Cuesta Del Norte Service Unit Meeting

Meeting Minutes September 1, 2016

Opening

The meeting of the Cuesta Del Norte Service Unit Meeting was called to order at 6:40pm on September 1, 2106 by Kimberly Summers-Everett.

Old Business

Banking

Bank statements for all troops are in the distribution boxes. A new budget was presented by Donna King. A reminder was given to fill out a new BACA form if there have been any troop leader changes for banking. End of year forms are due by October 31st. The forms can be found at http://www.girlscoutsofcdn.org/troopbanking/.

A reminder was also given for registration and entering updated information to ebiz.

Day Camp Wrap Up

Naomi Pryor and Amanda Ferrie’ discussed how Day Camp went this year. They are beginning the planning for the 2017 Day Camp. 2017 Day Camp will be held the last full week of June 2017. They are looking for volunteers for the committee. E-mail [email protected] if you are interested.

Star Farms Event

Naomi Pryor and Amanda Ferrie’ advised the status of the Star Farms event. At this time, they have received only 11 registrations. The cost of the event is approximately $900 and at least 60 registrations must be received to cover the cost. The event will be cancelled if additional registrations are not received by Sunday, September 4th. An e-mail will be sent with the information and a reminder to register as soon as possible.

New Business

New Structure of GSCCC Staff

An update of the new structure of GSCCC Staff was provided by Dana Bolotin and Kim Summers-Everett. Kim will be taking a new position as Director of Customer Care. GSCCC is currently hiring for multiple positions. We should have a new representative for Troop Support soon. During the changes, Kim will still be available to assist the Service Unit.

The GSCCC website will be updated on September 6th. Expect outages around that time. The Girl Scout shop will be closed September 12th – 16th for inventory. A new online registration system and Volunteer Toolkit will go live in January 2017. Girls Night Out Girls Night Out will be held in October or November and is still in the planning stages. Kim is looking for suggestions on location. The space needs to have two rooms (1 for girls, and 1 for adults) and be large enough to hold 100+ people. A suggestion was made to use Pioneer Museum; Kim will be checking. Volunteers are needed for the event. E- mail Kim at [email protected].

Year Calendar

The full year’s calendar is on the website. Venus Powell discussed the upcoming events. There will be a STEM event on September 25th and a Girl Scout Way badge event on October 9th. Volunteers are needed for all upcoming events. Sign-ups are on the website. Contact Venus at [email protected] for additional details.

Adult Training Dates were provided and will be sent in the weekly e-mails, be listed on the website, and be listed on ebiz.

Volunteers Needed

Volunteers are needed for both the Pioneer Day Parade (October 8th) and the Colony Days Parade (October 15th).

The Service Unit is looking for volunteers. We still need a Service Unit Manager. We need someone to coordinate the distribution boxes. We need a representative for volunteer recruitment and organization. There are sign ups on the website for set up and take down and flag ceremony at the SU meetings. We are also looking for someone to coordinate childcare at the meetings. The girl volunteers for babysitting must be PAs.

Next Meeting

The Service Unit board is looking for suggestions for locations of the SU meetings. Input is needed for location, days of the week, and time of the meeting. If you have any feedback, please let one of the board members know.

The next meeting date is scheduled for October 6th at 6:30 at The Barn. Any changes will be sent out by e-mail and posted on the website.
