Our flagship Breathe Magic Intensive Therapy Programme, is a fun and clinically effective way of using magic to improve physical and mental health for people with a range of conditions. Magic Circle magicians, senior occupational therapists and research academics have come together to create an approach that delivers clinically meaningful results. The programme is commissioned as a clinical service by a number of NHS Clinical Commissioning Groups, and has won multiple awards including the NHS Innovation Challenge award for Rehabilitation in 2016.

Job Summary To coordinate, plan and deliver all projects within our multi-award winning Breathe Magic programme across the UK. You will be responsible for delivery of the programme, and supporting its expansion and development into new clinical and geographical areas, in coordination with the Clinical Leads and Research Lead, and under direction from the Managing Director.

This is an exciting, fast-paced and busy role. The suitable candidate must be confident and able to coordinate and support the extensive and multidisciplinary team involved in the delivery of this innovative programme. The suitable candidate must have excellent interpersonal skills and will be expected to build and maintain strong relationships with internal and external stakeholders, including commissioners, funders, clinicians and families.

We are seeking an individual who is self-sufficient, highly organized and is a natural multi-tasker. The role will include a high level of administration to support the efficient planning and delivery of all programmes. Experience in project coordination, management or administration is a must, as is managing budgets and working to tight deadlines. Experience of fundraising or grant-writing is desirable The role will be split between office-based tasks (SE1 6FE) and overseeing events and projects on a number of sites within London and nationally. The job holder would be expected to work some weekends, and be flexible in their work hours as needed for the delivery of the programme. Duties and Responsibilities

 First point of contact for all queries regarding the programmes, working closely with the Clinical Leads to ensure they are responded to as appropriate and in a timely manner.

 Coordinating all aspects of the Breathe Magic programmes, with responsibility for project logistics, staffing and scheduling, from planning through to delivery phase.

 Leading the coordination of the on-the-ground delivery of programmes eg. Managing the extremely busy timetable of staff and external suppliers to ensure a seamless delivery of the programme / Effectively communicate plans and directions to staff, volunteers and programme participants in a loud and often hectic environment / Provide a hands-on approach to setting up and cleaning up venues, which can involve a range of manual tasks.

 Support the Managing Director in the development and implementation of strategic plans for programme expansion and sustainability

 Working closely with the Clinical Leads and Research Lead to understand the clinical and research priorities across the programmes and ensure that these needs are met. Additionally, supporting the development and delivery of new evidence-based programmes as they emerge.

 Responsible for the efficient running of the recruitment process for all programme participants. Working with the Clinical Leads, you will coordinate the complex recruitment process for individuals with a variety of healthcare needs. This process involves liaising with, and providing clear information to; clinical teams/supervisors, supporting parents/carers and speaking directly with Clinical Commissioning Groups, funders and supporters.

 Responsible for the efficient running of the recruitment process for all programme staff and volunteers, including all contractual, safeguarding and invoicing requirements.

 Actively seek funding to support the delivery of current programmes and the design of new pilots, including; sourcing opportunities, supporting the writing of grant applications and negotiations with potential sponsors .

 Engage and support community fundraisers, including: setting up fundraising pages, sourcing fundraising materials and helping to promote their efforts

 Oversight of project-related budgets including; liaising with the book-keeper to ensure prompt and accurate payments of invoices, negotiating competitive fees with venues and contractors, sourcing in-kind support where appropriate.

 Responsible for the health and safety of all Breathe Magic programmes; ensuring thorough risk assessments have been completed; all staff have completed enhanced DBS checks; and sufficient first aid, resuscitation and safeguarding leads are recruited.

 Working with the Clinical Leads and Managing Director to create and maintain a selection of up-to-date informative resource packs for stakeholders including; programme participants, participants’ families/carers, healthcare workers, corporates, commissioners, donors and creative staff.  To set-up up and maintain detailed and clear databases for all aspects of project management, including staff schedules, project maps, supplier contacts etc.

 To work with the Clinical Leads and Research Lead to develop relevant record keeping and IT systems to aid research and clinical data capture.

 Creating and maintaining strong working relationships with a range of cultural, healthcare and academic organisations, creating collaborative working opportunities with relevant organisations and individuals.

 Seeking promotional opportunities to extend the reach of current and new programmes to participants, staff and volunteers.

 Maintaining an open communication in a timely manner with the Managing Director, Stakeholders, artists and volunteers.

 Any other relevant duties as required to meet organisational needs and changes within the job holders’ capabilities. The job holder would be expected to assist with other projects across the organization during off-season periods as necessary.

Person Specification

Essential Preferable:  Experience in project administration,  Experience in project management coordination or management  Experience of Adobe In-Design and  Very organised and able to multi-task Photoshop  Able to work to strict deadlines, under  Experience of working in a start-up pressure and to prioritise own organisation workload  Experience of editing website content  Flexibility to respond to changing needs  Experience of working in a healthcare  Able to work independently and in teams environment  Evidence of working on own initiative and  Experience of managing staff and/or taking decisions when needed volunteers  Excellent communication skills both written  Interest in the arts and verbal; with ability to grade skills to  Interest in working with children and young interact with a range of people including people service users with additional needs, disabilities or psychosocial challenges on a one-one basis and within a group setting  Excellent attention to detail  Extensive experience of all Microsoft office packages  Good technical knowledge of IT systems, particularly Windows 10  Digital literacy including knowledge of social media, blogging etc.
