Job Title: Programme Support Coordinator Job ref no: ACR/0020/16
Grade: 4 Department: Academic Registry
Accountable to: Head of Course Support via Head of Responsible for: N/A Team
Job summary: To provide direct support to course leaders and other tutors for particular taught course programmes and/or modules.
To support communication to students.
Assisting the course leader with examinations duties.
Where required, to act as Secretary to the Course Management Committee and maintain essential course information..
Competency: To provide direct support to course leaders and other tutors for particular taught course programmes.
Key tasks: All courses Assist tutors in the preparation and distribution of learning materials for students.
Liaison with external tutors, booking lecture times, locations and accommodation.
Undertake administration and preparation of module review meetings and act as meetings secretary.
To assist in the compilation of learning objectives.
To maintain a course and modules meetings calendar.
To work with the timetabling office to produce the overall college timetable. To support module and year leaders in their confirmation of detailed lecturing arrangements.
For courses which have the relevant features e.g. placements When the course requires it, to ensure detailed within-module timetables are produced and distributed in a timely fashion.
To make detailed administrative arrangements as required for practical classes.
When required by the course, to assist in the operation of administrative systems for module choices. When required by the course, to operate administrative systems for student placements.
When required by the course, to operate administrative systems for student projects including administration for ethical approval.
When required by the course, to operate administrative systems for registration or examination with the RCVS including fee payments.
To deal with payment of guest lecturers and other occasional financial matters.
Competency: To support communication to students.
Key tasks: To assist in the preparation and updating of the student handbook for the courses.
To ensure the deadlines for submission of projects and other in course work are clear to students.
To manage the VLE resource for the course and to ensure relevant course materials are placed on the VLE.
To maintain course notice boards.
For posts based at Camden
To provide a Front of House service to taught course students covering general and course based queries.
Competency: Assisting the course leader with examinations duties.
Key tasks: All courses: To ensure, with the year/module leader that there are clear arrangements for the marking and double marking of the work , return of the work to students and marks to exams staff.
To arrange timetables for any assessed presentations.
In liaison with the Examinations Officers, to assist in the preparation of examination question papers if required.
In liaison with the Examinations Officers, to assist with distribution for marking, results processing or other examination activities if required.
Competency: Where required, to act as Secretary to the Course Management Committee and maintain essential course information.
Key tasks: To arrange the calendar of meetings of the Committee.
With the Chair, to devise agendas. To prepare and distribute agendas and to take minutes according to the requirements of the College Committee Handbook.
With the Committee to ensure annual review of the Programme Specification and Assessment and Award Regulations.
To contribute to the maintenance of a shared directory of Programme Specifications linked to particular student cohorts that will be used to provide information for student transcripts.
Flexibility: To deliver services effectively, a degree of flexibility is needed, and the post holder may be required to perform work not specifically referred to above.
