<p> F/80 Briarcare Limited Briarcare House, Harp Lane, Cavendish Road, Clare, Suffolk CO10 8PH Tel: 01787 279000 / Fax: 01787 279007</p><p>Job Description- Office Junior</p><p>Responsible To:</p><p>To report to Branch manager for clarification / priority of duties listed.</p><p>Principal Responsibilities:</p><p>1 Answering the telephone in an efficient and pleasant manner.</p><p>2 Relaying telephone and other messages to relevant personnel in an efficient manner to ensure they are received and dealt with as necessary</p><p>3 Computer processing documents, memos and short letters</p><p>4 Stamping and clearing post daily to ensure correspondence is at collection point to be posted that same day.</p><p>5 Faxing communications as necessary.</p><p>6 Distribution of faxes received.</p><p>7 Filing all documentation as relevant.</p><p>Service User’s Files</p><p>1 Assist Branch Manager to ensure files are kept for individual Service Users.</p><p>2 Preparation of Service User details and forward to relevant carers.</p><p>3 Filing of Service User Care Plans in individual Service User files, including Completed ‘comment sheets’ when brought into office.</p><p>4 Assist Branch Manager with data entry as relevant.</p><p>Support Company Training</p><p>1 Attend any training for the development of your position.</p><p>2 Co-ordinate by means of referral to training Schedule on a daily basis and inform Company or External Trainer of numbers attending after liaising with Branch Manager and Carers.</p><p>Issue No: 1 Rev. No: 1 Issue Date 06.12.2006 Authorised by K S Page 1 Job Description- Office Junior</p><p>3 Ensure that Trainers have supply of pens/paper available at relevant venue for training.</p><p>4 Following attending training by carers, prepare Training Certificates and enter in Company Training File and enter attendance on training Matrix located on main notice Boards.</p><p>5 Photocopy training leaflets/ Induction Books /Staff Handbook/ other manuals as required by Company Trainer.</p><p>Staff Meetings</p><p>1 Prompt Staff to attend meetings.</p><p>2 Prepare attendance record to enable Staff to ‘record’ their attendance.</p><p>3 Distribute minutes when prepared.</p><p>Stationery</p><p>1 Ongoing stock take of stationery.</p><p>2 Request shortfalls of stationery with purchasing/ finance department at Clare Office.</p><p>3 Report depletion of protective clothing i.e. gloves/ aprons to Branch manager so that necessary purchases can be made.</p><p>Catering</p><p>1 Purchase of tea/coffee/ milk/ biscuits when necessary.</p><p>2 Order water for water cooler from relevant supplier.</p><p>3 Inform cater of requirements for training venues should they be necessary.</p><p>Office Equipment</p><p>1 Contact relevant supplier for maintenance repairs, i e, photocopier/ fax etc.</p><p>Complaints</p><p>1 To take details of any Company complaints and pass to relevant personnel.</p><p>General</p><p>1 Any other duties deemed appropriate to the position</p><p>Issue No: 1 Rev.
