Richfield Swim Club July 9, 2012 Board Meeting

Board Members Present: Chris Blumenfeld, Tom Bose, Vanessa Glass, Lara Howell, Becca Peterson Nick McLawhorn, Martha Kessens. Melissa Steger, Karen Backes, Terry Bumgarner

Coach: Kerry O’Neill

Club Members Present: Rachel Dolan

Meeting called to order at 7:40 p.m. and the June minutes were approved.

Coach’s Report:

Kerry would like to send some of the coaches to a training clinic. This would enable them to learn different coaching techniques. He has identified one potential clinic in Madison, WI. He is going to get recommendations from other coaches for worthwhile clinics to attend.

Kerry will conduct his staff reviews the first week of August. Lara Howell and Chris Blumenfeld will conduct Kerry’s performance review once these are completed, potentially in the second week of August.

Treasurer’s Report:

Jason was not able to attend the meeting. He will e-mail a Treasurer’s report at a later time.

Old Business:

Terry Bumgarner contacted the Richfield Chamber of Commerce to see about the grant that we received in the past for the summer meet. The possibility of receiving this grant again is in question.

Kerry is continuing to price out different options to restring the lane lines at the Middle School pool. He estimates he will need 400 feet of vinyl coated 5/16” cable.

New Business: Rachel Dolan and Fiona Lefebvre have agreed to perform an audit of the club’s finances. They will also look at risk management, policy and procedure and financial accuracy.

The board discussed whether to rent a tent to provide additional shade for the spectators during the outdoor meet. A motion was put forth not to pay for the tent (approximately $400) unless MSI agrees to cover the cost. A vote on this motion ended in a deadlock (5 in favor and 5 opposed). The board decided to have a vote by e-mail during the week before the meet. At this time, other factors can be taken into consideration, including Kerry’s negotiation with MSI and the weekend weather forecast.

Fundraising Committee

Lara is going to organize another restaurant fundraiser for late September while Promo is still in session. She’s going to contact Noodles, Culver’s, Potbellies and Pizza Luce about hosting a fundraiser.

The Davanni’s fundraiser did not raise as much money as anticipated. Apparently, the check received totaled $200, not $1300 as originally anticipated. Lara is going to look back at her e-mail exchange with Davanni’s to see what happened.

Lara and Martha are going to work on the Swim-a-thon fundraiser. It’s still targeted for the Friday night in November during the girls’ high school state meet.

Family Events Committee

The Richfield 4th of July parade was a success. Despite the brutally hot weather, the kids still had fun. We talked about having a resupply tent halfway through the course next year and bringing ice with the water.

Action Items:

Lara is going to go back in her e-mail and reexamine her exchange with Davanni’s.

The club will conduct and e-vote on the tent issue the week of July 16th.

Jason will e-mail a treasurer’s report to the board.

Kerry will perform his staff performance reviews .

Lara and Chris will, in turn, perform Kerry’s performance review.
