SIMPLE TEAM FUNDRAISING STRATEGY

Relay For Life of Rapides Parish Saturday, April 28, 2017 6pm-11pm Menard High School

We recommend first-year teams adopt this strategy as the easiest and most fulfilling way to reach your fundraising goal while learning about the magic of Relay For Life!

Teams should consist of 8-15 members. This plan is based on a 10- member team exceeding a $1,000 goal.

Dollars # Team Team Total Activity Number Per Members Raised $500 Each team member sell 5 5 $10 10 Luminaria Bags

Each team member raise $30 online n/a $30 10 $300

Each team member collects $50 in pledges n/a $50 10 $500

Event Day Food/Game Fundraiser $150 n/a $150 1 Total $1,450

relayforlife.org/rapidesla SUCCESSFUL TEAM CAPTAIN CHECKLIST

Relay For Life of Rapides Parish Saturday, April 28, 2017 6pm-11pm Menard High School

____ Register yourself at relayforlife.org/rapidesla and make sure your team members register as soon as possible.

Everyone knows someone who has had cancer. As a few friends, family members, or co-workers to register and join you to celebrate, remember, and fight back for their special loved ones.

____ Set your team goal and work out strategies to achieve it before April 28, 2017!

Work with your team members to set a goal for Individual Fundraising (how much each person will raise individually), Online Fundraising (how much each person will raise through the Relay website), and Team Fundraisers (events where the team works together to plan and execute a fundraiser) Also remember to plan for on-site fundraisers, such as food, games, and entertainment

____ Recruit a Team Co-Captain

Leading a Relay Team takes some time and effort. However, having a teammate who shares the leadership role with you not only saves you a few grey hairs, but also helps you to work out a transition plan for the future

relayforlife.org/rapidesla ____ Attend Team Captain Meetings, have someone from your team attend in your place, or get it from your Staff Partner

Team Captain Meetings are where A LOT of information is shared, but you can also get this information from your Staff Partner! It’s very important that you share the info you receive with your team, whether it is through text, phone, email, Facebook, or carrier pigeon!

____ Host at least one Team Meeting or Social

The most successful Relay Teams are those who hold each other accountable. Holding Team Meetings to energize your team as well as to follow up with them on their progress can be super beneficial to your success!

____ Follow Relay For Life of Rapides Parish on Facebook & read our emails!

We share lots of information about event updates, team fundraisers, deadlines, and the American Cancer Society via email & on our Facebook page. Help get the word out by sharing and liking our FB posts.

____ Recognition!

Saying Thank You is a great start! Whether it is to a donor, a team member or anyone. Be sure to recognize Team Members who are raising funds and spreading the word about the American Cancer Society

____ Share your story

Ask anyone how they got involved in Relay and they will probably tell you “I was asked.” The American Cancer Society is a grass-roots organization, which means it relies on volunteers like us to share our mission as well as share “Why we Relay!”

____ Have a Relay Day Plan

Think about who is getting the tent, what are you doing as an on-site fundraiser, do you need electricity and who is walking the track. The Logistics Lead and team will have updates at future Team Captain Meetings about set-up times and schedules

____ Keep it FUN!!

Lead by example and put the FUN back in FUNdraising!

WHAT TO EXPECT AT RELAY FOR LIFE

PREPARING FOR RELAY EVENT DAY

Relay For Life of Rapides Parish Saturday, April 28, 2017 6pm-11pm Menard High School

Preparing for Event Day

Register your team and all participants

Get together a set-up squad to help you set-up and a clean-up squad willing to stay later and help you break down your tent.

If you are making food as your onsite fundraiser, we must know what it will be ahead of time—we try hard to limit duplicates so we are not competing with one another. Sign up for food sales at relayforlife.org/rapidesla

Decide how you want to decorate your tent to match the theme for the year. It’s not required to participate, but it’s a fun & there will be a prize for best decorated tent!

Make a team spirit stick! Have a stick that your teammates can hold when walking the track to represent your team. Plus, there’s a prize for best spirit stick, too!

Try to arrange to have at least 1 person walking the track at all times of event. Each team member can collect pledges for the amount of laps walked. See the pledge form in the Fundraising portion of this packet.

Make costumes/team t-shirts—again, not required but there will be awards!

Tell everyone you know to come out and support you at the event!

Give 5 flyers out to businesses you are a regular at to help us advertise!

Like us on Facebook and spread the word by sharing and liking our posts!

1. Team members may start collecting pledges as soon as they receive the pledge sheets. Download/print pledge sheets at relayforlife.org/rapidesla Reminder: Pledge sheets need to be turned in on event day, Thursday, April 28.

2. Pledges may be made by anyone. However, participants may not ask for pledges from any of the staff members of American Cancer Society. Please ask everyone who pledges if their company has a matching gift fund policy.

3. Each sponsor making a pledge should write their own name, pledge per lap, and maximum pledge. Team members may collect the pledge in advance but must keep pledges until all are collected.

4. Team Captains should maintain a schedule of times for team members to walk on the track.

5. On Relay event day, each team will have team members taking turns walking or running around the track. Each team should have at least one team member on the track at all times. Each lap is ¼ mile long. Participant will be issued a “lap tag,” which will be punched each time the person reaches the starting point, thereby keeping track of the number of laps completed.

relayforlife.org/rapidesla Relay For Life A to Z Pre-Event Fundraising Ideas

Ask: The easiest way to raise money is to ask your friends, classmates, teachers and anyone you know to make a donation to the American Cancer Society’s Relay For Life event. Explain your commitment of 24 hours and why you are involved – maybe because of a loved one battling cancer.

Auctions: Many teams are putting together live or silent auctions. Teams can make a whole event out of it – work with an auctioneer who will donate his/her time and hold a live auction. Collectibles are hot!

Bake Sales: Hold a bake sale on campus or at a busy place near your campus. Or have a No-Bake sale where co- workers pay so they don’t have to bake goodies.

Balloon Day: Organize to sell a Relay balloon with a message attached for $2 each at school. The students take orders in advance and then deliver the balloon messages at a later date.

Bank For a Year: Get everyone on your team to put in $2 each week beginning the week after this year’s RELAY. In 50 weeks each team member will have his or her $100. Or try this – 50 cents every day, in 50 weeks you will have collected, from yourself, $175 – add just two more friends giving you 50 cents each per day and you will now have a total of $525 in 50 weeks. See how easy it is.

Bounce-a-thon: Elementary to high school students can take a collection envelope home to collect pledges for bouncing a basketball for half an hour. Each class in the school takes turns gathering in the school’s front hall or gymnasium throughout the day to bounce their basketballs.

Bowl-a-thon: Hold a bowl-a-thon, where they get pledges per pin they knock down.

Bowling Chance: $1 gives you the chance to throw 2 balls (toy bowling set). If you strike your name is entered into a drawing 2 times. If you throw a spare with your second ball your name is entered into the drawing once. Team is to solicit a nice prize for the drawing. This one could be held on site as well.

Breakfast With: Put together a breakfast with Santa or the Easter bunny. Work with a local restaurant or your team can do it themselves at a hall or club. Have someone in costume and sell tickets and also have pictures taken. You could also use this as breakfast with the principal, school president or other high profile person.

Brown Bag Lunch Day: Everyone brings in their own lunch and donates the money they would have spent to the Relay For Life fund.

Can and Bottle Drive: Set up at a central location and collect cans and bottles from pedestrians. Return for deposit to nearest redemption center.

Car Washes: This is another good idea for students, especially in the spring when everyone wants the mud off of their cars. Don’t forget to have a tip jar at the end to collect extra donations.

Change: Have a spot where people can drop their change in jars or collection boxes at your business or school

Dances for a Cure: Students can hold a dance at a local club or hall that many students frequent. Get a band or DJ to donate their services. Attendees donate money to your Relay as their entrance fee.

Day of Cleaning Raffle: Team members donate a suggested five hours to spring/fall house clean your home, apartment, or dorm with tickets selling for $5 each. Decorating Service: No time to decorate and in need of some assistance with holiday decorating? Have a team put on a fundraiser to decorate trees, put up lights, and decorate the neighbor’s houses for a fee. Putting up lights is a job many people would like someone else to do.

Die Cut Cards/Fundraiser Icons: The cupcake paper cut outs) can be sold at businesses, companies, or anywhere people frequent.

Donut Days: Get donuts donated from a bakery every Friday, and sell them at school or work.

Dress Down Days: Does your school or business require you to wear uniforms? Work with your administration to fundraise for a dress down day if they make a certain donation.

Dress as a Woman: Raise money to have a certain man dress up as a woman for the day, or have someone pay to vote for the individual they would like to see dress as a woman. The two individuals with the most votes would spend the entire workday dressed as a woman.

Email: Email your friends and associates for donations.

Envelope at Restaurant table: Go to a restaurant and ask if your team can place a Relay For Life envelope at every table during a designated time period, stating “Please support our Relay For Life team and the American Cancer Society.” Be sure to put “Having cancer is hard, getting help shouldn’t be. Call 1-800-ACS-2345 or visit www.cancer.org for assistance.” on the envelopes as well

Fashion show: Hold a fashion show somewhere. Offer refreshments and your team members can be the models.

Fast Food Restaurants: Ask your local restaurants if they will have RELAY day. Either a percentage of the day’s earnings or from a certain item on the menu will go towards your team. Your team should be on hand to ask for donations from the patrons as well as be able to talk about the event. For instance you could hold a Fry Day Friday - on a Friday prior to your Relay, a dime from every order of fries sold goes to your team total.

Game Night: Have a game night and everyone comes to your house to play board games, charades etc. Charge an “entrance” fee.

TEN EASY WAYS TO RAISE $100

1. Sell 10 Luminaria Bags. 2. Post a link to your Relay web page on Facebook, asking everyone to help you reach your $100 goal. 3. Send a letter to family & friends explaining what Relay For Life is and ask for a donation. Always ask for more than you expect (Example: If you want $25, ask for $50). Be sure to include a return-by date. For best results, include a return envelope with your address already printed on it…with a stamp! 4. Send a letter (or email) from your pet to family or friends. You might also want to send this to your veterinarian. 5. Walk through your neighborhood. Knock on your neighbors’ doors (or send your kids). 6. Arrange for a dress-down day at school or work. 7. Arrange for a baseball cap day at school or work. 8. Hold an auction or raffle for a parking space at work (or for a day off). 9. Loose change. Have a jar on your desk or at home that you can fill with change…and encourage co-workers or family members to drop their change in the jar, too. 10. Sell a ‘cancer fact sign’ to the store you shop at the most…and you know the people that work there.
