CENTER SUPERVISOR  2008-2009 HIRING & TRAINING T H E S E L E C T I O N P R O C E S S

Fri, November 9 Applications are available. Thurs, November 29 Applications are due on the ground floor of the Residential and Student Services building (RSSB), located on 2610 Channing Way, by 5:00pm. Mon, December 10 All candidates will be notified of their Interview via email. Jan. 16 – Jan. 29 Individual interviews are held. You will be notified about your interview time by your (Wed-Tues) Supervising APC via phone and/or email. Tues. February 5 Final Notification letters are available on the ground floor of the RSSB from 9:00am- 5:00pm. Wed. February 6 Hard copies of the Accept/Decline letters must be turned in to the ground floor of the RSSB by 5:00pm. Wed. February 20 Spring Internship begins.

T H E I N T E R V I E W

Successful applicants will be invited to an individual interview with members of the Academic Services staff. Please note that interest in this position tends to be high and that we receive many qualified applications. We only have the resources to interview a limited number of candidates for all available positions. If you are a current or former employee of Academic Services you do not have to turn in your past evaluations with the application packet, however they may be taken into consideration during the selection process.

F A L L T R A I N I N G A N D S P R I N G I N T E R N S H I P

Candidates selected for the Center Supervisor position are required to participate in a paid internship of up to 30 hours during the spring semester. The Spring Internship is an essential part of preparation to undertake the duties of the position.

The internship begins on February 20, 2008 and continues through the end of the semester. It will include the following 1. Training sessions with the Academic Program Coordinators and other Student Supervisors to prepare you for your position with the Academic Services Centers 2. Participation in the hiring and training of new Academic Services Center student staff (see dates below) 3. Meetings with your new staff to begin planning for fall semester opening and Welcome Week 4. P O S I T I O N D E S C R I P T I O N

The Center Supervisor is responsible for the coordination and management of the activities of one residential computing center. Working directly with and supervised by the Academic Program Coordinator, the Supervisor is responsible for the selection, training, supervision, and evaluation of 10 to 12 Academic Services Assistants. With assistance from the Unit Supervisor, the Center Supervisor also helps oversee the technical and administrative aspects of an Academic Services Center.

Q U A L I F I C A T I O N S

Required: Previous leadership/supervisory experience; demonstrated success with administrative, management and organizational skills; familiarity with both Macintosh and PC operating systems; ability to communicate effectively; experience teaching or training others; dependable; minimum G.P.A. of 3.00.

Preferred: Ability to facilitate cooperative peer relationships; ability to work sensitively with students; teamwork oriented; responsive; attentive to detail; a strong focus on customer service; innovative, friendly and approachable.

T E R M S O F E M P L O Y M E N T

 The period of employment for this position commences February 20, 2008 and continues through the end of the 2008-2009 academic year.  The Academic Center Supervisor is paid a wage of $14.50 per hour. The position’s classification title is Assistant III.  The Supervisor must be a currently enrolled University of California student.  Supervisors are required to complete a paid internship of up to 30 hours during the Spring 2008 semester. The internship period begins February 20, 2008 and continues through the end of the Spring 2009 semester.  Supervisors must be available to work all day from August 4-15, 2008 to receive additional paid training, to participate in and help facilitate Academic Service Assistant training, and to set up the Academic Services Center for fall opening. Specific training times will be posted prior to the end of the spring semester.  Supervisors are scheduled to work up to 19 hours during the week of August 18-22, 2008 for “Welcome Week.” Availability all day for Move-in Days, August 16 and 17 is mandatory.  During the academic year, the Center Supervisor work schedule will vary from week to week. Center Supervisors may report no more than 19 hours per week. Within this time, the Center Supervisor is expected to work as many hours as necessary to manage the Academic Services Center effectively. The Center Supervisor work schedule is determined in consultation with the Academic Program Coordinator.  Supervisors are expected to attend the following meetings during the semester:  Weekly meetings with the APC.  Weekly staff meetings on Wednesdays from 6:00pm - 7:00pm.  Monthly Supervisor meetings on Wednesdays from 7:30pm – 9:30pm.  Continued employment is contingent upon satisfactory job performance evaluation by the supervising Academic Program Coordinator. C E N T E R S U P E R V I S O R  2 0 0 8 - 2 0 0 9 DUTIES 4 0 % Selection, training, supervision, and evaluation of 10-12 Academic Service Assistants: 1. Hire a staff of 10-12 Academic Services Assistants in coordination with the Academic Program Coordinator 2. Hire and train additional staff during the academic year as needed 3. Train Academic Services Assistants prior to the opening of the residence halls 4. Provide on-going training and staff development for Academic Service Assistants throughout the year 5. Lead and direct Academic Services Assistants in completing specific tasks related to the operation and management of the Academic Services Center 6. Conduct regularly scheduled staff meetings with Academic Services Assistants 7. Coordinate the Academic Services Assistants work schedule 8. Be responsible for Academic Services Assistants timesheets 9. Hold evaluation meetings with individual Academic Service Assistants once each semester 4 0 % Manage the operational and administrative aspects of the Academic Service Center: 1. Meet regularly with the Academic Program Coordinator and follow through on assigned tasks 2. Meet regularly with the Unit Supervisor to report hardware and software problems 3. Act as a liaison between the Academic Program Coordinator and Academic Services Assistants 4. Respond promptly to Academic Services Assistant requests or concerns in shift reports 5. Respond promptly to user requests and concerns 6. Conduct periodic user surveys of the Academic Services Center, its services, and its staff 7. Track use of the supplies and inform APC as necessary 8. Track usage of the Academic Services Center and prepare statistics and reports as requested 9. Produce materials to advertise the Academic Services Center’s hours, programs, and services 10. Produce forms (reservation sheets, user contracts, etc.) as needed 11. Modify Academic Services Center policies and procedures as needed 12. Maintain a working knowledge of the Academic Services Center and all residential Academic Services Centers, their resources and functions 13. Work regularly as a team with fellow student supervisors 1 0 % Instruction: 1. Coordinate computing workshops for residents using Academic Services Assistants and Residential Computing staff as instructors 2. Develop information sheets, bulletin boards and other educational resources 3. Oversee the one-on-one tutorial service where residents can receive individual instruction on computer-related subjects 5 % Professional Development: 1. Meet once a month with system-wide Center Supervisor Team to share ideas, experiences and resources 2. Consult with the Academic Program Coordinator regarding supervisory and management skill development 3. Keep abreast of computing technology 4.
