Job Description- Office Junior
Responsible To:
To report to Branch manager for clarification / priority of duties listed.
Principal Responsibilities:
1 Answering the telephone in an efficient and pleasant manner.
2 Relaying telephone and other messages to relevant personnel in an efficient manner to ensure they are received and dealt with as necessary
3 Computer processing documents, memos and short letters
4 Stamping and clearing post daily to ensure correspondence is at collection point to be posted that same day.
5 Faxing communications as necessary.
6 Distribution of faxes received.
7 Filing all documentation as relevant.
Service User’s Files
1 Assist Branch Manager to ensure files are kept for individual Service Users.
2 Preparation of Service User details and forward to relevant carers.
3 Filing of Service User Care Plans in individual Service User files, including Completed ‘comment sheets’ when brought into office.
4 Assist Branch Manager with data entry as relevant.
Support Company Training
1 Attend any training for the development of your position.
2 Co-ordinate by means of referral to training Schedule on a daily basis and inform Company or External Trainer of numbers attending after liaising with Branch Manager and Carers.

3 Ensure that Trainers have supply of pens/paper available at relevant venue for training.
4 Following attending training by carers, prepare Training Certificates and enter in Company Training File and enter attendance on training Matrix located on main notice Boards.
5 Photocopy training leaflets/ Induction Books /Staff Handbook/ other manuals as required by Company Trainer.
Staff Meetings
1 Prompt Staff to attend meetings.
2 Prepare attendance record to enable Staff to ‘record’ their attendance.
3 Distribute minutes when prepared.
Stationery
1 Ongoing stock take of stationery.
2 Request shortfalls of stationery with purchasing/ finance department at Clare Office.
3 Report depletion of protective clothing i.e. gloves/ aprons to Branch manager so that necessary purchases can be made.
Catering
1 Purchase of tea/coffee/ milk/ biscuits when necessary.
2 Order water for water cooler from relevant supplier.
3 Inform cater of requirements for training venues should they be necessary.
Office Equipment
1 Contact relevant supplier for maintenance repairs, i e, photocopier/ fax etc.
Complaints
1 To take details of any Company complaints and pass to relevant personnel.
General
1 Any other duties deemed appropriate to the position
