Purpose of job: To co-ordinate and develop a range of volunteering activities to enhance the student experience and in order to increase student participation levels at Anglia Ruskin University. Encourage, support and assist students in volunteering. Be responsible for coordinating volunteer accreditation and certification schemes. Ensure all activities take place under appropriately risk-assessed and safe conditions. The Students’ Union is fully committed to its policies and procedures on Equality & Diversity

Volunteering

 Maintain accessible and up-to-date information about volunteering opportunities for students and respond to volunteering issues and queries.  Implement effective volunteer recruitment procedures and organise promotional strategies to encourage student involvement throughout the academic year.  Keep accurate records of volunteers, project activity and expenses.  Monitor and remain within the volunteering budget.  Actively promote volunteering via a wide range of media in conjunction with the Communications department.  Liaise with relevant national organisations, keeping up to date with developments in legislation that may affect volunteering, such as funding and child protection issues, acquiring best practice and providing advice and guidance where necessary.  Give one-to-one/group inductions to volunteers and, where necessary, devise and deliver relevant training sessions.  Offer a high level of comprehensive support, information, training and advice to students at all stages of their volunteering experience.  Ensure that best practice in volunteering and all relevant legislation is adhered to.  Ensure volunteering is accessible to all students through consideration of all demographics and the development of a diverse range of volunteering opportunities.  Identify, develop, support and promote volunteering projects and one off volunteering opportunities, enabling students to develop their skills, knowledge and experience.

Administration

 Review projects and monitor targets, using this information to advise on, initiate and develop new projects as appropriate.  Seek opportunities to promote the positive impact of the volunteering department internally within the Union, University and externally through the local community and local and national press.  Where possible to nominate projects/ volunteers for local and national recognition awards.  Report on volunteering activities to the relevant Union and University committees.  Ensure registered volunteer paperwork is fully complete and up to date and stored appropriately to maintain confidentiality.  Maintain the office in a professional and tidy manner at all times.  Be the Union’s first point of contact for students in a friendly, effective and efficient manner and ensure all interactions provide the highest levels of customer service possible.  Ensure the volunteering pages of the Union’s website are regularly updated in line with the Students’ Union communication strategy.  Prepare timely reports and statistical analysis of the volunteering activities.

Health & Safety

 Ensure acceptable risk assessments exist for all activity and maintain up to date records.  Ensure rigorous compliance with Health and Safety policies. Report any faults or health and safety concerns immediately to your line manager.  Ensure rigorous compliance with the Criminal Record Bureau legislation.  Undertake checks to certify that appropriate procedures are in place. Where there is evidence of inadequate documentation or procedure, report this to your line manager to ensure appropriate action to safeguard participants.

Developmental work

 Seek external funding streams to enhance the volunteering project.  Develop and implement recognition structures for volunteers, including certification, accreditation and an annual awards event.  Liaise with local volunteering groups, relevant external organisations and University departments to share best practice, and establish new community projects where appropriate.  Support student led volunteering ensuring that appropriate training is given and that Union policies and procedures are followed.

People

 Ensure that all staff under your responsibility are inducted fully into their role and into the organisation and are regularly appraised using the Union’s PPR and 1 to 1 procedures.  Manage staff in a fair, consistent and professional manner, encouraging learning and development to maximise their personal potential in their current and future job roles.

Other

 Assist with the organisation of events, such as the Freshers’ Fair.  Carry out all duties and responsibilities in accordance with Anglia Ruskin Students’ Union Equal Opportunities Policy and Student/Staff Protocol.  Actively promote exceptional customer service, taking a proactive approach at all times.  Ensure the Union’s Constitution, operating systems, policies and procedures are adhered to at all times.  Attend and contribute to team and Union meetings.  Contribute to the positive image of the Union with students, the University and the local community.  Ensure financial procedures are followed at all times.  Carry out any other duties or projects as may be assigned to the post-holder by the SU and which are reasonably consistent with the position.

It is important to know that you will be expected to have a Personal Development Plan and to participate in any training programme, meeting or conference considered relevant to your job. The Students’ Union expects all staff to participate in, and take ownership of, their Induction, Personal Review Programme, Departmental Staff Meetings and be responsible for carrying out duties with full regard to the rules, policies and procedures and conditions of service contained in the Staff Handbook, and within Departments of the Students’ Union.

A condition of employment is that all staff are expected to assist in key events throughout the year e.g., Fresher’s Fair and any other key events, including elections, if necessary. Staff are expected to portray a positive image, both internally and externally of the Students’ Union by displaying high standards of service, integrity, punctuality, politeness and professionalism.
