kitchen. There is also space for another 4 cars on the drive and forecourt of the hall. There are then 40 spaces on the grass car park next door. Although this is a grass surface, it has a re-enforcing mesh underneath it which should be usable in most weathers. In the rain, grass can be slippery so please encourage your guests to take care! Similarly, if guests are wearing pointed high heels, grass and the mesh can be a challenge. In extreme weathers, we may close the car park, in which case we revert to parking on the road side. ACCESS - The village hall is accessed via the door at the side which has a combination lock on it. This door can be latched open during the event to allow items to be easily unloaded as required. THE MAIN FRONT DOORS (inner and outer) can then be unbolted from within. THE SLIDING DOORS - They weigh 1/4 tonne each and can come off their tracks if moved too quickly so take care to move them slowly. Alternatively, let me know whether you want them open or closed and I will arrange it. THE FIRE EXIT DOORS - please please please, keep these clear during your event and make sure that they are not blocked by chairs or tables when you clear up later. LIGHTS – The light switches are on the right hand wall as you face the inside front door. The topmost two control the porch and outside front lights. The upper square panel controls the far room lights and the lower square panel controls the first room. All the lights in the toilets, kitchen and area between hall and kitchen are mini-fluorescent, and take a short while to come up to full brightness after switching on. FRIDGES - These will be switched on for you event during the day so that they are cool enough for you. At the end of the day, please clear out the fridges and switch them off - leaving the doors open. We now have a freezer compartment on one fridge for ice cream or ice etc. HEATING - The main heaters are controlled by switches to the right of the front inner door. The heaters in the first room are switched by the R.H. pair of switches and the far room by the L.H. pair. Please do NOT turn the heaters off by using the switches next to the heaters, - these are isolating switches only. RECYCLING - We can now recycle all of the following - glass, cans, hard plastic (NOT the film off the top of meat trays, NOT plastic bags, NOT polystyrene), paper, cardboard, juice cartons, bottle tops, tin foil containers. Please rinse all of these out and put them in the GREEN bin outside. FOOD WASTE - Please put the food waste (cooked and uncooked but no plastic or paper) into the small green caddy next to the bins and ensure that the top is firmly closed. NON-RECYCLABLE RUBBISH - should be almost nothing! Put this into the orange plastic bags and then into the black bin outside. CLEANING - All Hirers are asked to leave the hall in a clean and tidy condition, ready for the next hirer. ON LEAVING the hall, please ensure that the two fire doors are closed and bolted. (These are situated - one in the far room, and one in the kitchen.) Finally, ensure that the inner and outer front doors are bolted, that the heaters are switched off. [Please note that the heater fans are likely to continue running after you have turned them off to prevent them overheating.] All lights turned off, and finally unlatch the side door that you came in by and pull it shut.
