General Summary of Function/Purpose of Position In a student assistant capacity, the primary purpose of this position is to assist the Targeted Services Division Director and staff with specific projects of the unit focused on employment and training initiatives. This position will also assist with personnel and other confidential information related to the activities of the division.

Duty 1 General Summary of Duty 1 30% of Time Responsible for assisting with filing of paper and electronic documents. Assist with duties related to retention of official documents. Individual tasks related to the duty.  Save documents to network drive.  Categorize and sort documents to ensure files are saved to appropriate locations on network drive.  Separate, categorize and box paper files in preparation for transportation to Record Retention Center.  Scan, print, or email files received from other work areas.  Monitor multiple inboxes, create files from the emails, and alert appropriate staff.

Duty 2 General Summary of Duty 2 30% of Time Assist the Trade Adjustment Assistance (TAA)/Migrant Services section with data entry and various clerical tasks.

Individual tasks related to the duty.  Enter TAA separations lists into TAA Eligibility Database.  Maintain TAA tracking spreadsheets.  Scan TAA Agent/Liable participant files and save documents to network drives.  Process Migrant Services Prevailing Wage and Prevailing Practice surveys.  Data enter participant registrations and services into the One-Stop Management Information System. Duty 3 General Summary of Duty 3 20% of Time Responsible for processing Dislocated Worker surveys.

Individual tasks related to the duty.  Scan paper survey forms into survey reader equipment to create results database.  Review results database for accuracy. Make manual corrections when necessary.  Input hand-written survey reponses into the results database when required.

Duty 4 General Summary of Duty 4 10% of Time Assist Division Executive Secretary with duties related to Human Resource liaison

Page 2 Individual tasks related to the duty.  Assist in the preparation and processing confidential documents related to personnel and division operations.  Assist with paperwork to fill vacancies in the division  Fill in for support staff in the TIA Executive Office when needed.

Duty 5 General Summary of Duty 5 10% of Time Miscellaneous duties to assist existing professional staff as needed.

Individual tasks related to the duty.  Review stock of office supplies and prepare supply orders when necessary.  Check in new supply orders. Review items received against original order.  Create daily staff attendance lists and email to division staff.  Update and maintain document distribution lists.  Other duties as assigned. 16. Describe the types of decisions you make independently in your position and tell who and/or what is affected by those decisions. Use additional sheets, if necessary. This position will need to be able to prioritize work and be able to meet deadlines.

17. Describe the types of decisions that require your supervisor’s review. This position would route all inquiries for information from outside sources to the manager or appropriate program manager. Written communications with external partners must be reviewed first by supervisor or appropriate program manager.

Page 3 18. What kind of physical effort do you use in your position? What environmental conditions are you physically exposed to in your position? Indicate the amount of time and intensity of each activity and condition. Refer to instructions on page 2. Minimal physical effort would be required to perform this job, however there could be lifting involved when sending boxes and preparing for conferences or workshops. This position requires the employee to sit for extended periods of time at a computer or to move when performing such tasks as filing, mailing, sorting of material.

Page 4 23. What are the essential duties of this position? Staff support to the Office of Talent Policy and Planning.

24. Indicate specifically how the position’s duties and responsibilities have changed since the position was last reviewed. New position.

25. What is the function of the work area and how does this position fit into that function? This work area is responsible for providing administrative oversight of the federal Workforce Innovation and Opportunity Act, the Trade Adjustment Assistance programs, the Partnership. Accountability. Training. Opportunity (PATH) program, the Wagner- Peyser program, and the Food Assistance Employment and Training program. This position will assist the various sections with record keeping, document processing, and other functions.

26. In your opinion, what are the minimum education and experience qualifications needed to perform the essential functions of this position.

EDUCATION: High school diploma required. Must be continuously enrolled in a postsecondary educational institution, with preferably at least two (2) years of postsecondary schooling.

EXPERIENCE: .

KNOWLEDGE, SKILLS, AND ABILITIES: Some knowledge of terminology and subject matter in the area of work to be performed. Ability to work with spreadsheets and tables. Ability to follow oral and written instructions. Ability to learn the work of the agency. Ability to communicate effectively with others. Ability to maintain favorable public relations. Must have knowledge of Word, Excel, PowerPoint, Access, and other data entry skills.
