Position Description Position Details Position Title: Event Manager Reports to: National Manager – Events & Campaigns Start Date: Immediate Position Type: Full time – 5 days per week Location: National
Main Purpose This role is an operational role which is required to implement the One Walk events in Sydney, Melbourne, Canberra, Adelaide, Perth & Newcastle; the Gala Ball in Perth, Sydney, Brisbane and Melbourne; and the One Ride. Reporting to the National Manager – Events & Campaigns, the Event Manager will take responsibility for the execution of all event logistics. The Event Manager will also be required to work with the state based Development Team, volunteers and third party suppliers to successfully deliver both events. This role may also oversee other JDRF events/functions that arise dependant on capacity – this may include research, donor, or community events as required.
Key Outcomes Key performance indicators include: Timely delivery of event logistics in accordance with Project Template as developed by National Manager - Events & Campaigns Strict control of costs and management of any un-scoped requests in conjunction with the State Budgets for the One Walk and Gala Ball, and National Budget for the One Ride Ensure Walk, Ride & Gala Ball events are delivered with high quality, are operationally sound and reach a high level of customer satisfaction Successful management of relationships with suppliers, entertainers, volunteers etc. with a view to JDRF being able to continue these relationships for future events
Key Areas of Responsibility The Event Manager will be accountable for the delivery (to the highest standard) of all event logistics as designed by the National Manager – Events & Campaigns. Including but not limited to: Continue to build and maintain relationships with key suppliers in accordance with JDRF values (listed below) Familiarisation with the venues and awareness of all requirements/potential issues associated with these venues Development of event run sheets Confirmation of final event requirements to all suppliers, venues and entertainers Oversee bump in, event set-up and break down and then bump out of sound production, marquees, toilets, food & beverage vendors, amusements, start/finish facilities etc. Conduct briefings for all on-site personnel (JDRF staff, security, first aid, volunteers, entertainers, etc.) Management and running of each event as possible (dependent on cross-over of event dates) Identifying and rectifying any potential issues (in conjunction with the National Manager – Events & Campaigns if necessary) Adherence to OH&S standards for staff, volunteers and participants. Event wrap-up including collection of supplier invoices, ensuring all stock has been returned to office and unpacked etc. Contribute to campaign Review process within one month of close of each event to contribute lessons learned, expenditure evaluation, and future recommendations
Knowledge, Skills and Experience Required Minimum 3+ years’ experience in event management Demonstrable event logistics delivery and project management skills including numeracy and reporting Strong negotiation skills Proven experience in delivering large scale and multi-site events to deliver outstanding customer experiences Demonstrated experience in developing and co-coordinating a team based approach to the tasks and duties of staff, suppliers and volunteers Demonstrated experience in managing multiple events simultaneously and experience in managing public events Current drivers license Outstanding communication skills across a range of stakeholders including volunteers and suppliers. Strong planning and organisational skills Well developed inter-personal and relationship management skills. Demonstrated excellent written and oral communication skills. Demonstrated ability to work co-operatively in a team environment. Computer literacy; developed MS Office skills including MS Project
