2. Minute of Meeting held on 2 November 2012

The minutes of the meeting held on 2 November 2012 were accepted as a true record.

The Chairman welcomed everyone to the meeting and introductions were made around the table.

The Chairman welcomed Rev Samantha Ferguson who will be representing the Scottish Episcopal Church and conveyed Father George Hutcheon’s apologies, who will represent the Roman Catholic Church.

Item Subject Action 3. Matters Arising

3.1 Chaplaincy Listening Project As per James Falconer’s presentation at the last meeting, Laura reported the pilot has been completed in Grampian and a meeting has been scheduled for end of March to discuss findings. Ongoing discussions will continue with NES to sustain this service, as well as discussions around the holding some listening sessions within the Health Village, if available.

It was noted that a meeting took place at the Beardsmore Conference Centre in Glasgow at the end of February to get more feedback and discussion around this project. Three GPs from the Grampian area also attended. Feedback will be submitted for the next meeting of this group.

3.2 Prayer Room (ARI Mosque)

At the end of the meeting in November 2012, the Committee visited the Mosque on the Foresterhill Site. Various issues were identified, especially around the lack of space. It was noted the location of the Mosque is good, but the actual physical and social aspects of the facility are poor. Laura confirmed dialogue is ongoing with the Modernisation and Finance Directors within NHS Grampian to try and address these issues. Dr Hassan Ali LG reported that a new committee has been established and will meet with Laura to go through the specifics required. At present no females are able to attend the Mosque prayers on a Friday due to the lack of space.

4. The National Scene – Dr Ewan Kelly

Dr Ewan Kelly, Programme Manager for Healthcare Chaplaincy and Spiritual Care, NHS Education for Scotland, was invited to present on “The National Scene – Development of Spiritual Care Provision in Health and Social Care in Scotland.”

Dr Kelly commended the NHSG Board and the Spiritual Care Committee for both the operational and strategic delivery of Spiritual Care in Grampian. Following an very informative presentation the following points were highlighted:

● A facilitated day was arranged recently in Grampian which looked at the capacity of work undertaken by Chaplains, used

Item Subject Action an ‘assets based approach’ to look at different ways of providing the service.

● Shifting the Balance of Care should incorporate visiting people at home, especially if people live alone. The WRVS are currently working with NHS Grampian to deliver support at the bedside, as well as their traditional catering/trolley roles. We would like to encourage Chaplains/volunteers to work as specialists helping to support people.

● It was recognised that Chaplaincy requires national recognition and strategic relationships are required with the Government. The meeting at the Beardsmore Conference Centre in Glasgow will be looking at CCL with attendance from Elizabeth Ireland, Graeme Kramer and John Gilles from the RCGP.

● The single rooms at ECC came up as an issue. It was confirmed that the Government policy now states that any new hospitals will require 100% single rooms. Questions were raised around how we can influence the Government’s policy around Person Centred Care, as single rooms are not appropriate for everybody.

● Stuart Hannerbuss raised an issue around the work of the Ethics Committee:

Dr Kelly acknowledged the need to wake up to the increasing number of people undertaking research. Encouragement is also required around collaborative research.

Chaplains could support Allied Health Professionals so that value based reflective practice may be translated into the work place.

● It was agreed the integration of Health and Social Care could be significant for the deliver of care.

Dr Kelly was thanked by the Chairman for this inspirational and reflective presentation, particularly his insight on Health and Social Care Integration and need to proactively address taking this forward. The Person Centred Care Initiative put in broader context produced a list of interesting thoughts to look at in the future.

5. Annual Chaplaincy Report Rev Rodgers Rev Mark Rodgers provided the Annual Chaplaincy report for discussion. The following points were noted.

● All changes within Chaplaincy are highlighted in the report and it was acknowledged that this has been a year of change.

● Staffing Changes – these have been constant, with the retiral of Rev Muriel Knox, Lead Chaplain at Woodend, to be succeeded by Rev Alison Hutchison. Rev Lizzie Campbell has taken up a full time post at ARI.

● Physical Changes – this is still a challenge in terms of supporting staff and patients. The single rooms at the ECC can be isolating but patients are more open to engage in conversations with the Chaplains. Support is also being offered to staff who are finding the new layout more challenging. A new Chaplain office is now based in the Operational Unit of the ECC.

Strategic Changes – Healthcare Chaplaincy in Scotland have set out three priorities that involve strategic change in the way we work as Healthcare Chaplains. These are:

Values Based Reflective Practice – during 2012 the Aberdeen Chaplains continued to engage in reflective practice. Two groups continue to meet which are facilitated by Muriel Knox and Trudy Noble. Muriel and Trudy are still receiving training in this area from NES. An opportunity was sought to speak about this to a group of staff working with Older People in Acute in early 2013, with the aim to piloting this in the acute sector, alongside the pilot in Mental Health.

Community Chaplaincy Listening – NHS Grampian would like to sustain and embed this project.

Patient Related Outcome Measures – It will be next year before this is rolled out in NHS Grampian. The Patient Related Outcomes Measures is a form of research into the outcomes from Chaplaincy encounters. It has already been piloted in NHS Lothian and will be rolled out across Scotland next year.

Rev Rodgers was thanked for this very helpful report, and it was noted the success once again of the seasonal carol concerts.

Item Subject Action 6. Reports from Sectors

6.1 Aberdeenshire CHP – Morag Mitchell The following was noted:

● A list of all Chaplains within Aberdeenshire has been received.

● Now in stock is the leaflets – “When Someone Dies” District Nurses have all been given a supply.

6.2 Mental Health – Bill Cowling The following was noted:

● Spiritual Care staff will be considered for inclusion with the Mental Health and Learning Disability Sector Workforce Plan. Work is still ongoing.

● The Spiritual Care aspect of the 36 national commitments are being developed by Jim Simpson then shared across partnerships. It was noted the Mental Health Strategy for Scotland 2011-15 might be interesting for Committee members, and give an opportunity to pick out any strands relating to Spiritual Care. Copies of the reports can be sought from Jim Simpson. It was confirmed this report is an agenda item at the NHS Grampian Board meeting on Tuesday 5th February.

6.3 Moray – Liz Tait The following was noted:

● There is still an ongoing issue around the security within the Chapel. On two occasions a member of the public has been found behind the curtained area, which is open 24/7. However, the Chapel is now closed from 10pm-6am and anyone wishing entry is asked to contact the porter for a key.

● A missing person from Moray, with mental health issues has recently been found in England. The Chaplaincy team in that part of England had provided excellent support and this was greatly appreciated by the lady and her son.

6.5 City CHP – Sandy Reid The following was noted:

● The City CHP is keen to continue and roll-out Community Chaplaincy Listening following successful pilots in Danestone, Brimmond and Cove practices.

● The City CHP would like to invite the Chaplaincy team to attend a Management Team meeting to discuss the future bed configuration at Woodend. Rev John Duthie and Rev Alison Hutchison are to be invited.

● There is an opportunity to think about how the Chaplaincy team could provide support to CHP/community based staff. There could also be a potential to include an article in the forthcoming CHP JS/SR newsletter. Sandy and Jim Simpson agreed to discuss this outwith this meeting.
