MILLET MINOR HOCKEY ASSOCIATION – Meeting Minutes of December 5, 2013 1

In attendance: Brenda McKinney, Donna Zurbrigg, James Johnston, Brenda Gablehouse, Becky Buchaski, Josephine Stewart, Tanya Huolt, Kenny Herman, Giovani Favis, Erin Halldorson, Wayne & Sherri DiLallo, Amy Alders, Nicole Harrington - secretary

1. CALL TO ORDER: Brenda McK. called this meeting to order 8:07pm.

2. APPROVAL OF MINUTES: Minutes of November 4, 2013 – Gio F. motioned to accept minutes – Kenny H seconded – Carried.

3. ADDITION/APPROVAL AGENDA: Wayne D motioned to accept agenda – Kenny seconded - Carried

4. REPORTS: a) PRESIDENT – Brenda McKinney - Things are going very well, everyone seems to be handling everything sufficiently, such a quiet year hasn’t happened in awhile.

b) VICE-PRESIDENT – James Johnston - A few RCMP clearances are still needed

c) TREASURER – Donna Zurbrigg - Donna read the Account Balances and MMHA has an Overall Total of $57,023.49. There are some questions regarding ice billing on Nov 30 with the Novice Tournament, was there open ice or a mistake in billing on the town’s end as they are billing from 7am to 7pm for Saturday and Sunday. No monies as of yet have been received from the Jr C team for their ice time. Brenda Gablehouse to look into this. Motion to accept the financial report was by James, seconded by Amy. Carried.

d) ICE COORDINATOR – Wayne Di Lallo - All teams would really appreciate more ice time. Next year it might be a good idea to pick up the Thursday night ice times again. Wayne is doing a good job, with a steep learning curve. - Ice for Hockey Day In Millet has been officially booked

e) REFEREE IN CHIEF – Kenny Herman - All is well with 14 officials, two brand new. We hosted the ref clinic, bringing in approximately $450, which paid for the instructors. The fact that we hosted saved us a good amount of money. Officials are doing a good job thus far, with lots of outside calls for our officials to travel.

f) REGISTRAR – Becky Buchaski - Most RCMP checks are in, Bantam is missing 5, and Atom is missing one, Midget missing 2. Debbie and Becky were talking and want to advocate to 16/60 that our record checks be good for a three- year basis. As well, RCMP checks will be kept online, thus being attached to coach’s profiles, with the original being returned to the coach. - The only team that has expressed interest in participating in Provincial Play downs is the Atom team. Deadline was December 1, and the intent was submitted. - All teams are now approved and locked. We are able to add players/coaches up until January 10, 2014, but we are now being charged accordingly to the registration numbers for insurance. Therefore, if there are any kids or coaches that are no longer on the team, they need to let Becky know ASAP in order to prevent us being charged for someone who is no longer part of the team. - Initiation and Tom Thumb are not allowed to affiliate. This leaves our Initiation team with really low numbers in a game situation, as they have had two players drop out which takes their roster to 8 players. - Registration fees are coming along very nicely with automated fees. We have received a grant from Jumpstart for one of our registrants, thus resulting in that family’s fees being fully paid. There are 7 families on a payment plan; three families have submitted post-dated cheques and 7 families are on an automatic credit card monthly payment.

g) BINGO COORDINATOR – Erin Halldorson - Bingo pooling payouts for October pull tickets $978.07, bingo $173.06/event. November payouts was pull tickets $740 and bingo $152.99/event. - Erin needs three casino cheques for Joyce to take with her. A minimum of $200 must be in the bingo account. MILLET MINOR HOCKEY ASSOCIATION – Meeting Minutes of December 5, 2013 2 - The Casino is coming up on December 13/14 and Erin needs a minimum of 6 back up workers, in case of original workers not being able to fulfill their position. - As of January 12, 2014 PHBA is requiring 14-15 people to work the bingos. - AGLC states that one person cannot be selling two different tickets at different price points, now requiring EB2 to be the Wild For Bingo seller, and separate people selling Bonanza. - Kids 14 and over can sell Satellite or Bonanza cards only. - Erin asked Debbie to add a map to the bingo sign up page, for new families who are not familiar with Wetaskiwin and the new location of the hall. - If a parent comes to coordinator with a bingo question please insist these questions be brought directly to the bingo coordinator. - Effective December 31, 2013 Erin would like to step down out of the bingo coordinator position due to personal family reasons. If anyone can think of anyone who is willing to take over the position, Erin will provide all the training, and information. - Brenda is wanting to have the AGM in mid-March and requested that Erin hang on until then, Erin agreed. - We have one bingo in February, two in March, two in April, with all bingos listed on the website.

h) PUBLIC RELATIONS – Sherri Di Lallo - Sherri wants to put the Hallowe’en supplies into the cage at the arena for storage. - She has several receipts for the Halloween party that still need to be reimbursed.

i) EQUIPMENT – Giovani Favis - Tournament cage is very full and Gio is wanting to know what he can get rid of. - Gio is putting the purchase of a skate sharpener on hold for now. - He has ordered some extra socks, in case of ripped or missing player socks, which just need to be picked up from Don. Players are to purchase any replacement, $15 for the reebok socks, the knitted socks are $12 for pre-novice.

j) JUNIOR C – Brenda Gablehouse - The Jr C team is still looking for its first win. - They have bingos booked, some for fund raising and their obligatory 4. - Team is hoping to do a bottle drive. - The Grey Cup tickets are done. Brenda is still waiting for some of the tickets to come back in. She is needing to get the gaming report sent off within the next 60 days. Several books were not sold at all. This is very frustrating, to try and get things going, and keep the boys accountable. - Richard Gablehouse has almost completed grinding the crosses so that they can be installed in the spring. Thank you Richard for your time and assistance, it is greatly appreciated. - A sponsor for the jerseys is being looked for. - Sponsor bars are ordered, but the new jerseys are not in yet.

k) MIDGET - Laura Johnston (not in attendance, report given by James) - The tournament in March will have eight teams in attendance.

l) BANTAM - Trish Schroeder (not in attendance, report given by Amy) - The tournament went very well. Some teams seriously outplayed us, but the kids continued to try hard. The puck toss went well. All the parents really came together and filled all the shifts. One outside team pulled their team off the ice during a game.

m) PEE WEE – Amy Alders - There is not much to report. A March away tournament has been booked. There will be a parent meeting for their home tournament in January this week. - The kids have two wins and one tied game thus far. Even shorthanded, they are holding their own. The goal tending issue has settled down for now, so that is a relief.

n) ATOM – Tanya Huolt - We went to a tournament in Eckville. They won their first game, lost the second, and we didn’t play the third game due to the opposing team being a tier 2 level. However, a coach can be suspended up to three years for not playing the game. - Vivian is in charge of their home tournament, with 8 teams paid for and more teams wanting in.

o) NOVICE – Josephine Stewart MILLET MINOR HOCKEY ASSOCIATION – Meeting Minutes of December 5, 2013 3 - The novice team had a good tournament. After all expenses they earned over $3000.

p) INITIATION - Vivian Humphreys (not in attendance, report given by Gio) - Their home tournament is almost full, with only two cheques being waited on - Oil Kings day had to be postponed due to weather and road conditions, the Oil Kings were kind enough to move dates for them. - Tom Thumb games are in the process of being scheduled with potentially 7 away and 7 home games. The parents are saying the more games the better. - They will be attending a tournament in Beaumont in February. - Parents voted to do a second tournament in March in Wetaskiwin. - Initiation has lost two children, bringing the total down to 8. All kids now are gliding, no more ‘walking’, YAY! - They will be having a parents meeting to see if Initiation kids want to attend the Tom Thumb tournament in March in Wetaskiwin.

5. OLD BUSINESS a) SANTA FAMILY SKATE- Sherri has someone willing to play Santa, the costume is available. No elves as of yet, Josephine Stewart has said her two girls will help Santa. Santa candy bags are made and stored in the furnace room.

b) REFEREE PARTY – Their party will be held during the week of Dec 16.

c) HOCKEY DAY IN MILLET – Almost all the games are scheduled. A meeting needs to be held to see which teams will be adopting which teams. Also a decision needs to be made about the prize tables, and the 50/50’s. Sherri to contact Ken Roberts about his silent auction table. d) PROVINCIAL ENTRIES – discussed above

e) MMHA APPAREL- There was a very good turn out for people purchasing.

f) REMBERANCE DAY – There was a good amount of kids attending. Cody Trent carried the wreath to the stage. Several of the kids walked from the school to the cenotaph and officially laid the wreath there.

6. NEW BUSINESS: a) HOCKEY DAY IN MILLET - discussed above

b) SCAT TESTING- Melinda printed off the new SCAT tests, and this year’s version states that it is to be used by medical professionals only. Her concern is that parents are not going to be using the paperwork properly; therefore she is concerned that MMHA be liable. Coaches have been instructed that in the event of an injury, that the kids are not allowed back on the ice until they have a doctor’s note. Melinda is stressing that if a child has been hit hard enough that the SCAT test is required, they should not be allowed back on the ice. Discussion held that families need to be reminded of the symptoms of concussion.
