ADMINISTRATION The Atlantic 10 Women’s Rowing Championship is under the control, direction and supervision of the Atlantic 10 Conference (A-10) and Camden County Parks Department. The A-10 will have the final authority regarding all championship matters.

Some adjustments may be expected in the best interest of the Championship. The A-10 representative(s) must approve these adjustments with the input of the Camden County Parks Department.

The 2017 NCAA Division I Women’s Rowing Pre-Championship Manual will serve as a general guide for the Atlantic 10 Championship.

ENTRIES PROCEDURES Entries must be submitted to RegattaCentral (https://www.regattacentral.com – “Atlantic 10 Women’s Rowing Championship”) by 5:00 p.m. on Friday, April 28. The final schedule of events will be distributed on Monday, May 1. Events conducted at the championship include the Varsity 8, Second Varsity 8, Varsity 4 and Third Varsity 8. Institutions may only enter one (1) boat per race in each event. A minimum of three (3) boats must be entered in an event in order for that event to be conducted.

No student-athlete may be doubled within the Varsity 8, Second Varsity 8, or Varsity 4.

Line-ups must be submitted to RegattaCentral by 11:59 p.m. EST on Thursday, May 4. Coaches can change the order/seats of student- athletes in a boat after May 4 without approval, but coaches cannot change student-athletes between boats without requesting a lineup change through the Championship Games Committee. A waiver would only be granted for student-athletes with a written medical note from a physician stating the student-athlete cannot compete due to illness or injury. Line-ups must remain the same for all prelims and finals races.

Scratches: After the schedule is released, scratches will only be accepted for student-athletes with medical or eligibility concerns or for equipment-related problems. Any scratches after the schedule is released are subject to review and approval by the Championship Games Committee.

SEEDING PROCEDURE The coaches will seed all four events, including their own teams. In order to break a tie in seeding recommendations, the teams in question will have their own seed recommendation dropped. If there is still a tie, a coin flip will be utilized.

The Seeding Form (Appendix D) should be completed and returned to the Conference office by 12:00 p.m. on Wednesday, May 3. Seeds will be finalized at the pre-championship meeting.

Teams will be placed in heats according to the following seeds: Heat #1 – 1, 4, 5, 8, 9 Heat #2 – 2, 3, 6, 7

In seven-boat seeded races the placement of seeds in each heat will be as follows: Heat #1 – 1, 4, 5, 7 Heat #2 – 2, 3, 6

In events where qualifying heats are held, the top two (2) crews from each heat will advance to the Grand Final along with the next two (2) fastest times. The remaining crews that do not qualify for the Grand Final will compete in a Petite Final. The Petite Final will be staged immediately prior to the Grand Final.

In events that are seeded where qualifying heats are held, advancement to the finals will be determined by places in each heat. The top three (3) crews from each heat will advance to the Grand Final, while the remaining crews that do not qualify for the Grand Final will compete in a Petite Final. The Petite Final will be staged immediately prior to the Grand Final.

In seven-boat races, the top three (3) finishers in Heat #1 and the top two (2) finishers in Heat #2 will advance to the Grand Final with the remaining two (2) crews in each heat competing in a Petite Final.

If floating starts are used, advancement to the Grand Final will be based on the top three (3) finishes in each heat with the remaining crews competing in a Petite Final.

SCORING The Atlantic 10 Rowing Team Champion will be determined by scoring the Varsity 8, Second Varsity 8 and Varsity 4 events only by implementing the following NCAA scoring system:

The Third Varsity 8 will be timed and placed but will not count toward overall team scores.

RegattaWorks will be handling the official timing for the A-10 Rowing Championship. Live race results will be available on www.RegattaWorks.com and www.Atlantic10.com.

NCAA CHAMPIONSHIP The team champion of the Atlantic 10 Women’s Rowing Championship will receive an automatic bid to the NCAA Championship, May 26-28, at Lake Mercer, West Windsor, New Jersey. Teams qualifying for the NCAA Championship as an automatic qualifier or as an at- large selection will be required to field two (2) boats of eight rowers each and one (1) boat of four rowers. Individual rowers are not permitted to double at the NCAA Championship.

In order to be considered for selection to the 2017 NCAA DI Rowing Championship, all institutions must ensure that the electronic submission of results from any regatta contested beginning March 1 in which their student-athletes compete are reported to www.row2k.com, the online provider of official NCAA women’s rowing results. Only the official electronically-reported regatta results as submitted to row2k will serve as official results for all NCAA Division I Women’s Rowing.

It will be the responsibility of the regatta HOST to submit results to row2k by midnight Eastern each Monday after the completion of a competition and all final weekend results must be submitted by Sunday, May 14 at midnight Eastern. Results may not be considered for championships selection if meet results are not received from the host within the designated time period. Participating institutions must ensure that the electronic submission of results from any regatta in which their student-athletes compete are reported by the meet host within the designated time period. Failure to submit results in a timely manner may affect a team’s regional ranking and selection to the NCAA Championship. For more information, refer to the ‘Results Reporting’ document on the NCAA website, Division I Championships, Rowing, Results Reporting Instructions.

REFEREES All regatta referees will be hired and assigned by the Atlantic 10 Conference office. Jane Licata will serve as chief referee.

COXSWAIN WEIGH-INS & MEETING Coxswain weigh-ins will take place on Friday, May 5 from 11:00 a.m.-4:00 p.m. at the Cooper River by the new viewing platform near the boat trailer parking lot. Coxswains should report to the weigh-in tent upon arrival at the park. Weigh-ins will be conducted according to the format utilized by the Intercollegiate Rowing Association. Coxswains must weigh a minimum of 110 pounds. Sand weights will be provided to coxswains in small increments to reach the minimum weight requirement, if necessary. If coxswains are more than 5 pounds beneath minimum weight standard, coxswains should provide their own weights. Weights will be checked by the officials Saturday at the launching docks and following the completion of the race.

The following policies must be adhered to: A. Weigh-ins will take place the day prior to the Championship. B. Each student-athlete must present a photo I.D. before weighing in. C. Weigh-ins are to be conducted in racing attire.

The pre-championship coxswains meeting with the chief referee will take place on Saturday, May 6 at 6:15 a.m. at the Cooper River boat trailer parking lot. All coxswains are required to attend the meeting. Coaches are also encouraged to attend the meeting.

PRE-CHAMPIONSHIP & SPORT COMMITTEE MEETING The 2016-17 A-10 Women’s Rowing Sport Committee Meeting will be conducted via a conference call on Tuesday, May 2 at 1:00 p.m. This will be the annual business meeting of the A-10 rowing coaches. Several items related to the 2017 A-10 Championship will also be reviewed on the call. The phone information for the call is listed below. Representation by each institution is mandatory. A full-time assistant coach or administrator may substitute for the head coach with prior approval from the Conference office. Please complete the attached Pre-Championship Meeting Form (Appendix A) to indicate your institution’s representative on the call. Agenda items may be submitted to the Conference office by Monday, April 24.

The A-10 Women’s Rowing Pre-Championship Meeting will be held at the Cooper River on Friday, May 5 at 5:00 p.m. This meeting will serve as a brief follow-up to the sport committee meeting and will review the final schedule of events and general procedures for the A-10 Championship. The location of the meeting will be determined on the sport committee call. All head coaches are required to attend the pre-championship meeting.

SCHEUDLE OF EVENTS The final schedule of events for the championship will be distributed on Monday, May 1.

Prelims: Prelims will begin at 8:00 a.m. and will be run on 20-minute centers. All prelim races will be completed by 9:50 a.m. The schedule of events for the prelims will be as follows: Varsity 4, Second Varsity 8, and Varsity 8.

There will be a 40-minute break between the end of the last prelim heat and the start of the first finals event. In the case of inclement or impending inclement weather, this time may be adjusted in the best interest of the Championship.

Finals: Finals will begin at 10:30 a.m. and will be run on 20-minute centers. The schedule of events for finals will be as follows: Third Varsity 8, Varsity 4, Second Varsity 8, Varsity 8.

If weather-related conditions should be of a catastrophic nature, the Atlantic 10 Championship Games Committee will take the following steps:

A. Shorten the break between prelims and finals. B. Cancel prelims and run finals only. Lane assignments for seeded events will be as recommended by the coaches. Lane assignments for non-seeded events will be randomly drawn. C. Adjust the finals schedule to compete the scoring events prior to the non-scoring events. D. If conditions should become severe, the Championship Games Committee will cancel events in the following order: Third Varsity 8, Varsity 4, Second Varsity 8, Varsity 8. E. No event will begin after 6:00 p.m. The only exception would be if events are in progress prior to 6:00 p.m. and conditions allow for the schedule of events to continue without stoppage due to weather.

PRACTICE The Cooper River will be available for team practices on Friday, May 5 beginning at 11:00 a.m. Several local club rowing teams will be practicing on the Cooper River from 2:30-6:30 p.m. The Cooper River will also be available for team warm-ups Saturday morning prior to the first race. All practices must be concluded one (1) hour prior to the scheduled start of the first race.

The following traffic pattern must be followed for all practices: Up river (to start line) Lanes 0, 1, 2 Down river (to finish line) Lanes 4, 5, 6 Lane 3 will be used as a safety lane and will be off limits.

Teams should list their anticipated arrival time at the Cooper River for practice on Friday, May 5 on the attached Travel Information Form (Appendix B).

TRAVEL ROSTER The attached Official Travel Roster Form (Appendix C) and Travel Information Form (Appendix B) should be completed and returned to the Conference office by Friday, April 28. The Official Travel Roster Form will be used for participant gift distribution and team awards at the conclusion of the Championship.

PARKING Boat trailer parking is available in the launching area parking lot by the intersection of Park Drive. and E. Cuthbert Blvd. All trailer tow vehicles will receive a parking pass for the trailer lot at practice on Friday. No other vehicles will be permitted to park in the trailer lot. Bus parking is available on the river side of North Park Drive between the finish line driveway and approximately 20 yards short of the trailer parking lot entrance. Signs will be posted for bus parking only.

Spectator parking is available on the street. Buses and personal vehicles are not permitted to park in the launching area.

The Atlantic 10 Conference and the Camden County Parks Department are not responsible for lost or damaged property stored at the park.

TEAM TENTS Teams are permitted to place pop-up tents in the team area near the trailer parking lot; however, any team tents set up in the trailer area must be weighed down with sandbags, weights, water barrels or another means other than ground stakes. Tents CAN NOT be staked in the rock material. Stakes are permitted in the grass area.

HOTEL Teams are responsible for securing their own hotel accommodations.

MEALS Teams are responsible for arranging their own meals during the Championship.

UNIFORMS Participants in the Championship shall wear exclusively the official uniform of their institution in competition and during related activities, including the awards ceremony. This applies to warm-ups and competition uniforms. All uniforms must conform to NCAA guidelines. All competitors in a crew must wear identical clothing during competition. The chief referee may grant exception to this rule on account of unusual weather conditions. Individual competitors in a crew may choose whether or not to wear a hat or other headgear, but it must be similar in color.

Per A-10 policy, the wordmark version C A-10 logo (“A10”) is required on the back of every rower’s singlet, at the nape of the neck. The A-10 logo colors may be black, white or official school color. The color of the logo should contrast with the uniform color. Refer to the A-10 Logo ID Guidelines document for additional details.

MERCHANDISE Officially licensed Atlantic 10 championship merchandise is available on the A-10’s website, www.Atlantic10.com. Each item is printed with the date and site of the 2017 A-10 Women’s Rowing Championship. Custom printed A-10 Championships merchandise will also be available on site at the Cooper River on Saturday, May 6.

MEDICAL INFORMATION A certified athletic trainer will be on site for Saturday’s championship races. EMS will also be on stand-by throughout the regatta. The contact information for the athletic trainer will be distributed prior to the Championship.

Participating institutions shall follow the concussion management protocol implemented by their sports medicine staff while participating in the A-10 Championship. For teams traveling without an athletic trainer, the medical staff provided by the A-10 shall administer its concussion management protocol. If a participant suffering a concussion does not have access to her own team physician, the championship physician or medical personnel shall have the authority to determine medical clearance to return to competition.

CHAMPIONSHIP AWARDS CEREMONY An awards ceremony will be held following the conclusion of the Championship on Saturday May 6 to recognize the top teams and individual performers from the regatta. The following awards will be presented in the order listed below:

• Varsity 4 team medals (1st-3rd) and trophy cup (1st) • Second Varsity 8 team medals (1st-3rd) and trophy cup (1st) • Varsity 8 team medals (1st-3rd) and trophy cup (1st) • Second Team All-Conference (9) • First Team All-Conference (11) • Coach of the Year • Individual awards for the Championship team • Championship team trophy

The head coaches will be asked to nominate student-athletes for the All-Conference teams prior to the Championship. All-Conference selection will take place at the conclusion of the Championship based on final team scores. The following procedure will be followed for awarding First and Second Team All-Conference:

PARTICIPANT GIFTS Each member of a team’s official travel roster will receive an Atlantic 10 gift to recognize their participation in the A-10 Championship. The gifts will be shipped to each institution’s campus the week of the Championship. To ensure prompt delivery, please submit the attached Official Travel Roster Form (Appendix C) to the Conference office in a timely manner.
