Staff Leaving Academy Site Policy

Charlton Park Academy Staff Leaving Academy Site Policy

This policy applies to all employees of the Academy. It does not form part of any employee’s terms and conditions of employment and is not intended to have any contractual effect. The Academy reserves the right to amend this policy at any time.

Occasionally employees may be required to be absent from the Academy Site during their normal working hours. For example, to attend off-site training, to attend an off- site meeting, for lunch breaks, class outings, or smoking breaks. Lunch breaks and smoking breaks are unpaid and are not classified as working time.

For health and safety reasons and to ensure the operational needs of the Academy are met, the Academy needs to ensure that it has a record of all employees’ locations. This will ensure that the Academy is aware of who is on and off-site at any time and will also ensure that appropriate cover is put in place during any employee’s absence from the Academy site.

This policy does not apply to leave of absence for reasons of ill-health, compassionate leave etc. Please see the Academy’s Absence and Leave Report Procedure for further information in relation to other leaves of absence, copies of which can be found on Fronter.

This policy sets out the procedure that should be followed when an employee is required to leave the Academy site.

Staff leaving site for any reason

Academy Staff leaving site for any reason must clock out using the Timesnet system.

Before leaving site

Staff should press the ‘Reason’ button on the Timenet system, the system will then ask for your ID badge, swipe your ID badge and the system will bring up reasons for leaving site. Select the reason using the correct code as indicated on the system. When returning to site staff should swipe their ID badge to register their return.

Failure to clock out when leaving site for any reason, may result in disciplinary action being taken.

Staff leaving site to attend Offsite Meetings or offsite Training

Before the date of the required absence from Academy site

1. Employees are required to complete a copy of the Academy’s Request to Leave Academy Site Form (Appendix A) and submit this to either the Principal or Co- Principal. A copy of this form is available from Fronter. This form should be submitted as early as possible in advance of the date giving a minimum notice of at least five work days.

2. The Principal or Co-Principal will review the form and return this to the employee indicating whether the request has been approved.

3. The granting of all requests will be subject to:

a. The overall operational needs of the Academy during the proposed period of absence;

b. Adequate cover being available; and

c. The reason for the request being relevant or beneficial to the Academy.

4. If the Principal or Co-Principal indicate that the request has not been approved, the employee will not be permitted to leave the Academy site for this period of time.

On the date of the required absence from Academy site

5. The employee should leave the Academy site at the time approved in the Request to Leave Academy Site Form.

6. When the employee leaves the Academy site, they should clock as above using the appropriate code.

7. If the employee is due to return to the Academy site after the period of absence, the employee should return to the Academy as promptly as possible and clock in as described above.

If employee finishes at a different time

If the employee finishes earlier than initially anticipated and this is during the employee’s normal working hours, the employee should return to the Academy site as promptly as possible.

If the employee finishes later than initially anticipated and the employee is expected to return to the Academy site, they should telephone the Academy’s receptionist and ask them to inform their Line Manager of this.

Any breaches of this policy may be dealt with under the Academy’s Disciplinary Policy and Procedure.
