ARROW EDUCATION FOUNDATION EXECUTIVE DIRECOR JOB DESCRIPTION
POSITION SUMMARY: To facilitate the Foundation’s effectiveness and viability, the Executive Director provides professional leadership and assistance to the Foundation Board by: 1. Facilitating AEF grant making that enhances student education in the Watertown School District 2. Working with the Board to promote the Foundation’s growth and development 3. Support WHS alumni activities 4. Taking day to day responsibilities for the management and operation of the Foundation
REPORTS TO: Arrow Education Foundation Board President & Superintendent
WORKS WITH: AEF Board President and Board, WSD Superintendent, Assistant Superintendent, Senior Managers (Athletic Director, Business Manager, Special Programs Manager, etc.) Principals, Teachers, and Staff, Watertown alumni and public
TERMS OF EMPLOYMENT: The 12-month contract begins 1 August and concludes 31 July. The position requires an average of 20 hours per week with a total of XXXX hours per year. Benefits include XXX paid leave, XXX sick leave, X personal leave, XX health insurance benefits. An AEF office, equipment and materials are provided at a school site. Salary for this WSD position is $2+,+00 per year.
EVALUATION: The AEF Board President will provide an annual, written evaluation of the Executive Director’s performance. The WSD Superintendent of his/her designate will be consulted in this process.
QUALIFICATIONS: 1. Leadership skills – must be decisive and possess the ability to adapt and change 2. Excellent communication skills, both written and oral 3. Strong interpersonal skills and the ability to relate well to the public 4. Proven organizational and problem-solving skills 5. Initiative and the ability to work independently. 6. Innovative skills and the ability to think creatively 7. Proven financial management skills 8. Computer literacy 9. Graduate of the Watertown School District is desirable 10. Program, marketing, or fundraising experience is desirable
RESPONSIBILITIES: Grant making Program Management: To assist the Board in strengthening current AEF programs and in developing additional programs that genuinely enhance the education of students in the Watertown School District, the Executive Director has responsibility for the following areas of grant making: 1. Maintain awareness and keep the board informed of educational needs related to the foundation’s goals 2. Promote the grant program through effective communication with individual school leaders, educators and staff, and with parents and relevant community organizations 3. Identify program needs, develop initiatives and implement strategies to meet those needs 4. Carry out grant making policies and guidelines established by the Board. a. Investigate and evaluate grant applications, including site visits as necessary 5. Conduct scheduled assessments of the effectiveness of Foundation grants, report findings and revise grant making programs and policy based on results. 6. Maintain good communication with individuals and organizations seeking and receiving grants 7. provide information and assistance to grant seekers concerning grant policies and procedures.
PUBLIC RELATIONS/MARKETING: To assist the Board in building community awareness of the value of the Foundation, the Executive Director plays a key role in relations and marketing. He/she will: 1. Serve as spokesperson for the Foundation and as its principal representative 2. Maintain communications with other educational foundations and local foundations. 3. Participate in community activities through which Foundation interests may be promoted 4. Provide creative leadership in management of marketing and public relations activities. 5. Arrange media coverage of the Foundation 6. Make the AEF mission and value known through public speaking and outreach. 7. Develop and have published promotional literature and an annual report 8. Develop and maintain AEF website 9. Create and distribute newsletter into a tool for promoting the work of the foundation, development, and alumni communication.
FUNDRAISING: The Executive Director contributes to developing a diverse funding base and building the Foundation’s endowment for our children, the future leaders of our community. He/she will: 1. Meet with and interpret the Foundation’s message to potential donors, technical advisor, community leaders and others 2. Develop and produce presentations and literature directed to potential donors 3. Arrange educational activities and meetings for potential donors and technical advisors 4. Building ongoing, positive relationships between the Foundation and donors, potential donors, and others who may help interpret the Foundation to the community. 5. Establish meaningful ways of recognizing and thanking donors. 6. Establish and implement a plan to attract new funds to the Foundation 7. Be conversant with current fundraising tools and techniques related to planned giving and other charitable giving subjects 8. Ensure that Foundation policies and procedures encourage contribution and are consistent with current regulations governing foundations.
ALUMNI NETWORK: Strengthen the alumni network. The Executive Director will: 1. Support alumni communication and gatherings a. Support alumni committees as they plan and carry out class reunions b. Develop and maintain a network of “class leaders” 2. Maintain database of Watertown High School alumni 3. Encourage alumni interest in the achievements of WSD, the growth of the Watertown community and work of AEF
AEF INTERNAL ORGANIZATION: The Executive Director takes day to day responsibility for the management and operation of the Foundation. He/she will: General operations: 1. Recommend and assist the Board in formulating policies for effective operations and implement the policies adopted by the Board. 2. Carry out at least semi-yearly assessment and adjustment of the year’s plan of action and budget and a yearly plan and budget renewal, based on the strategic plan 3. Maintain accurate records related to donations, grant making , and other activities of the Foundation, and provide accurate reports for internal management and external accountability. 4. Thoroughly document, monitor and assess results of grant making, marketing, fundraising processes and activities. 5. Work with the board, its legal counsel, accountant and trustees to ensure that all legal obligations of the Foundation are met. 6. Supervision of administrative assistant and contractors 7. Supervise, support and recognize volunteer service. 8. Establish and maintain a working relationship with all agencies that have functions or programs relevant to the Arrow Education Foundation.
FINANCIAL OPERATIONS: 1. Prepare an annual budget, financial reports and expense statements as directed by the board. 2. Administer operating and grant making funds within the approved budget. 3. Work with the Foundation’s accountant and its trustees to see that appropriate financial information is maintained, timely reports are made and the Board is well- informed concerning financial matters.
BOARD RELATIONS: 1. Confer regularly with the Board chairperson to plan for effective meetings, keep the chairperson informed of activities, problems, and progress between Board meetings 2. Keep the Board informed of the Foundation operations and of other pertinent issues, and to present trends, legal issues, policy matters for discussion and decision 3. Assist in developing short and long term strategic planning and setting priorities.
OTHER DUTIES: The Executive Director will carry out other duties as assigned.
