CTDA Board Minutes April 29, 2013 6:30 O’Charley’s Franklin

Present—Chris Saia, Michael Foster, Nan Holland, Jessica Roberson-Wright, Kerstin Moltmann-Wilder, Ashley Gregory, Jen Thompson, Beth Huff

Absent- Wendy Williams (exc)

Call to order at 6:36 p.m.

Minutes from April 1 were approved with the correction from Sherry Pride that her concerns were about the facilities being booked ahead of time were for Part 2 of the program which is sessions D, D1 and Final.

This meeting was held 4 weeks after the April 1 meeting due to the upcoming recognized show this weekend. This meeting will take the place of the May meeting.

Reports of officers and committees

--Membership—24 new/ renewing members (21 individual, 3 family) for a total of 112. Jessica will send around the current roster

--Treasurer— $8474.44 SunTrust $1275.42 PayPal. Insurance has been renewed and taxes are done. Deposits of $5500 for Spring Fling about to get to the bank from Sandy.

--Ads and sponsors—$4916.99 commitments so far. No more 3 program discounts will be offered after this show. It will be a per program charge. Fairview Farm Depot is a possibility (Kerstin buys her food there) ; Kerstin and Jessica have contacts at Farm Vet that they will pursue.

--Volunteers—Chris and Kerstin bot volunteered to help with scribing at Spring Fling. We have 2 ring stewards. Very few people have offered help. Pony Club may be a resource for the Tennessean at Brownland

--Communications—Facebook being updated by Mimi and Jen. Website needs some changes—forms need to be updated to most current copies; need to highlight our shows in a different color or font to highlight them. Beth and Jen and Michael need to get together for training. They will coordinate. Newsletter should be out… Will contact Sherry to see where we are with this. Beth will contact Kim Carpenter at Greystone to see if they will list our shows on their website as we have agreed to do the same for them.

--Awards—We have plenty in the trailer for Spring Fling and probably the Tennessean. Vendors can come to OHM for Spring Fling without vendor fees. --Schooling Shows— First show at Walnut Trace was a big success; everyone seemed to have a good time and new participants were pleased with the friendliness of the club. Cash prizes were awarded and mailed to the high point scores in the 4 divisions (13 and under; Jr/YR; AA; Open).

--Hospitality—Carolyn will get lunches for judge, Sandy, EMT and TD for Spring Fling

Old Business --Spring Fling—EMT is Adam Mazzoni; TD is Jan Welch; Farrier is Danny McWherter. Wendy will bring the trailer. Nan will pick up Dolly Hannon at the airport; Chris has made hotel arrangements. Chris and Sandy and Dolly will go to dinner Friday night; Kerstin will take Dolly out Saturday night. Show is fullMimi Bliss will be the day coordinator Sunday. She or Chris will take Dolly back to the airport. We have 3 riders for Sunday—need 2 more if possible.

New business --Scholarships—Official postmarked deadline is April 30, so Chris will send around any additional applications. Those that have been received were reviewed but final decisions will be made after all applications are received.

It was noted that the scholarship form needs some changes. Jen will convert the form so it can be updated and will send it to Beth.
