Dates: September 27 (Thu.) - 29 (Sat.), 2012 Venues: Techno Fair 2012 [Toyama Industrial Exhibition Hall] NEAR 2012 [Toyama City Athletics and Culture Center] Organizers: Toyama Prefecture, Toyama Prefectural Machinery and Electronic Industries Association, Toyama New Industry Organization, and Japan External Trade Organization (JETRO) ● About the Events Toyama Prefecture will hold the “Toyama General Manufacturing Industry Trade Fair — Techno Fair 2012 and NEAR 2012 —” with the aim of creating a new business model (creating partnerships with overseas companies) through the cooperation of manufacturing companies inside and outside Toyama Prefecture and overseas corporations, including Northeast Asian companies in particular. As part of “Near”, the “Industrial Materials and Components Fair & Business Meetings” will be held. This will enable companies or organizations of Northeast Asia countries (which look for business opportunities such as the export of parts and materials to Japan, production on consignment, and technical cooperation with Japanese companies) to exhibit or display their products or technologies in order to take part in business meetings related to these fields with corresponding Japanese companies. In contrast, ‘Toyama Techno Fair’ is a ‘one-stop shop’ showcasing machinery/metal, electrical and electronic products, and processed components as well as academic research and activities, etc. from both inside and outside Toyama Prefecture, and it is a chance to show people and organizations from all over Japan (and the world) their level of technology and the value of industrial-academic partnerships. “ NEAR” and the “Techno Fair” taking place at the same time will attract many people from manufacturing companies of finished goods and industrial parts, not only from Toyama and the surrounding prefectures, but also from all over the country. 3 Brief Overview of NEAR 2012 ● Exhibit Overview □ Exhibiting countries (regions) ◇ The People’s Republic of China ◇ The Republic of Korea ◇ Mongolia ◇ Russian Federation (Maritime Region) □ Target exhibit items Industrial materials and components including industrial machine parts, machine tool parts, car parts, electrical and electronic equipment parts, precision machine parts, metal (including aluminum) casting/molding/processing, parts/materials of plastic molded articles and wooden products for housing, as well as related technologies. □ Target exhibitor companies and organizations (1) Manufacturers or trading companies (including Japanese subsidiaries) that have a fixed address in any of the exhibiting countries (target regions) and meet the following conditions: ① Companies that can supply (export to Japan) high-quality parts or materials to Japanese companies and wish to procure (import from Japan) high-quality parts, materials, or finished products from Japanese companies ② Companies that can supply (export to Japan) high-quality parts or materials to Japanese companies ③ Companies hoping for joint ventures, production consignments or technical partnerships with Japanese companies in any of the exhibiting countries (target regions) (2) Organizations which provide information on specific development districts or investment-favorable systems in their jurisdictional areas □ Fee for Exhibiting: Free
● Services to be rendered by organizer □ The organizer will bear the exhibition booth fee. □ The furnishings for a basic exhibition booth (desks, chairs, 1-2 spot lights and a company name-plate) will be provided free of charge. □ Translation services for commercial meetings in the venue (Chinese - Japanese, Korean – Japanese, and English – Japanese) can be provided free. □ All the details about the FAIR are publicized through transmission of the FAIR circulars to companies in Japan, press releases and through the introduction of participating companies on the website of the organizer. 4 ● Expenses to be paid individually by exhibitors or exhibiting companies □ Traveling expenses (airfares, accommodation fess, local transportation and meal expenses in Japan) □ Two-way transport costs for articles on exhibition (packing expenses, land and sea transport costs, insurance, customs clearance charges, customs duty / consumption tax) □ Expenses for setup, removal and disposal of articles on exhibit □ Expenses for additional furnishings beside the furnishings for exhibition basic booths (including rentals for furnishings) □ Other charges and expenses not covered by the organizers
● Exhibitors please note: □ Along with catalogues or panels for presentation, actual samples of articles are also to be exhibited without fail. □ Please make an effort to provide catalogues and panels in Japanese where possible. □ Persons who are capable of giving a description of the relevant articles are required to be assigned to duty at the exhibition. □ The persons on duty should not leave the relevant exhibition booth during the exhibition opening hours. □ Those taking part are requested to fill in the participant questionnaires, which will be distributed by the organizers for the purpose of figuring out the results of the exhibition.
● Dates to remember: □ January – April 30, 2012: Exhibitor Application acceptance period □ June 2012: • “A Guide to the Exhibition” will be sent to the confirmed exhibitors. (Proposed articles to be posted in the Guide to the Exhibition) ・ Guide to additional furnishings/ rental equipment ・ Guide to transportation method of articles on exhibition ・ Guide to carrying in and out of articles on exhibition • Documents necessary for visa application to enter Japan (including the invitation letter) will be sent.
5 Instructions for NEAR cooperating organizations
● Exhibitor Applications □ Period of acceptance for applications: January – April 30 (Mon), 2012 (this date is FINAL) □ The NEAR cooperating organizations are requested to submit “FORM 1 - Application Form to Exhibit” with photographs of exhibit items, having been gathered from each of the exhibitors who have applied, together with “FORM 2 - List of Exhibitors” to the organizer. □ Make sure that the application form is complete, and includes the authorized personal signature of the exhibitor. □ Photographs of exhibits (with item descriptions) or a copy of a catalogue containing photographs of the intended exhibits are to be submitted together along with the above-mentioned application forms. (Submitted photographs may be carried in the exhibitor catalogue for notices to companies inside and outside the prefecture. The organizer of the FAIR reserves the right to refuse an application if its exhibit seems in no way compatible with the purpose of the FAIR.) □ Final acceptance of applications After confirming the necessary information has been entered in the application forms and that the relevant photographs have been submitted, the organizer will send a “Notice of Determination of Exhibitors” to persons in charge of the NEAR cooperating organizations of final acceptance of the application. Exhibitor applications will be given priority if they meet the following conditions: Companies that can supply (export to Japan) high-quality parts or materials to Japanese companies and wish to procure (import from Japan) high- quality parts, materials, or finished products from Japanese companies □ Note that the acceptance of applications will close out as soon as the expected number of booths has been filled up. □ In cases where a participant wishes to cancel an application after the forms have been submitted, be sure to notify the organizer to ensure confirmation. □ If any exhibitor is found to have gone against the exhibition regulations as contained in this outline, the organizer reserves the right to cancel the accepted application. The organizer will not assume any responsibility of the loss caused by such cancellation. □ The allotment of booths will be determined by the organizer and each of the exhibitors will be notified about the final allotments. The allotted booth is not permitted to be subleased, granted to a third party or exchanged
6 with any of the other exhibitors.
● Exhibitions Booths □ Our intention is to provide modular booths of dimensions 2.7m wide, 1.8m deep and 2.4m high. □ The booth is designed and constructed taking account of overall integrity and balance by the organizer. Basic booths with the following basic equipment will be provided by the organizer. ・ Name plate of the exhibitor or exhibiting company 1 piece (in Japanese and English) ・ Exhibit display counter 1 unit ・ Folding chair 2 units ・ Spot light (100W) 2 units □ A power outlet is installed in the booth by the organizer (1 socket with 300W/100V/60Hz). The rental of a plug with voltage transformer can be requested. □ Any responsibility for the loss or damage on the equipment and others caused by a short out, abrupt voltage change or power outage is not assumed by the organizer. If a large volume of electricity is required for furnishings or other reasons, be sure to advise the organizer accordingly ahead of time. □ Those exhibitors who desire additional booth furnishings are to submit drawings in accordance with “A Guide to the Exhibition” (exhibitors will be notified about these later) and to install the aforesaid furnishings upon approval of the organizer. Expenses for these furnishings are to be paid by the relevant exhibitor. The organizer reserves the right to request an exhibitor to make a change in their installed furnishings. Any costs incurred by such changes are to be borne by the relevant exhibitor. □ The list of rental furnishings will be specified in “A Guide to the Exhibition” (to be forwarded later on). Participants may apply for desired additional furnishings by selecting from the list of rental furnishings. Expenses for these additional furnishings are to be borne by the relevant exhibitor.
● Transport and carrying-in-and-out of articles for the exhibition □ Displaying samples of products or materials in the exhibition is a mandatory requirement for the exhibitor. Each exhibitor is requested to study carefully the list below and select a suitable transport method for carrying their materials to the hall: ① Utilization of carry-in forwarding method (Exhibitors bring these with them as luggage), or ② Use of an international door to door delivery service, or 7 ③ Placing the necessary transport and customs clearance in charge of a local transport operator in China (Note) In cases where an international door to door delivery service is employed or the necessary transport and customs clearance are placed in charge of a local transport operator, the exact place and time to be carried in Japan will be notified by “A Guide to the Exhibition” (to be forwarded later on). □ All of the expenses for transport and customs clearance are to be borne by the exhibitor. □ All of the articles for the exhibition are to be carried in from 13:00 to 17:00 on Wednesday, the 26th of September. □ All of the articles for the exhibition are not permitted to be installed or removed when the exhibition is officially open. □ Industrial waste such as wooden frames, metallic foreign bodies or waste oil is to be properly disposed under the responsibility of the exhibitor. □ The organizer will not assume any responsibility for un-accomplished customs clearance of the applied articles for the exhibition, if such applies. □ All of the articles for the exhibition are requested to be removed from 12:30 to 16:00 on Saturday, the 29th of September.
● Points of concern in the exhibition hall □ Distribution of samples or catalogues of articles, which are not authorized by the Japanese laws, are prohibited. Handing out samples and others are allowed only in the booth of the relevant exhibitor and any sale of these is strictly prohibited. □ Photo shoots are not permitted except in the exhibitor’s own booth. □ If any system panel, floor or wall of the exhibition hall is damaged by an exhibitor, the same has the responsibility of restoring it to its original state. Do not use glues or nails for the restoration. □ Every possible measure is to be taken for demonstrative presentations by each of the exhibitors so that any hazard, noise, vibration, heat, or air pollution will not be caused by these presentations. We request that you put a person in charge of saf ety control. □ If there is any claim about the aforesaid presentation from the surrounding exhibitor, or the organizer considers such a presentation to hinder the proper running of the exhibition, the organizer may take necessary measures or demand restrictions or call a halt to the demonstration. In this regard, any cost caused by these is to be borne by the relevant exhibitor. □ If any accident happens in the exhibition hall, immediately inform the organizer of the accident and follow their instructions. □ The use of fire or hazardous substances is prohibited in the exhibition hall by the 8 Fire Defense Law of Japan. □ Smoking is prohibited except in the specified places. □ The exhibition hall is kept guarded by the organizer. The organizer, however, will not assume any responsibility for the security of the exhibits or other items in any of the booths. □ Any responsibility for loss, theft, damage of exhibits or other related articles will not be assumed by the organizer. Accordingly, the exhibitors are requested to supervise for themselves all of their own exhibits and related articles and to cover them with appropriate insurance during transport and during the period of the exhibition. □ In cases where the exhibition can not be held or has to be cancelled after the opening due to natural disasters, other force majeure, or reasons other than those under the control of the organizer, or where the organizer concludes that it can not perform the duties stipulated in the provisions of the exhibition, the organizer may cancel the exhibition. The organizer will not assume any responsibility for the loss suffered accordingly by the exhibitor. □ All of the exhibitors are to obey the outline of the exhibition, international treaties and the Japanese laws and regulations.
● Dispatching missions to Toyama □ The NEAR cooperating organizations are requested to send missions to Japan. The missions are to be well formed and dispatched by the organizations working hand-in- hand with tour companies. □ For invitation letters or guarantee letters required for visa applications , see details in “ A Guide to the Exhibition, ” which will be sent to confirmed exhibitors at a later date . In this regard, please note the following: □ In cases where the organizer issues invitation letters or guarantee letters, in principle, the number of invited persons is not more than 2 to 3 persons for each exhibitor. □ As invitation letters will not be reissued, please make sure that numbers of persons, their names and their itineraries (booked hotels etc.) listed in your application do not change. □ For the application: If permission is required by the exhibiting country’s relevant authorities etc, please complete the necessary formalities in advance before submitting the application to the organizer. □ Each of the mission members is to follow the daily schedule sheet submitted in advance during the period of their stay here and each representative of the missions is requested to responsibly supervise each of the members during the aforesaid period. 9 □ In principle, be sure to arrange hotel reservations through the tour companies commissioned by the NEAR cooperating organizations. In this regard, since the time of this NEAR Fair coincides with a tourist season , it is recommended to make reservations ahead of time.
※ For the norms of interpretation and execution of the outline of the exhibition, the organizer reserves the right to put its interpretation on the OUTLINE and execute the same. The organizer may change the OUTLINE if it is considered to be essential for the operation of the exhibition.
