JOB TITLE: Accounts Receivable Specialist

JOB ACCOUNTABILITY & OBJECTIVES: This non-exempt position works under the supervision of the Chief Financial Officer (CFO) and has primary responsibility for the timely collection of outstanding accounts receivable and providing internal and external customer service consistent with Professional Counseling Associates’ (PCA’s) goal of excellence and professionalism.

RESPONSIBILITIES:

ESSENTIAL FUNCTIONS:  Records the collections of all grants, account receivables and other funding sources into the Avatar computer system.

 Reconciles daily cash posting to the computer system and to the daily bank deposits.

 Reconciles monthly detailed accounts receivable balances from the computer system to the general ledger summary account receivable balances.

 Maintains all guarantor Web site collection portals for payment processing.

 Prepares client or funding source payment receipts, maintains clinic deposit spreadsheet, and works with the Staff Accountant to correct any discrepancies.

 Completes timely correspondence and action on bankruptcy notices and returned checks, alerting clinics to client collection issues.

 Works with clinic staff to ensure we have current client contact information and enters address updates in the Information System being careful that all four address fields are correct.

 Provides accurate and timely posting of client service payments, including via Electronic Funds Transfer (EFT) and credit card, and correctly identifies next funding sources for denials and partial payments.

 Enters and monitors client payment agreements, alerting clinic staff and the CFO to any client not following their agreed upon plan.

Page 1 of 3 1*Researches and coordinates with third party payers to ensure prompt payment, alerting the CFO to any outstanding issues preventing payment. 2*Makes monthly collection calls on assigned funding sources and coordinates collection efforts of active clients with clinic support staff and therapists. 3* Monitors aged Accounts Receivables and ensures all outstanding balances for assigned funding sources that are over 60 days are either explained or promptly collected, preparing fee adjustments for any identified write offs monthly so that no write off is older than 6 months from date of services.

4* Coordinates with billing specialists to ensure all funding sources remain under 90 days outstanding, promptly alerting the CFO to any training needs or issues preventing this minimum aging level.

5* Clears non applied cash and closed client refunds monthly.

6* Brings past due unbilled events to the billing staff’s attention. 7* Assists CFO in special projects for accounting. 8* Coordinates with other Accounting staff to ensure client filing is current.

NON-ESSENTIAL FUNCTIONS: 9* Serves as backup to Accounts Payable and the Billing Coordinator. 10* Performs other duties as assigned by supervisor.

KNOWLEDGE, SKILLS AND ABILITIES: 11* Knowledge of the accounts receivable and collections process. 12* Knowledge of bookkeeping practices and principles. 13* Ability to type accurately and use a 10-key calculator by touch. 14* Ability to operate various standard office machines. 15* Ability to make arithmetic computations accurately. 16* Ability to detect and correct errors. 17* Ability to maintain effective filing system. 18* Ability to follow specific instructions and procedures. 19* Working knowledge of Microsoft Excel beyond basic data entry. 20* Ability to establish and maintain effective working relationships with supervisors and other employees.

EDUCATION/EXPERIENCE/REQUIREMENTS

Page 2 of 3 21* College graduate preferred. 22* Two or more years of experience posting payments to client accounts, preferably in a healthcare setting. 23* Two or more years of experience collecting past due accounts from individuals and third party payers. 24* A criminal background check is required every 5 years. 25* Drug screening and TB test are required.
