BAE Systems Warton Sports & Social Association Fell Walking Section.

Notes for new guests & members - March 2013 - Version 3.

1 The club is a Section of the BAE Systems Warton Sports & Social Association and also, covers BAES Systems Samlesbury and Preston sites and is currently open to anybody wishing to enjoy a monthly day out walking. 2 The monthly outings usually take place on the third Sunday of the month except December which is on the second Sunday. Other dates that may change if they coincide are Easter Sunday and Mother’s Day. Please see the separate list for current venues. 3 The club operates two 49 seat coaches and has pickups across Coast, Kirkham and Preston area. Please see the attached list for details of pick up locations and times. 4 The club does not provide Walk Leaders but does provide details of up to six walks, usually designed to cover a good range of abilities. These walks do not have to be followed and walkers can submit their own route card. Your main obligation is to remain safe and ensure you are back on time for the return coach journey. 5 Solo walking is discouraged and for anyone joining the club on their own, every effort will be made for them to walk with a group that matches their ability and wishes. 6 Children are welcome but must be accompanied by a parent or an appointed guardian. 7 Initial outing with the club are usually as a guest and the cost is £12. Guests are welcome to come out with the club for up to four outing after which they are expected to become members.

8 For members the cost of outings is £10 with an annual membership of £10 less a refund of £2 for each outing that has taken place as a guest. Fell Walking Section Members should also be members of the Warton Sports & Social Association. 10 Within BAE Systems the Fell Walking Section has an intranet website which can be found through the Warton Site Sports & Social Association Web Site. 11 Bookings and cancellations can be made directly using a voice mail system on 01772 8 58042. 12 Cancellations will not be charged for if made before midnight on the Sunday prior to a walk. Cancellations and no-shows are expected to be paid for unless exceptional circumstances apply

Information for Prospective Members on BAE SYSTEMS Fell Walking Club Trips Extracts from Section Rules –

1. BOOKINGS 1.1. All members shall book on for each walk from the Monday following the previous walk.

1.2. Members who wish to bring guests shall provisionally book them on for each walk from the Monday following the previous walk and shall ring the Section dedicated voicemail system to confirm that there is a seat available for them, on the Tuesday before the walk. All bookings from Para’s 1.1 & 1.2 shall be made on a ‘first come - first served’ basis.

1.3. Guests are permitted to attend up to four trips, after which they are required to join as members of the Association and Section.

2. CANCELLATION OF BOOKINGS 2.1. Any member cancelling their booking after midnight on the Sunday week before a walk shall pay for their seat. Except in the exceptional circumstances of hospitalisation, or a close family bereavement.

3. SECTION SUBSCRIPTIONS & FEES 3.1. The Section annual subscription fee, of an amount fixed from time to time by the Section Committee, shall be due and payable by all members on joining the Section and renewable thereafter at the start of each Section year.

3.2. New member’s subscription fees shall be determined on the date of application and set at a suitable pro-rata value as necessary.(A new member joining in mid year would pay for 6/12 months, i.e. 50% fee)

5. ROUTE CARDS 5.1 Any one who is intending to do a walk, which is not on the walk sheet for that month, shall fill in a Route Card, which shall be handed to the Coach Leader, before the walk commences.

6. YOUNG PERSONS 6.1 Junior members (aged under 18 years) of a party are the sole responsibility of their parents or the person who brings them on the outing.

7. LATENESS 7.1 If a person or persons have not returned to their coach by the departure time stated on that month's walk sheet, the Coach Leader will delay the departure of that coach for up to 1 hour.

7.2 If, after 1 hour, the person or persons have still not returned, the coach will then depart, at the Coach Leaders discretion and the Police will be informed of their absence and their stated walk route. A person or persons, who arrive at the coach departure point after the coach has departed, shall inform the Police of their position, to avoid any unnecessary call-out and searching by the Police or Mountain Rescue. Any costs incurred will be the sole responsibility of the person or persons concerned.

10. COACH STOPS 10.1 At the discretion of the Section Committee and on the day, the Coach Leader, a stop of not more than 20 minutes duration shall be allowed on the outward journey.

11. WALK SHEETS 11.1 Walk Sheets are provided each month giving suggested walks for that venue. They are intended to be used in conjunction with the relevant map. However, everyone is solely responsible for themselves, and to select a walk which is within their capabilities for the time available and for the prevailing conditions of terrain and weather.

12. DOGS 12.1 No member or guest shall be allowed to bring a dog or dogs on the coaches for any walk.

13 SMOKING 13.1 Smoking is not allowed on the coaches.

14 SECTION INSURANCE 14.1 The Section shall take out insurance to cover members against third party public liability risks.

14.2 It is the responsibility of the individual member to purchase any necessary personal accident insurance cover.

14.3 Members are advised that EVERYONE who walks with the Section does so at their own risk and the Section shall not be responsible for any injury caused thereby.

Information for Guests on BAE SYSTEMS Fell Walking Club Trips Extracts from the Safety Officer’s guidelines –

Are you properly equipped?

Do you have that all-important Map & Compass?

Do you know how to use them properly?

If you answered No to any of these questions, should YOU really go out on the fells?

Our fell walking club rightly prides it self on having maintained an excellent safety record over the past years, indeed the Committee has always run the club with safety as its number one priority. However none of us can afford to become complacent and in order to maintain our excellent record, it cannot be overstated that members should remain diligent at all times by taking responsibility for their own, and the safety of others, on the fells. It is the Safety Officer’s role to promote safe walking practice within the section, but with 2 coach’s of people you can only go so far to question people such as – "Are you sufficiently equipped?" "Dressed accordingly?" "Aware of the weather conditions for the day?" "Feel you can cope with one of the walks suggested on the sheet provided for the trip?” More experienced walkers are free to plan their own route, on condition a route card, available from the coach leader, is filled in with the necessary details: alternative route, those participating, and on completion of the walk, the final pick up point. In all aspects of life, we try to be careful when going about our business or pleasure, sometimes no matter how careful we are accidents can still happen. As far as fell walking goes, if you are properly dressed and carrying the necessary equipment and feel that everything has been done to avoid the possibility of a mishap, no mountain rescue team will point the blame.

Please remember, you owe yourself a duty of care when out fell walking, whatever the weather prospects or the terrain you encounter: "If you’re geared up for the worst, you can cope with the worst".
