TITLE: Front Desk Lead

PERFORMANCE PROFILE SOURCE: Administrative Support Professional

DEPARTMENT: Program

REPORTS TO: Membership Services Manager

□ EXEMPT X NON-EXEMPT

PRIMARY FUNCTION:

This position provides assistance to the Manager of First Impression (MFI) of whom and what Boys & Girls Clubs of Topeka is. The Front Desk Lead works collaboratively with the MFI to provide quick response on member pick up, parental questions and phone assistance.

KEY ROLES:

Club Guests

1) Greet guests with a warm, welcoming & helpful attitude

a. Respond to guest’s inquiries, needs or requests

2) Answer main phone lines

a. Transfer call to appropriate BGCT personnel

b. Take messages when applicable and forward immediately to appropriate personnel

Donors

1) Notify Program Team of in kind donations received

Club Members

1) Greet all Club members with a friendly smile

2) Accurately track all members entering Club

3) Request members to dispose of chewing gum & put away cell phones

4) Provide direction to members as to their designated area

Club Member Departure

1) Notify appropriate Youth Development Leader that Club member’s transportation has arrived

2) Getting members from program area when authorized caretaker arrives

3) Assists MFI that members are leaving with an authorized caretaker

4) Assure appropriate Child Care Subsidy forms are signed in accordance with each provider

5) Remind members to have backpack, personal belongings, musical instruments etc.

6) Assure any and all Club forms (Think Time sheets, Incident forms, Accident forms etc.) are provided directly to the caretaker

7) Contact appropriate program team member to provide a review of Incident form, Accident form with caretaker when applicable

Club Member Support

1) Provide minor first aid when needed

2) Disseminate social recreation activities, supplies during authorized time(s)

3) Provide redirection of Club members to their designated areas

4) Assist in assuring Club Rules are adhered to i.e. no running, no gum chewing, no foul language etc.

5) Provide direct support assistance upon request of Program Lead Team

Club Safety

1) Assists MFI that Club members depart Club with authorized persons only

2) Assure all front entry/exit doors are monitored

3) Alert BGCT Critical Response Team of threat or potential threat situations

9.1.2016FDL 4) Assure only authorized personnel access front desk area, resource & office areas unless so approved by Program Lead Team or Executive staff (members are not allowed access to these areas unless approved by appropriate personnel)

5) Assure all Club volunteers (as authorized and approved by HR Manager) sign in and receive an identification badge prior to Club access

6) Assure Club visitors sign in, receive identification badge and are escorted accordingly by BGCT personnel to their designated area

Front Desk Area

1) Assure front desk counter top remains free of debris and member personal items

2) Assure Club member supplies are stocked and organized (crayons, markers, scissors, sharpened pencils, college ruled paper, drawing paper, glue sticks etc.)

3) Assure First Aid cabinet is stocked and organized

4) Assure social recreation supplies and equipment are organized and in working order

5) Assure all necessary Club documents are accessible and stocked (employment applications, volunteer applications, donation forms)

6) Assure that a visitor sign in sheet is available

7) Assure that visitor authorization badges are available and returned

8) Assure that front desk area is equipped with necessary office supplies (pens, pencils, receipt book, message pad etc.)

SKILLS/KNOWLEDGE REQUIRED:

 Ability to cultivate and maintain positive relationships with individuals

 Knowledge of BGCA initiatives

 Strong communication skills, both oral & written

 Demonstrated ability in working with young people

 Demonstrate excellent teamwork skills and collaboration to achieve successful outcomes

 Inventory control
