Booking application for hiring Abbey Gardens forecourt advertising banner poles

The Abbey Gardens attracts around 1.3 million visits per year. To the front of the Abbey Gardens facing Angel Hill, in the area known as the forecourt, either side of the Abbey Gate, are four advertising banner poles (two each side).

The council offers rental periods of the banner poles to promote local events and activities. These are offered in two week blocks with a minimum booking of two consecutive weeks.

The costs of hire from 1 April 2017, excluding the production of the advertising material/banner is as follows:

In order for the advertising banners to fit the poles correctly they must be manufactured to the following specification:  Gauge of material 369gsm (PVC).  Height 3050mm  Width 800mm  Finished with hem bottom and top.  Eyelets in each corner (diameter of eyelet 1.5cm to 2.5cm)

All banners must be delivered to the Abbey Gardens Parks Manager, Abbey Gardens, Mustow Street, Bury St Edmunds, IP33 1XL (telephone 01284 757095), by no later than the Wednesday preceding the commencement of the booking period.

Hire of the Abbey Gardens forecourt advertising banner poles

 Hire period is for a two week period commencing and terminating on a Monday.

 A cancellation fee of £35 will apply when a booking is cancelled with more than five working days’ notice. Hirers will be charged 50% of the booking fee if less than five working days’ notice is given. There will be no charge to the hirer if the booking is cancelled by St Edmundsbury Borough Council.

 The booking form must be submitted no later than four weeks prior to the commencement date of your booking.

 If your booking is accepted, you will be expected to provide full details of your proposed banner design prior to final confirmation of the booking. If the proposed design does not meet the booking conditions below, St Edmundsbury Borough Council reserves the right to cancel your booking.

 Qualifying organisations are restricted to registered charities or non profit making organisations wishing to advertise local events.

 Applications by political organisations and for events or activities outside the Borough of St Edmundsbury are not eligible to make a booking.

 The content of banners must not contain material that could potentially offend (such decision to be at the sole discretion of St Edmundsbury Borough Council).

 The banners must be delivered to the workshop next to the aviary within the Abbey Garden or the Abbey Gardens shop on the Wednesday before hire commences. Call the Abbey Gardens Rangers on 01284 757095 to arrange a time.

 Banners must be passed to a member of Abbey Gardens staff and no responsibility will be accepted for banners left unattended.

 Banners must be collected from the Abbey Gardens within two weeks of the banners being taken down; failure to do so will result in the disposal of your banners.

 The banners will only be placed in the designated areas either side of the Abbey Gate by our Parks Ranger service. Other locations are not available.

 In extreme weather conditions we cannot be responsible for damage to any banners. We will take the banners down if we feel that they are a hazard in strong or gale force winds.

 Prices are reviewed annually. ______
