Circle of Friends Committee Meeting: Minutes 12th November 2015, 8-9.30pm Venue: Globe Inn Chair: Andi Nicholls
Item Lead Action/decisions 1 Present and Apologies AN/Joann Present: Colin, Steve, Andi, Lisa, Amanda, Jaqui, Toby, Joanne, Adrian. e Apologies: Ali, Karen, 2 Minutes from last meeting Joanne Agreed by email and now published on website. and AGM (24th Sep 2015) Copy available at meeting. 3 Treasurer’s Report Adrian Adrian now has most of information from Andrew and is in the process of changing signatories and investigating online banking. Play equipment has been paid for. 4 Report on play equipment Toby Equipment is installed and in use. The impact project has been jaded by the immediate removal of the old equipment which has upset many parents as it was still serviceable and new equipment less suitable for younger children. Andi will investigate with Michael why it was removed and ask that parents are given an explanation. 5 Report on Christmas cards Ali Raised £479.42. Office happy to continue next year as is Ali. Successful event. 6 Table Top sale Lisa Now rescheduled to 6th February and after some debate it will be in the afternoon (1.30- 3.30pm). This gives us more time for promotion – twitter, facebook and flyers discussed. Andi to produce some flyers with sale on one side and easyfundraising on the reverse. There seems to be some problem putting things on school twitter account as it all has to be approved. Andi will investigate whether Michael will approve Circle of Friends tweets. Any committee member can approve facebook posts as we are all administrators. Lisa will investigate a Pancake theme to the sale.(“Stoberry Shrove Saturday!”) More regular collection of second hand uniform discussed. Toby will investigate placing a dump box somewhere. 7 Carnival Parking (5.30- Toby Banner up, two more ordered. Staffing 7.30pm) confirmed. £5 per car in line with other local parking. Toby will request that staff don’t leave their cars there that night. 8 Link to hope Joanne Kath delivered 40 boxes this year. Office happy with the one day collection. Kath would like people reminded to attach the £2 postage contribution. Time of collection to be better publicised so boxes aren’t collected too soon. Steve will take on coordination next year. 9 MAIN ITEM: We will run it as in past years but with the Christmas Fayre, incl. earlier start time as trialled last year. Toby Raffle will run the raffle. He will ask school to run a Friday 11th December – 2.30- ticker on the front page of the website to 5pm – Hall promote ticket sales. Ali and Lauren will be asked to coordinate the school’s stalls. Steve, Jaqui and Joanne will sort the tombolas, cakes and Lucky Dip. Joanne will request a Christmas Jumper Day on 11th in exchange for the contributions of bottles, chocolate, cake and lucky dip prizes. Joanne will contact supporters list for volunteers and sort publicity. 10 Easyfundraising AN Andi showed us a promotional powerpoint he has made to put on the website about easyfundraising. All loved it and with one or two suggested improvements he will organise to put it on the website. 11 Spring/Summer Term TBC Quiz Night: Toby will investigate food. Adrian Events: will sort license and bar. Andi will investigate Mothers Day Gift Shop providing live music for when eating. Michael (4.3.16) will compere as usual. Quiz Night (6.5.16) Stewarding: Colin will continue to organise as Fathers Day Event (17.6.16) Glastonbury Festival usual. Stewarding (22-27.6.16) BBQ: Joanne will coordinate. Adrian will sort BBQ Friday (1.7.16) the license and bar with Colin and Steve to Discos (8.7.16) help. Discos: have been booked Mother’s Day event needs a coordinator please as does Father’s Day. 12 Raising the profile of CoF AN Andi has met with Michael and received the Where money goes parental requests as follows: (stakeholder suggestions via Library books Ali Hawkins) Stationary for classes Short/long term Country dancing costumes Lunchbox storage Class room redecoration Playground shade Subsidizing whole school trips (eg panto) KS1 playground play markings Themed playtime outdoor activities Labelled quiet area Forest school area/bird boxes/bug hotels/veg pot/flower bed KS2 play equipment for break/lunchtime Giant chalks Veg/flower plot/chickens Gardener to maintain CoF funded outdoor areas Lego play tables
Committee keen to support all these great ideas, prioritising the quick cheaper easy win spends. Not sure whether SLT has discussed these suggestions (Andi/Joanne to investigate next step and ensure proper procedure is followed. Also whether there were any staff requests.) Joanne will contact parents to thank them for their suggestions and advise on our next steps also add them to our supporter’s list. 13 AOB AN Next meeting: Wednesday 20th January, 8pm Globe.
