Nominating Committee Process and Role Guideline

 Role of the Nominating Committee o Assembly of the Nominating Committee to take place in July o Number of Members for the Nominating Committee . Suggestion not to be all current board members . 2 Board/2 General Members . 1 Chair of the Committee o Committee is to find the best candidate for each office. The bylaws should not tie the hands of the committee to find more than one person to fill each slot; the committee should find the best candidate for each office o Persons serving on the committee can be nominated for office . Ethically all persons on the committee should not be listed on the ballot making it fair to others that do not receive that opportunity, but can be nominated from the floor  Preparation for the search of candidates o The Nominating Committee should receive a copy of the membership list, the bylaws, a description of the duties of each office and the eligibility requirements. o All nominees should meet the requirements for each office o Nominee has to meet the following requirements to be considered . Member in good standing for one year, actively assist in club activities and\or have attended a minimum of two general meetings. With the Members consent to fill in each Office and proper number of Board of Directors . Each nominee should have the ability to fit the appropriate open office o Current board members/officers should have consideration to run for another term and be contacted by the nominating committee . If the current board members/officers do not accept that nomination the role of the committee is to continue reviewing the membership list for other candidates that meet the requirements above o Once the list of nominees is identified, a member of the committee is to call each potential candidate to confirm interest and willingness to server if elected o If no candidate is found, the committee will either find a replacement or leave the slot open for nominations from the floor . Nominations from the floor will take place in October of each calendar year  September General Meeting o The chair of the committee to announce the nominations for each office to the general membership. o The proper announcement by the chair of the committee: . As Chairman of the Nominating Committee we are submitting the following nominations – Provide each position and name of the candidate o In the secretary minutes for the meeting the list of the nominees should be added for proper documentation o After the announcement of the candidate list, the nominating committee is discharged from its duties  October General Meeting o The current president will state to the general membership the nominating committee consisted of the following members: (State each person of the committee) . The nominating committee has nominated the following candidates: (State each person for all officer and board member positions) . Nominations are now open from the floor  Are there any further nominations for president? o This process will follow for each position allowing all members the opportunity to be nominated  If a candidate from the floor is presented the name is written down and the identified position  All names from the floor are to be added to the secretary minutes . The current president will ask for a motion to close the nominations  Second is required  Isn’t debatable  Can be amended  Requires a majority vote if amended, the motion to close nominations requires 2 thirds of the vote o All slate of nominees including those candidates identified by the nominating committee as well as the nominations from the floor shall be published in the November Pup Stuff Newsletter  November General Meeting o Who can vote? . Any member of the BCDTC that has attended at least 2 general meetings has the ability to cast a vote o Ballot will be a closed . A ballot will be provided to all eligible members. The ballot shall have the list of nominees that have multiple candidates requiring a ballot count . Once all members have completed the vote, the ballots are to be collected by 2 members not associated with the nominating committee nor a current candidate on the ballot . The count is completed and the results are written down and provided to the current president . If the nominees provided by the nominating committee are unopposed, the current Secretary shall, with the consent of the membership, cast one ballot for election, and no ballot need to be taken o The new officers and board members are to take their new role January of the new year
