Westhill Tennis Club Committee Meeting Minutes Denman Park Pavillion 8 March 2012

Present: John Wallace; Henry Lints; Margaret Stevenson; Susan McIntyre; John Purcell; Vicky Paterson; Ed Pirie; Nora Pirie. Apologies: Lui Forno.

1. Chairman’s Opening Remarks: not much change from last season; looking forward to a successful year. 2. Minutes of previous meeting summarised. 3. Matters Arising: tennis club should know outcome of insurance for injured lady player. Court Locking: there has been an agreement between Aberdeenshire Council and the swimming pool to arrange for members of the public to pick up keys from the swimming pool. This still has to be confirmed by Jane Wilkinson who takes up post on April 1st 2012. Hunter Construction are to secure the gates: padlock at far side and key available for £5 for adults and £3 for children’s for an hour’s play. A deposit of £10 will also be charged for the key. Members are to have a combination number for the gate nearest the pavilion. After much discussion it was agreed to lock the gates for a trial period. John Wallace is also to look into getting keys cut for the bowlers’ side of the pavilion; members will be charged for these keys. 4. Club website being transferred to Drew Dick so that he can begin to develop it. 5. Secretary’s report: a newsletter is to go out with the application forms to try to encourage more participation in social events. Membership cards are to be posted out along with a chairman’s letter to members. 6. Treasurer’s Report: Deposit account: £1221.35; Current account: £2302.11. Total £3523.46. £200 has been paid out to Tennis Scotland for the Place to Play Registration. 7. NESTLA: Scottish Cup – Westhill Men’s team are to play the semi-final against David Lloyd by 22 April 2012; Westhill Ladies’ team are to play David Lloyd in the quarter finals by 15 April 2012. In the Fleming Trophy Westhill are to play Stonehaven by 19 August 2012. There are 30 men’s teams and 27 ladies’ teams in the leagues this year. Westhill Ladies’ B team have been promoted to Division 2. The rules for the leagues are the same as 2010; this year teams can e-mail results but need to include details about the match. There is a further meeting on 13 March 2010 to view the League Planner. All league players must have a British Tennis Membership. 8. Men’s Teams: Mark Lints will be playing this year for the Men’s team; club should aim to get a second men’s team. 9. Ladies’s teams: as the club has lost a few lady members we might struggle to get enough players for 2 teams. 10. Junior coaching: starting after the Easter holidays on Wednesday/Friday nights. Vicky to encourage new members; might be more appealing with locked gates. It was also established that non-members for coaching pay extra which then goes back to the club. 11. Social Tennis: concern about lack of social play for club members; also that team members are not joining in social play or joining the committee. It was agreed that there is a need to raise awareness of the tennis club; posters to advertise “0pen” tennis on Monday nights to be devised by Margaret and Susan and displayed in public places. It was agreed that an American tournament will be held on Saturday 21 April to include the Wimbledon ballot and a raffle; committee members to donate prizes. Margaret and Susan to organise.

12. Denman Park Pavillion Committee: John Wallace continues to be chairman; Facilities in Westhill have lost their grants this year; idea has been proposed that leisure facilities join together to form a “hub”; a meeting to discuss this will be held on 27th March 2012. The tennis club owes the Pavillion Committee £600 for maintenance of facilities. After discussion it was agreed that Henry Lints writes to the Pavillion Committee to suggest working out more realistic costs for the facility. 13. Net posts: posts are tearing away from the ground; inspected by Hunter Construction and council official; the former claim that the posts were fixed in properly; the agreed cause was that the posts had buckled because of undue tension; new boxed in posts to replace current ones hopefully free of charge. John Wallace to contact construction company. 14. AOCB: Lui Forno has offered to construct a notice board for the club; this approved. Westhill Academy have requested use of the courts for events week on 14-16 May 2012 from 10-12 and 1.30-3pm; this was approved; any other access by the school would need to be booked in advance.
