Mission Statement

The Office of Admissions will recruit students to grow enrollment while communicating the Ursuline and Catholic traditions of Brescia University. We make a difference in the lives of prospective students by introducing Brescia University’s opportunities for intellectual and moral formation.

Vision Statement

The Office of Admissions endeavors to become a national leader in enrollment management in Catholic higher education. We envision tremendous enrollment growth, which will allow the University to shape future incoming classes.

Objectives for 2013-2014

Goal: Increase New Student Enrollment

 Reach new student enrollment goals for the 2013 – 2014 academic year.

Goal: Increase Enrollment Yield in Local Territories

 Refocus prospective student outreach in all Region 1 and 2 areas.

Goal: Promote the Catholic and Ursuline Heritage of Brescia University

 Continue grass roots outreach to the Catholic community to help increase the number of prospective students receiving the Catholic Connection Grant.

SWOT Analysis

Strengths

Variety of undergraduate academic programs that are not typically found at a small Catholic university.

Affordable private education with an excellent institutional aid program.

Only Catholic university in Western Kentucky.

Faculty and staff are very involved in the professional, personal, and spiritual development of students.

A small campus that is close to downtown amenities and is safe.

Record increases in enrollment which have resulted in more non-athlete students.

Senior leadership who are willing to recruit students to the University.

Five year strategic plan that will gel with the downtown development project.

Processing speed of admissions and financial aid staff in application materials.

Student telecounseling program.

New leadership in Athletics as well as new coaching staff.

Increased vibrancy of Career Services Office.

New labs in Science Building.

Addition of Student Services Center with purchase of 5/3 property.

Addition of Honors College/Honors Theme House.

New leadership in Student Development Office with addition of new Dean and new Director of Student Activities

New leadership in Office of Financial Aid with addition of new Director of Financial Aid.

Weaknesses

Large percentage of athletes who represent on-campus student population which may affect a non-athlete student’s decision to enroll.

Campus aesthetic (i.e. décor in Lechner Center, no lights on in buildings, temperature of buildings, odor of buildings especially the cafeteria, elevators, overall cleanliness, chalkboards in classroom, etc.)

Isolated experiences during which prospective students encounter a lack of client service from other campus offices/faculty.

The increased success of BU Online has a competitive impact on the day programs ability to recruit new transfer students.

Lack of racial diversity among student population.

The lack of statistical information to provide to prospective students and their parents when they have questions (i.e. What percentage of pre-health science majors get into a graduate program?).

Frequent turnover within Athletics Department.

Opportunities

Additional corporations moving to Owensboro which would create more internship opportunities and professional positions.

A growing Owensboro / regional population.

Completion of I-69.

Mostly completed new hospital that brings additional jobs and possible new program offerings.

Completion of the downtown master plan and the revitalization of the current downtown.

Another large gift to the campus.

Decreased state or federal financial aid funding.

Challenges to Recruitment

Name recognition in regional and development territories.

Lack of physical plant improvements.

Perception that a private school tuition is too high to attract our students.

Lack of resources on campus that restrict us from being on the cutting edge of college administration.

Conflicting information regarding the most successful strategy to engage students (e.g. ever- changing technology keeps us guessing as to the best way to make real contact with prospective students).

Open House, Explore the Difference October 12, 2013 November 9, 2013

During the annual professional staff retreat, when presented with the attendance and enrollment yield rates of all of the visit programs, the Office of Admissions decided to make the following changes with campus visit programs: Instead of splitting Preview Day and Open House up to have one of each per semester, we will move both Open House dates to the fall, and in hopes of increasing enrollment yield, we will move our Preview Day programs to the spring when more students are making final decisions.

 For the Open House programs, the Office of Admissions will continue to offer families the opportunity to complete brief questionnaire which will enable the Vice President for Enrollment Management and the Financial Aid Office to offer estimated financial aid award letters to students prior to leaving campus. The agenda will reflect time when prospective student families will have the opportunity to sit down with representatives to review these estimates.

 In order to increase the number of attendees who have completed the financial aid estimator questionnaire prior to their arrival to the program, the paper questionnaire will be included in the confirmation letter we mail.

 Last year we attempted to have faculty member of the year, Rohnn Sanderson, speak at the Open House programs for the “Academic” portion of the program. While he spoke in the fall, he declined our invitation to speak in the spring. Instead of looking to this year’s faculty member(s) of the year, we decided it was more important to look to a dynamic personality within the faculty and decided to ask Helen Bennett to speak at these programs.

 Because of the low number of paper surveys returned to the Office of Admissions following visit programs, we will begin to include a link to the same survey in an online format within the thank you letter, and we will also send thank you letters in the form of Constant Contact emails which include the link to the online survey to all attendees with email addresses.

 A negative impact from the large attendance at the Fall 2011 Open House were large tour groups. We did not have this problem for the Fall 2012 program, but in the case of 100 or more RSVPs for one of the 2013-2014 programs, we will color code tour groups at the time of arrival instead of allowing attendees join whichever tour group they prefer to try to decrease the size of the groups.

Elect to Visit Program November 5, 2013

Due to the success of the inaugural Elect BU Visit Day in 2012, the Office of Admissions decided to continue to offer this visit opportunity for the 2013-2014 year.

 Keep this program very simple, with a brief talk and tour only. However, visitors may request additional appointments after the tour with campus community members such as faculty, coaches, or financial aid.

 Offer two times that a student may attend the program, 9:00 am or 1:00 pm.

 As with the Open Houses, the Office of Admissions will offer families an estimated financial aid awards letter provided to them by the end of the program. For further details on this initiative, please see the language included within the Open House details.

Preview Day March 5th, 19th, 26th

In an effort to improve overall enrollment yield, the following changes were made to the 2013- 2014 Preview Day programs during the annual professional staff retreat:

 Move all Preview Day programs to the Spring semester, and add an additional (third) program. Since we have scheduled the three programs to take place in March, we will try to use the theme “Preview Madness at BU”. We will continue to host these programs on Wednesdays.

 As with the visit programs in the fall, the Financial Aid Office will continue to offer financial aid counseling to students attending Preview Day, though instead of using financial aid estimators, the Financial Aid staff will have the financial aid packages of those admitted students who have filed the FAFSA and are attending the program, and they will be able to go over those packages with the prospective families.

 In addition to the immediate confirmation letter mailed to students upon their RSVP to the Program, we will continue to email an immediate confirmation to any student with a valid email address who RSVP’d for the program by mail as opposed to online.

 Student Ambassadors will continue to personally invite admitted students to all visit programs.

Local Admitted Reception TBD (Upon release of Student Activity Calendar)

In an effort to increase the enrollment yield specifically in the local (Region 1 A, B, C, & D), the Office of Admissions staff has opted to host a visit program in the form of an evening reception geared specifically towards admitted students from those regions.

 In past experience, Mondays and Fridays are not feasible days for hosting visit programs, and our Preview Day programs already fall on Wednesdays. Therefore, we have decided to host the reception on a Tuesday or Thursday in the spring semester, when students will be making enrollment decisions.

 It is our intention that this program feel relaxed and intimate, and center around giving the attendees the opportunity to meet and mingle with members of the Brescia community, so the agenda will be kept very simple – no tours, appointments, student panels, etc.

 The Office of Admissions feels that there is a misconception among local students that there is a lack of student activities, or fun, on Brescia’s campus. In an effort to change that idea, the program will purposefully be scheduled directly prior to a student activity with the open invitation to the guests that they may attend the activity following the reception.

During the annual professional staff retreat, the staff agreed that the process for individual campus visits is a successful one and has chosen to make no changes to this program. The continuation of the following specific notes/ideas surfaced to enhance prospective student visits:

 The Office of Admissions will continue the successful practice of providing an estimated financial aid awards letter to visitors who choose to fill out a financial aid estimator just prior to or during their campus visit.

 If the Residence Halls are completely filled during the 2013-2014 academic year, eliminating our ability to use a mock dorm room to show to student visitors, the Office of Admissions will approach a current freshman living in Merici Hall and offer an incentive (gift card) for permission to show her room anytime there is a campus tour.

Communication Management

Communication Management is a systematic way of communicating to constituency groups who express an interest in Brescia University. The following is a series of communications that will be developed for the 2013 – 2014 academic year:

Catholic Parishes / Catholic High Schools

During the professional staff retreat, the Office of Admissions felt it important to continue communicating with Catholic parishes, as well as Catholic High Schools within all travel regions. This year, the Office of Admissions will send a postcard to parishes and high schools to remind them of the Catholic Connection Grant Program.

During the annual professional staff retreat, the Office of Admissions decided to continue to forego a formal communication plan to high schools due to 1) our materials being distributed as part of the KYACAC program at the beginning of the recruitment year, and 2) that materials are hand delivered to high schools when visited. However, Christmas Cards will continue to be sent to guidance counselors.

Recruitment Plan 2013, 61

Senior

A senior is defined as an anticipated or recent high school graduate with no college credit. By far, this population is one of the most important in order to grow enrollment. This population demands constant contact via mail, email, telephone, and text. Because of the importance of this population, a large investment of resources will be expended to recruit this population.

During the professional staff retreat, the following strategies were discussed as enhancements to the current communication plan for seniors:

Facebook

 The Office of Admission plans to continue to utilize alternative media in our recruitment activities. The following are a few strategies that will be used through our Office of Admissions Facebook page: o Invitations to visit programs. o Pictures from visit programs. o Pictures from the road taken by Admissions Counselors using their IPhones.

Inquired

 Having Student Ambassadors call prospective students significantly enhanced the communication from the Office of Admissions. Student Ambassadors will continue to call only applicants in the fall semester, and will focus specifically on calling applicants at 0 days applied. In the early spring semester they will begin calling admitted students to encourage them to file their FAFSA. Following that round of calls, Student Ambassadors will go back to following up with the applicant pool. More details can be found in the Student Ambassador section of the recruitment plan.

 The Office of Admissions will continue to send seasonal email newsletters to prospective students.

 The Office will continue to do a bulk mailing of the campus viewbook to inquired students without valid email addresses. Students with valid email addresses will become part of the Royall Program. The rest of the inquiry sequence will begin in October with a financial aid mailing.

 In order to continue the discussion of value, a letter with a reference link to the financial aid estimator will be mailed along with the Financial Aid Brochure to inquired students. This form will be same used with our campus visitors in order to complete an estimated financial aid awards package for students.

 Ahead of the bulk mailings, the Office Assistant will send out teaser emails through Constant Contact that will provide students with that mailings section to the website to review. These teaser emails will be set up in the summer months to help speed up processing. Recruitment Plan 2013, 62

 The application fee waiver coupon will continue to be extended until February 1st.

 It was agreed that we would like to add a new division-specific viewbook for the Division of Mathematical and Natural Sciences into to the current roster made up of the School of Business and School of Education. Students interested in majors within the schools of business, education, or mathematical and natural sciences will receive the viewbook for their specific division interest instead of the general academic viewbook.

 Admissions Counselors focus will continue to be to build relationships among the admitted pool, so follow-up efforts via telephone, email, and texting will be primarily with this population of students.

Applied

 As mentioned under the inquiry sequence, the Admissions Counselors will continue to focus only on admitted applicants until such time it is appropriate for them to follow up with applied students. This void will be filled by the Student Ambassador calling during the fall semester, with a 0 day applicant focus.

 In addition to the Royall Applicant communication tracks, the Office of Admission has a separate communication track for the Schools of Business and Education, and will develop a new separate communication track for the Division of Mathematics and Natural Sciences this year. Within each of these tracks, we will continue to have separate communications for applicants whose first point of inquiry was their application.

 The length of the communication strategy will remain at 60 days.

 In order to continue the conversation of the value of a Brescia education, a reference to the online financial aid estimator form will be included with the financial aid viewbook when appropriate.

Recruitment Plan 2013, 63

Admitted

 The Student Ambassador Calls will continue to be removed from the admitted communication plan until January when the students will be calling the admitted pool in order to file their FAFSA.

 Brescia University is still able to offer the Thompson School of Business Academic Scholarship to students interested in the field of business that fall within the top two academic tiers. This letter and application will continue to be incorporated into the communication strategy.

 Last year, Brescia University was able to offer the James F. and Virginia Coughlin Endowed Social Work Scholarship to students interested in the field of Social Work and a letter about this scholarship and an application were incorporated into the communication strategy. Now that the scholarship has been awarded, it cannot be awarded again until the student recipient graduates or is no longer enrolled at Brescia, so the letter and scholarship application will be removed from the communication plan.

 A separate communication strategy has been developed for students pursuing a major in business or education, and a new communication strategy will be developed for students pursuing a major in the division of mathematics and natural science. This changes will be to substitute a letter from the Chair of the respective division along with that division’s viewbook in lieu of the academic brochure that is used.

 The number of counselor calls to admitted students will continue to occur at 7 days, 45 days, and 120 days after acceptance.

 Under the award letter strategy, the out of pocket letter sent under the Vice President for Enrollment’s signature will be moved to 45 days after the award letter is mailed. This will help to clarify the aid for students who complete the verification process. Also, language regarding the PLUS loan will be removed.

 A postcard mailing will be added in January to remind all admitted applicants that it is time to file their FAFSA.

Transfer

A transfer student is anyone who has been out of high school for more than three years or has any college credit. This population is equally important as the senior population but does require a different strategy of communication. Transfer students typically want all of their information up front to make an informed decision before submitting an application. Scholarship Program

The academic scholarship program for freshman is based on the student’s academic ability in high school and composite score on a standardized examination. After consultation with Noel Levitz, the following formula was used that weights standardized test scores at 60% and the high school GPA at 40%:

ERMS Score = (1.6667 * ACT) + (HS GPA * 10)

NOTE: If student takes the SAT, an ACT composite score will be determined using a concordance table provided by ACT.

Once the ERMS score formula was determined, Noel Levitz identified statistical splits within the following five ranges:

Tier I 78.0 – 100.0 Tier II 70.0 – 77.9 Tier III 63.0 – 69.9 Tier IV 56.0 – 62.9 Tier V 0 – 55.9

Based upon this information and the yield rates of students at various levels of gift aid within each tier, the following dollar amounts will be offered to freshman:

Other Scholarship / Grant Programs

Catholic Connection Grant Due to the success of the Catholic Connection Grant in directing youth to Brescia University, the program will not be changed for the 2013 – 2014 academic year. The program will continue to be offered to all admitted graduates of a private catholic high school or upon the recommendation of their parish pastor provided the student lives on campus. Students receiving the Catholic Connection Grant cannot stack an academic scholarship on top of this award.

Alumni Grant The Alumni Grant fosters good will among our alumni community. This grant will continue to be offered to dependent children of alums at a 10% discount of tuition costs. This grant can be stacked on top of all institutional aid.

Moore Presidential Scholars, Endowed Scholarship Program Beginning in the 2009 – 2010 school year, Brescia University offered scholarships through the Moore Presidential Scholars, Endowed Scholarship Program. The requirement for this award is the student must have maintained a 3.0 GPA, show examples of servant leadership, and must be articulate. An application and personal interview is also required. The deadline for submission of this application will be February 15th with candidates selected by Mid-March. This grant is be able to be stacked on top of institutional assistance.

Thompson School of Business Scholarship Program Beginning in the 2011 – 2012 school year, Brescia University began offering scholarships through the Thompson School of Business Scholarship Program. The requirement for this award is the student must have maintained a 3.0 GPA and major in a program within the School of Business. An application and personal interview is also required. The deadline for submission of this application will be February 15th with candidates selected by Mid-March. This grant is able to be stacked on top of institutional assistance.

Out of State Incentive Grant In an effort to increase submission of the FAFSA application for out of state residents, the Office of Admissions will continue to offer $2,000 grants at the point of acceptance in addition to their academic award.

KCTCS Graduate Grant In keeping with tradition, a $1,000 grant will be offered to all graduates of one of the KCTCS member institutions.

Brescia Incentive Grant (BIG) The Brescia Incentive Grant will continue in the 2013 – 2014 academic recruitment year; however, the formula for determining these awards will be based on information provided by Noel Levitz. Recruitment Plan 2013, 94

Ambassador Program

During the 2013-2014 academic year, new Student Ambassadors will go through a training session with the Assistant Director of Admissions, Amy Leslie. Student Ambassadors will continue to assist the Office of Admissions in the following ways:

I. Lead campus tours. Newly hired Student Ambassadors will be trained as tour guides by the Assistant Director of Admissions, Amy Leslie. In addition, returning Student Ambassadors will be required to give a campus tour to Amy as a training refresher.

II. Work five hours per week that includes one night of calling. During this time, Ambassadors should expect to give a tour of campus if needed, work on his/her bi- monthly blog, assist staff members with general office tasks, or make phone calls to prospective students.

III. Assist the Office of Admissions during on-campus visit programs.

IV. Submit student blogs and participate in student video blogs to be uploaded on the BU website by Assistant Director of Admissions, Terri Higdon.

V. Act as overnight host/hostess. If a visiting prospective student would like to stay overnight on campus, an Ambassador will act as an overnight host/hostess for that student is the Ambassador lives on campus.

Goals

 To tweak and refine the campus tour as well as the information conveyed by Student Ambassadors to prospective students in order to receive high ratings (score of 3 or better) on campus visit surveys regarding the campus tour and overall visit experience.

 Well written, interesting student blogs and entertaining, informative video blogs, consistently updated on the Brescia University website in order to receive high ratings (score of 3 or better) on new student & cancelled surveys regarding the effectiveness of the website.

 Improved consistency and amount of follow-up by Ambassadors to prospective students (i.e. thank you postcards to student visitors, possible email communication to student visitors or promotion of Student Ambassadors on social networking websites).

 To make the Student Ambassador Program an elite group of students on Brescia’s campus made up of students who are not only heavily involved in student life, but who are also known for being solid academic students. This should hopefully improve prospective students’ perceptions of the quality of Brescia’s student life.
