Context The British Red Cross is part of the International Red Cross and Red Crescent Movement, the world’s largest independent humanitarian organisation. The British Red Cross promotes humanitarian values and provides emergency help to people in short term crisis in the UK and overseas. Within the UK, the British Red Cross operates through 33,000 volunteers and 2,800 staff.

The post is part of the Community Fundraising Team spanning the UK and the Channel Islands. There are over 60 members of the team raising funds and building relationships with supporters through community events, national events, emergency appeals and also legacy fundraising. The Events team play a crucial role in generating sustainable net income, bringing new supporters into the Red Cross and providing event expertise across the wider Community team.

Scope This post reports to the Community Fundraising Manager - Events and is responsible for the project management of a number of challenge events, creating solid marketing plans to ensure recruitment and income targets are met. The role is responsible for participant recruitment, on the day logistics including hospitality areas, and working closely with Community Fundraising colleagues to support participants in their fundraising and maximise income potential. In addition the role supports the wider Community Fundraising team to promote events locally and identify new event opportunities. The role also has the opportunity to be involved in product development, supporting targeted testing of new events and wider roll out of existing events. The role requires exceptional team working, interpersonal and relationship building skills, a high level of numeracy and literacy coupled with flexibility and adaptability. This role has the opportunity to mentor an intern as required.

Draft Oct 2008 1 Overall Purpose Of The Role The overall purpose of this role is to increase ROI from events through national marketing and supporting participants through close working with Community Fundraisers. The post acts as a central contact for the wider Community Fundraising team and provides marketing materials and event support across the events portfolio. The role project manages a number of event projects throughout the year and mentors interns when required.

Main Duties and Responsibilities 1. To lead on specific events and to support with other events as necessary, including:

 Work with line manager to help formulate and monitor annual and event-specific plans and budgets and help to ensure objectives are met – including targets for income, publicity, supporter development and other.  Work and negotiate with external partners and organisations.  To work across the organisation to ensure the events are well marketed and all avenues for promotion have been explored; in particular through Comms, Digital Fundraising and Corporate teams.  To ensure events are marketing effectively online through close working with Digital Fundraising, in particular through the use of google ads and social media  To work with Community Fundraising colleagues to ensure they are equipped to market events on a local level and support them in the supporter care of participants to maximise income potential  To work closely with external event organisers and ensure all participants are registered for events and the information from the event organiser has been effectively communicated to participants and Community Fundraising  For specific events: research and book venues, prepare basic budgets & time schedules, prepare mailings, ticketing and guest lists and contribute to marketing plans. To assist in the follow up including chasing of fundraised income and evaluation afterwards.  To help to ensure that all fundraising activity complies with charity law, Fundraising Standards Board, Institute of Fundraising Guidelines, BRCS policies and procedures and that all relevant activities are administered through Brit Cross Ltd

2. To deal with telephone enquiries from within the Society, from members of the public, taking action as necessary.

3. To ensure that all online fundraising systems are deep coded for events and that the emailed enquiries from the main ‘Challenges@’ address as well as other related email in boxes are dealt with and action as necessary (in collaboration with Community Fundraising Administrator)

2 4. To create and update event related web pages on the BRCS website and appropriate related external websites. To ensure web pages are updated regularly and to time following an event.

5. To carry out word processing of general correspondence, letters, memos in the course of the planning and implementation of the events.

6. To enter onto the database and to mail merge for multiple mailing. To maintain the database by regularly checking for duplication and ensuring all data is kept protected in line with data protection guidelines/policies.

7. To undertake financial administration including the raising of purchase orders, preparing accounts submissions and processing offline and online income. To ensure accurate and up to date records of income and expenditure

8. To liaise with suppliers, venues, event organisers etc. as required, negotiating prices where appropriate.

9. To undertake any other reasonable duties within the remit of the post and ad hoc projects as requested by Community Fundraising Manager - Events

10. To deal with confidential information in an appropriate manner at all times.

11. To uphold the Fundamental Principles of the International Red Cross and Red Crescent Movement and to work within the Society’s Equal Opportunities Policy.

PERSON SPECIFICATION

EDUCATION/ Educated to degree level or equivalent TRAINING EXPERIENCE Experience of project management of UK and/or overseas Challenge (Trekking, Cycling etc.) style events or similar ** Experience of project management of UK and/or overseas Run/Marathon events or similar ** Knowledge of budgets/financial controls ** Proposal writing & feasibility analysis Working with internal/external suppliers on print, design publicity and other materials ** Evaluation & strategic planning ** Experience of working with a broad range of people ** Working within the voluntary sector ** KNOWLEDGE/ Strong organisational skills** TECHNICAL Experience and/or knowledge of managing paid for search SKILLS marketing and Google Analytics would be preferable Experience and/or knowledge of using the reporting and back end systems of online giving websites Excellent written & verbal communication skills** Attention to detail** Ability to prioritise workload and meet tight deadlines** Tact, diplomacy Creative, imaginative Proactive & enthusiastic Excellent IT skills including Word, Excel & charity database management**
