Staff Search & Hire Process Checklist

 Secure Budgetary Approval for Position (required for all positions except Student Workers e.g. STUWK, GRA, GTA)

o CAES Request To Fill Form (have job description with duties/responsibilities ready)

 Recruitment & Selection

o Adopt proactive steps to recruit historically underrepresented candidates

o Prepare & Submit iPAWS Action

. Conduct interviews (use BEI - Behavioral Event Interview questions) and reference checks

o Choose candidate and draft a Staff Offer Letter – choose based on internal/external applicant type

o Make offer & receive signed Staff Offer Letter along with signed Consent for Background Investigation form

o Submit Hiring Proposal in iPAWS with signed Consent for Background Investigation form attached under Supplemental Documentation **If the desired salary to offer a candidate is above the annual entry maximum, a Request for Salary Action must be completed and attached under Supplemental Documentation

o Await “All Approvals Obtained” email from UGA HR and then designate position as ‘Filled’ in iPAWS

 Fiscal Action

o Initiate Personnel Action (employee will receive UGA Onboarding email invitation a day or two after initiation)

 Onboarding & Orientation

o Supervisor requests MyID via “Request a MyID”. Refer to FAQ’s.

o Complete I-9 form online – Reference User Guide

o Contact your CAES OIT Help Desk for specific setup support; also view the EITS Faculty & Staff Guide

o UGA’s Hiring Department Checklist ; add employee to USG Ethics and Secure UGA trainings in eLC

o UGA Request for Services form o Self Service website for employees
