NOTICE

Notice is hereby given that the 27th Annual General Body Meeting of the Association will be held at the Registered office, AEA Building, Kokkalai, Thrissur on the 6th May 2016, Friday at 7 pm to transact the following business as per clause 11 of the byelaws.

1.To receive, consider and adopt the Secretary's Report and audited Balance sheet and the income and expenditure accounts of the Association for the year ended March 2016.

2.To appoint the Auditors for the year 2016-2017 and for their remuneration. The retiring Auditors M/s V. Venugopalan & Associates are eligible for reappointment.

SECRETARY'S REPORT

With great pleasure and privilege I would like to present the 27th Annual Report of our Association for the year 2015-2016. Our Association founded on 29th March 1989 comprising of Architects and Engineers of the society plays an important role in bringing the fruits of science and Technology to the doorsteps of common man.

The 26th Annual General Body Meeting of 2015-2016 was held in the AEA Hall, Kokkalai on 28-5-2015. The Secretary presented the Report and after discussions the Report was adopted. The treasurer presented the Audited Accounts for the year 2014-2015 and the accounts were passed by the General Body with applause by members. As nominated by the nomination committee the following members were elected unanimously as the office bearers of the association for the year 2015-2016. President : Er. S. N. Ar. Prof. Bejene S Kothari, HOD, Government Engineering College, Thrissur felicitated the function. The Student Merit Awards (Cash with a Citation and Memento) were given to the best final year students of 8 branches of Engineering selected from the various Engineering colleges of . Winners were from GECT, Jyothi Engg. College, Nehru College, Sahrdaya College, Vidya Academy of Science & Technology, Thrissur. Er. T.C. James Endowment award was also given to the best prefinal year Civil Engineering student of GECT. Our charity of providing financial assistance installment was handed over to one needy student of GECT.

WORLD HABITAT DAY- First Monday of October (5th October 2015) Venue : Hotel Pooram International, Thrissur Theme : " Public Space for all" Guest of Honour : Dr A Kousigan IAS, District Collector, Thrissur Key Note Speaker : Ar. Dr. Harimohan Pillai C A Venugopalan V, President TMA, felicitated the occasion. 4. FOUNDATION DAY-23rd November 2015 Venue : AEA Hall, Kokkalai Guest of honour: Mayor, Mrs Ajitha Jayarajan Eminent engineers of Thrissur – Er P.U. Davis, Er. T.R. Krishnan, Dr. M.R.Sreedharan Nair were felicitated for their valuable contribution to the society. AEA members who passed away during the period from the inception of the association were remembered. Some of the family members were also present in the function. Senior Members of the Association who had celebrated their 70th birthday were honoured with 'Ponnada' during the function. 5. NEW YEAR DAY- 16th January 2016 Venue : Hotel Merlin International Ltd, Thrissur. New Year Day was celebrated on 16th January 2016 with family at Merlin International Hotel lawn with variety of entertainments by members and family. The program was inaugurated by Shri Anup Shankar, famous playback singer. Various cultural programs were organized which included quiz competition, musical concert, lucky Dip etc. An amount of Rs 10,000/- was donated from AEA Social Responsibilty Fund to Shri Santhosh John Thooval, President Press Club Thrissur as donation towards Endosulfan Victims in Kasargod.

EXECUTIVE COMMITTEE MEETING: The Executive Committee met 12 times on 03/06/2015, 11/06/2015, 01/07/2015, 05/08/2015, 01/09/2015, 07/10/2015, 04/11/2015, 02/12/2015, 06/01/2016, 04/02/2016, 03/03/2016 and 06/04/2016. All the meetings were conducted in our AEA Hall. All decisions pertaining to the betterment and smooth functioning of the Association were taken by the committee in time.

RESOLUTION TO AMEND THE RULES & REGULATIONS: The General Body Meeting of Architects & Engineers Association, Thrissur held on 19th March 2016 approved the amendments/additions to the following clauses of the existing Bye Law for the proper and better execution and efficient functioning of the Association: Clause No. 6.2, 6.3, 7.1, 7.2, 7.3, 8.1, 8.4, 8.9, 8.10, 9.10, 9.12, 9.13, 10, 11.1, 11.2, 11.8, 11.9, 12.1 and 13 BEREAVEMENT: We, the members of AEA, Thrissur deeply condole the demise of Er Parthasarathy P K and Er.S.J Mathew during the period of this committee. We also offer our thoughts and prayers to the departed souls along with our heartfelt condolences to their bereaved families. Condolence messages were sent to the families in time by the association.

MEMBERSHIP: We have enrolled 19 new members to the Association this year, which makes the total AEA membership count to 275 as on 31.03.16. We have lost 30 members totally so far due to their sad demise as on 31.03.16. FINANCIAL STATUS: Our Association is having a Fixed Deposit of Rs.8,52,000 /- in as on 31.3.2016. An amount of Rs.2,77,587.18 /- in SB A/c of SIB Main TSR as on 31.3.2016. A cash balance of Rs.799.00 /- is also in the chest. An investment of Rs 2,00,000/- has been made in mutual fund. An advance of Rs 1,00000/- has been made for TECHNIER- AEA handbook and an advance of Rs 30000/- has been made towards AEA Members Directory.

LEGAL MATTERS:

Thrissur corporation electricity Wing had served a demand notice on 25.09.2004 to pay arrear electricity bills for an amount of Rs 1.72 Lakhs for the period from 04/1997 to 03/2001. On receipt of notice AEA had filed an OP no. 1213/2004 dated 25.09.2004 before the District Consumer Redressal Forum, Thrissur. This case was disposed ex-parte on 15.07.2007 in our favour. Thrissur corporation filed an appeal before the State Consumer Disputes Redressal Forum, TVM in Appeal No. 176/2007 and this case was also disposed on 28.05.2010 in our favor. Consequently Thrissur Corporation filed Revision Petition RP No.4091/2010 before the National Consumer Disputes Redressal Commission, New Delhi and was disposed on 13.01.2016 against us. Then AEA filed Special Leave Petition No. SLP©5986/2016 before the Supreme Court of on 11.02.2016 for relief. The Court heared the SLP on 14.03.2016 and disposed by granting AEA the Liberty to make representation to the ElectricalAuthority of Thrissur Corporation for reduction of the amount if permissible. A copy of the Supreme Court judgement has been handed over to the Deputy Mayor, Thrissur Corporation on 01.04.16. He has agreed to take up the matter for consideration after the Assembly Elections 2016

AEA SOCIAL RESPONSIBILITY PROJECT: As a start up of the Social Responsibility Project for the year, AEA donated a Drinking Water Purifier to St.Augustines' Convent L.P.School ,Kokkakai on 22.07.2015.

AEA sponsored an annual subscription of Manorama News Paper to St Joseph Higher Secondary School.

An amount of Rs 10,000/- was handed over to Shri Santhosh John Thooval, President Press Club Thrissur as donation towards Nallapaadam Project of Malayala Manorama for the Endosulfan Victims in Kasargod during New Year Celebrations 2016.

The Association handed over a variety of vegetable seeds to the Principal and PTA President of St. Augustines Convent L.P.School ,Kokkakai.

ONAM CELEBRATIONS 2015: The Association celebrated Onam 2015 in AEA Hall, Kokkalai, Thrissur on 22.08.2015 with variety of programs and ona pookalam. The celebrations were followed by “Delicious Ona Sadhya”.

AEA HAND BOOK – “TECHNIER” & AEA MEMBERS DIRECTORY: In connection to the Silver Jubilee Celebrations last year, the Association decided to release a handbook for Architects and Engineers. Er N.V. Balagopalan was nominated as the Convener with Er Jossy Raphel, Er N I Varghese, Er P I Varghese and Er V R U Menon as handbook committee members. The Association also decided to release AEA Members directory. Er M unnikrishnan was nominated as the Convener. The AEA Hand book - “TECHNIER” and the AEA members’ directory are ready to be released by the end of April 2016.

AEA - 2016 YEAR DAIRY: First time in the history of AEA, the Association distributed “AEA New Year Dairy” as a compliment to all the AEA members during the New Year Celebration 2016.

AEA TECHNICAL VISIT: The Association organized a one-day technical visit to “UltraTech Ready Mix Concrete Plant” at Kalammassery on 24th February 2016. The technical visit was followed by site seeing which included places like Wellington Island, Mattanjery Market, Jewish Synagogue, Cheena Vala, cruising through backwater. Various entertainment programs were also organized by the AEA members. ACKNOWLEDGEMENT I extend my sincere gratitude and thanks to all the members and their families for their esteemed co operation and active participation in various activities of AEA. My sincere thanks are due to the Guest Speakers of our various functions for contributing their valuable suggestions for the betterment of the Association activities.

I would like to place on records my sincere thanks & appreciation to our President Er.S.N. Prasad for getting record sponsorships for our various programs during this year. I also place on record, with thanks, the valuable assistance extended to us by Er.Jose Thomas in updating our accounts and consolidating it with a balance sheet as on 31.3.2016.

My sincere thanks are due to all the members who have helped us in getting good Guest speakers. I also wish to express and register my sincere gratitude for the services and contributions rendered by our Past Presidents and Executive Committee members for the betterment of the Association. I take this opportunity to thank Er. C. G. Ravindranathan, past secretary, for his timely guidance & valuable support he has given me when and where it was required. I also thank our office assistant Mr V M Shashidharan for his valuable help and services he has offered to the Association. Before concluding let me thank our President Er. S N Prasad, Treasurer, Er. Jose Thomas, Joint secretary, Er. Krishnakumar S and all other members of the committee for their valuable support in making this year's activities grand success.

AUDITOR'S REPORT

We have audited the Balance Sheet as at 31st March 2016 and the Income and Expenditure account for the year ended on that date, attached here with, of ARCHITECTS AND ENGINEERS ASSOCIATION, AEA BUILDING, KOKKALAI, THRISSUR – 680 021. These financial statements are the responsibility of the Management. Our responsibility is to express an opinion on these financial statements based on our audit. We conducted our audit in accordance with auditing standards generally accepted in India. Those standards require that we plan and perform the audit to obtain reasonable assurance about whether the financial statements are free of material misstatement. An audit includes examining, on a test basis, evidence supporting the amounts and disclosures in the financial statements. An audit also includes assessing the accounting principles used and significant estimates made by management, as well as evaluating the overall financial statement presentation. We believe that our audit provides a reasonable basis for our opinion.

a. The accounts of the Association being maintained on cash basis.

b. Interests on various fixed deposits maintained with South Indian Bank Ltd, Thrissur main branch have been provided for the year based on the interest statement provided by the bank Income Tax Rules.

c. Depreciation on the fixed assets has been provided at the rate specified in the

d. Life Membership fee received from newly admitted members are capitalized.

e. Annual Membership fee of Ordinary members are treated as Revenue item.

Subject to the above;

1. We certify that the Balance Sheet and the Income and Expenditure account are in agreement with books of accounts maintained by the Association.

2. We have obtained all the information and explanation, which to the best of our knowledge and belief were necessary for the purpose of the audit.

3. In our opinion, the Association has kept proper books of accounts, so far as appeared from our examination of the books test checked.

4. In our opinion, and to the best of our information and according to the explanation given to us, the said accounts, gives a true and fair view:

a. In the case of Balance Sheet, of the ‘state of affairs’ of the Association as at 31st March 2016.

b. In the case of Income and Expenditure Account, of the excess of Expenditure over Income for the year ended 31st March 2016.
