Dear IWAS Member Nations,

International Wheelchair & Amputee Sports Federation (IWAS) are delighted to invite the athletes, coaches and team staff of the IWAS Membership and affiliated organisations to the IWAS 2021 to be hosted from 7th-13th October 2021 in Vila Real de Santo Antonio, .

An exciting mix of athletics, powerlifting and making its IWAS Games debut, CP football, form the 2021 sports programme, as we return to the picturesque location of the 2017 edition of the Games.

The hybrid powerlifting competition supported by World Para Powerlifting will be the first of its kind at an IWAS World Games and we look forward to exploring this new format to open up competition opportunities to more athletes around the world.

We will welcome athletes that missed many international opportunities in 2020, rising stars looking to the start of a new Paralympic cycle and as always, those making their international debuts.

Following what has been a challenging year of uncertainty for sport worldwide, we look forward to welcoming your teams to Portugal and to another successful IWAS World Games!

IWAS understands the importance of classification opportunities for our Members.

IWAS has requested classification in athletics and we await the approval and/or the appointment of classifiers. We will inform teams immediately upon receipt of any information.

World Para Powerlifting will be reviewing the demand for classification during the entries. If demand is present for the appointment of classifiers, this will be arranged.

CP football will not be hosting classification at this competition.

Classification assessments must be requested and scheduled directly with the International Federation, following their application procedures, as normal.

Classification slots are determined by the IF. IWAS has no control over athletes selected for classification or the appointment slot provided. IWAS will share the classification schedule upon receipt.

Athletes with classification booked must arrive at least the day before their scheduled slot.

Athlete REPLACEMENT

Nations can replace/substitute athletes of the same gender, class and event for those that have had to withdraw for any reason up to two weeks (23/09/2021) before the start of the Games.

IWAS and/or the Technical Delegates reserve the right to refuse any substitution or replacement after this time. athlete licencing

For purposes of rankings, records and qualification for future events, athletes competing in athletics must have a valid, current, review or confirmed international classification to be eligible to have their results recognised by World Para Athletics and World Para Powerlifting prior to the start of competition.

However, please note, it is not a requirement to have an athlete license to compete at the Games.

ANTI DOPING

The IWAS Anti-Doping Code, in compliance with the World Anti-Doping Agency (WADA) Code, will apply to all sports. Athletes can be tested at any time, during or out of competition.

Sport Technical meetings will be held in the team hotel, as follows;

CP Football: Thursday 7th October at 20:00 Athletics: Saturday 9th October at 20:00 Powerlifting: Saturday 9th October at 21:00

It is mandatory for a representative of each team to attend these meetings to ensure the most current information is received. A maximum of two representatives can attend, as well as a translator, if necessary.

Only sport specific matters will be raised and resolved in this meeting.

Logistical matters relating to accommodation, transport, finances etc. can be dealt with at the Team Managers' Meetings. team managers' meeting

The Team Managers' Meeting will address all logistical issues excluding sport i.e. accommodation, transport, catering, ceremonies. It is mandatory for a representative of each team to attend these meetings to ensure the most current information is received.

Team Managers must ensure that their country flag and anthem for medal presentations and ceremonies have been confirmed during this meeting.

The meeting will be held between 8.30pm-9.30pm on Thursday 30 September in the ground floor meeting room of the team hotel.

Subsequent Team Managers' meetings will be organised and communicated during the Games if there any issues arise that require a meeting,

The Yellow Praia Monte Gordo will accommodate all teams attending the Games.

The 4-star hotel is located 3km away from the Complexo Desportivo Vila Real de Santo Antonio sports facilities and 50m from the coastline of Monte Gordo.

The hotel has indoor and outdoor swimming pools, free guest Wi-Fi, bar, gym and health club (the use of these may be impacted by covid regulations). Private parking is also available at a surcharge.

Limited wheelchair accessible rooms are available in the hotel therefore accessible bathrooms will be available for communal use only. For those who are unable to manage in their allocated rooms, shower room facilities in the hotel’s health club are also available as well as accessible showers at the sports venue.

Accommodation and full board (breakfast, packed lunch and dinner) costs are included in the inclusive day rate.

Single occupancy rooms will be charged at a £50pp supplement. If single rooms are unavoidable due to numbers/gender of teams, please contact [email protected] to arrange separately.

In addition to the public hospital 500m from the facility, a private medical centre, the Centro Médico Internacional de Vila Real de Santo Antonio is located directly next to the sport facilities, should they be required.

St John's ambulance will be present to provide onsite medical attention, if required, throughout the Games.

Transfers to and from Faro airport will be provided on the arrival and departure days detailed on the schedule. Smaller teams will be transported together with others arriving at similar times, therefore you may be required to wait prior to departure to the hotels.

Airport transfers are arranged based solely on the information provided. It is the responsibility of the teams to ensure the arrival and departure information given is correct.

Shuttle transport will be provided daily for teams to travel between the hotel and sport venue. Both shuttle and airport transport is included in the inclusive day rate.

The distance between the hotel and sports venue is 3km/1.8 miles on flat terrain. Bicycles can also be hired from the hotel at a cost of €1 per day. enTry process & KEY DATES

All entries must be managed on the IWAS Management System (IMS) by IWAS Members excluding those who wish to enter for a remote pass to the hybrid powerlifting event who should email [email protected] for an entry form.

Organisations in membership with International Federation of CP Football are permitted to enter for this sport only and must contact [email protected] to allow temporary event access to the entry system.

Under no circumstance will entries received via email or communicated outside of the IMS, be accepted. The entry system will open on 12th July 2021.

1 1 IWASWorldGames iwasf ACCREDITATIONS A recent passport sized photo, with a clear, light coloured background must be uploaded to the entry system for every member of the delegation.

Those entering via entry form for the hybrid powerlifting competition must send the photos requested above when returning their forms.

Accreditations will be available upon arrival to the Games. VISAS Please check with your local Embassy or High Commission to see what the visa requirements are for entering Portugal.

It is the responsibility of the teams to manage their own visa requirements.

Requests for visa invitation letters should be managed when submitting your entries on the IWAS Management System.

Visa invitation letters will not be issued until Registration Fees are received in full. insurance Teams must provide insurance for their own accident and liability. IWAS accepts no liability and assumes no responsibility for loss or theft of materials or personal belongings during the Games.

All participants have the duty to observe safety regulations and other rules of the facilities provided.

All teams are required to sign the waiver provided in the ‘Event Files’ section in the entry system and return to IWAS before the start of the Games. C. OVID-19 A guidelines document will be distributed at the opening of entries related to the COVID-19 measures and guidelines to be followed before, during and after the Games.

Due to the ever-changing situation around the world, it is the responsibility of the teams to monitor the entry and exit requirements for Portugal and make the necessary arrangements to allow for a smooth and viable entry to the country. IWAS accepts no responsibility for additional costs relating to requirements not fulfilled by teams upon arrival.

The safety of the teams and officials attending is our paramount importance and IWAS reserves the right to make changes, postpone or cancel the Games should the impact of COVID-19 make the Games unsafe to hold. The situation nationally in Portugal and internationally will be carefully monitored and considered throughout the preparations of the Games and any changes to the planned event will be communicated to teams at the earliest opportunity.

CONDITIONS OF PAYMENT

All fees incurred on the bank transfer, including fees in domestic and foreign intermediary banks, must be covered by the payer.

The following payment reference must be used for all bank transfers: WG*NATION*. Please retain proof of payments as this may be requested prior or on arrival.

Registration fees are non-refundable. Exceptional circumstances will be dealt with on an individual basis. However, in the event IWAS is forced to cancel the event due to complications caused by COVID-19, IWAS will arrange full refunds of all fees.

Under no circumstances will monies owed by IWAS Members be exchanged at the Games. All monies owed must be paid by bank transfer in adherence to the deadline dates communicated.

Please note, IWAS will be unable to issue visa invitation letters until registration fees have been received. In addition, no accommodation will be booked for teams until the inclusive day rate invoice is paid in full.
