Boerne-Champion High School AFJROTC Booster Club Meeting Minutes September 8, 2008 – 6:00 PM

Meeting Called To Order: 6:05 PM

1. Fundraising a. Gold C Coupon Book sales begin 9/8/2008 b. corps has sold approx. 30 as of 9/8 c. off-site sales dates / times to be announced

2. Concessions a. will have 10 reserved parking spaces at the old BHS campus for concessions volunteers b. suggested that volunteers arrive early and stay for entire game to best utilize parking space and unforeseen traffic issues c. Cadet Hanich is the POC for this event

3. BCHS Area Improvements / Wish List a. Would like a 32” Flat Screen TV for the reception area to play informational videos for visitors b. Love Seat, Chair, Coffee Table: would like these items for our reception area but the district has stipulated that décor MUST match existing furniture at the BCHS campus c. Fitness Equipment: a Bow Flex machine and dumb-bells have been donated to us, but we are still in need of additional pieces of equipment (weight bench, weights, etc.) d. Sand Volleyball Pit

4. Booster Club Shirt Sales a. all but a few shirts were sold at the New Cadet Pot Luck b. those interested in a booster club shirt can contact Cheryl Goudreau; shirts are $26 each c. Senior Staff and upper class cadets have placed shirt orders

5. Financial Processes a. District financial processes have become VERY difficult to navigate (PO system with approved vendors list) b. Will no longer be able to reimburse parent volunteers without prior approval and PO request process followed c. Strongly suggest that booster club file for 501(c)3 status to gain control of finances independent of district d. All money collections need to be recorded officially on district forms

6. Hospitality Committee a. Need more volunteers (as many as possible) b. would like to assign a volunteer POC to each event to spread out the hospitality responsibility as much as possible c. Please contact Janet Baker for more information d. Corps will need BC Hospitality help with (2) two awards ceremonies, a lock-in, a sports day, several away drill meets, and the end of year Survivor Olympics (senior cadet event)

New Business:

1. All adults who volunteer to work in close proximity with Cadets are required to fill out a Criminal History Consent form; please contact Maj. Laughery if you need to fill out a form 2. Leadership School a. BCHS is wanting to host a leadership school this year b. corps will be setting up an on-line training program for cadet advancement c. projected date for leadership school is the second week of June 2009 (days to be 7am to 6pm)

3. Booster Club a. Meetings to be held at BCHS campus in the AFJROTC class room the 2nd Monday of each month b. Parents wishing to join our organization can get information off of the Corps website (www.tx20023.com), or can contact Cheryl Goudreau (AFJROTC Booster Club President) c. Dues are $1 per person, per year

4. Need ideas for new community outreach opportunities

UPCOMING EVENTS: 1. 9/11/08 – Homecoming Parade (cadets to meet at old BHS campus at 5pm & be picked up at town square) 2. 9/12/08 – Homecoming Football Game Concessions 6 - 10 3. 9/20/08 - Adopt-A-Road (meet at Metro station at 8am)
