Job Description: Thrift Shop Bookkeeper
1. The bookkeeper is accountable to the manager.
2. The bookkeeper is responsible for overall successful operation of the Business Office. Further responsibilities include, but are not limited to, maintaining office supplies, answering telephones and representing the Thrift Shop Manager in his/her absence.
3. Bookkeeper Qualifications: Must possess a valid U.S. Forces ID card Must be at least 18 years of age Must have a DEROS at least one year from date of application submission Proficient in computer operations: Windows, spreadsheets, word processing Experience in resale (Thrift Shop) and retail operations Knowledge of bookkeeping/accounting procedures Familiar with commercial banking procedures Experience in customer service and relations
4. Principle duties:
a. Maintain and manage the financial records, including the issuance of consignment checks to consignors, paying bills and salaries, reconciling bank statements, processing insufficient funds checks, maintenance of receipt system for payments made, and preparation of monthly financial reports.
b. Prepare daily deposits.
c. Safeguard all cash in Thrift Shop to include access to the safe.
d. Maintain and update consignment accounts and sales in the computer database.
e. Issue consignment check monthly.
f. Prepare a listing of sales for the consignors to review weekly.
g. Maintain necessary documentation for audit of the Thrift Shop records.
h. Maintain a current Bookkeeping Operating Procedure containing detailed instruction for the performance of all duties.
i. Perform duties of this position IAW the WCSC Thrift Shop SOP and USAREUR Reg. 210-1.
j. Assist the manager as required. This includes learning and performing managerial duties in the event the manager is unavailable or absent as well as duties of the cashier and consignment clerk in order to assist as required. k. Provide cross training to the manager in the event the bookkeeper is absent or unavailable.
l. Assist the cashier at the close of each operating day by recounting the cash drawer and verifying the deposit and Daily Sales Report.
m. Delegate work to and supervise volunteers assigned to the business office.
n. Perform duties of this position with integrity and professionalism.
o. Attend and contribute to the staff meetings.
p. Clean area of responsibility and assist in overall cleaning as required.
1) Restrooms must be cleaned every business day. Trash is to be emptied every business day from all areas. Recycle trash should be emptied as required.
2) Office and consignment areas are to be cleaned weekly.
3) Rooms of the Thrift Shop will be cleaned on a rotating basis throughout a months’ time. Cleaning will include sweeping, vacuuming, mopping and dusting as appropriate for the particular area.
