Hello, We wanted to provide you an update to our last communication that was sent on May 19th, in response to COVID-19, Missouri Department of Mental Health (DMH) has directed Public Partnerships to temporally allow employees in the Missouri Self-Directed Supports (MO SDS) program to submit timesheets containing more than 40-hours per week. We have now finished the for all 5 phases to allow for our system to pay over 40 hours for any timesheets that were processed since March 9th. These retroactive overtime payments will be processed and paid on Thursday, July 9th.

PLEASE REMEMBER: As communicated prior, you may authorize your employees to work more than 40 hours per week when needed for reasons related to COVID-19. If you have questions please contact the regional office Self-Direct Support Coordinator. You must remain within the Individual’s budget. If you have questions regarding the Individual’s budget, please contact the regional office Self-Direct Support Coordinator.

If you had an emergency and employee(s) needed to work more than 40 hours in a week, please have them submit the additional hours now, dating back to March 9th. Once these additional hours have been submitted, please review them for accuracy before approving. Current and future timesheets can now be submitted, approved, and paid in the event that more than 40 hours are worked in a given week. This rule will be lifted until further notice. Phase 1 - COMPLETED Please have your Employee submit their timesheet for pay period March 15th – March 28th up to 40hrs worked. Approve the timesheet so there is no disruption in your Employee’s payment scheduled for April 10th

• If you have a timesheet that you can’t submit because it is over 40, please have your employees submit their current timesheet up to 40hrs as soon as possible. • Please follow steps in Phase 2 for the hours over 40. Phase 2 - COMPLETED • Please have your Employees submit their additional hours dating back to the documented date of the emergency. But no earlier than March 9, 2020. • Any hours over 40 need to be submitted by the Employee and approved by the Individual/Designated Representative.

• These timesheets will be paid on either our next regular or next off-cycle (off cycle pays on the Friday’s in-between regular Fridays). When these timesheets reflecting hours over 40 will be paid, will depend on when the timesheets are submitted and approved according the payroll . • Once the 40-hour rule is lifted, you will not have to submit a secondary timesheet. Phase 3 - COMPLETED • You can now submit all time, including Overtime on the timesheet • We will then be able to pay any hours submitted over 40 using the agreed-upon straight time pay rate. For Example: If your Employee earns a rate of $10.00 per hour per week and worked 50 hours in the week: PPL will pay a gross payment of 50 hours times $10.00 per hours = $500.00 Phase 4 - COMPLETED • Allow for any new timesheets submitted to include overtime premium in payment to your Employee. • As of now, May 19th, 2020, if your Employee works over 40 hours in a work week, they will be paid straight time and premium rate time. For Example: If your Employee worked for $10.00 per hour for 50 hours per week their pay would be $10.00 X 40 Hours = $400.00 + $15.00 (1.5x pay rate) X 10 Hours = $150.00 for a total gross payment of $550.00. Phase 5 - COMPLETED • We have completed this work to pay your Employees overtime half-pay rate for all outstanding overtime owed since March 9th. This payment for your employees will be processed and posted on Thursday, July 9th. For Example: If your Employee earns a rate of $10.00 per hour per week and worked 50 hours in the week, their premium rate owed is $5.00: PPL will pay a supplemental gross payment of 10 hours times $5.00 per hour = $50.00 for that week’s overtime half-pay. We are excited that we have completed all five phases of this work to process overtime payments for your employees.
