First PTO meeting of the school year 9/15/2017

Attendees: Kelly Wang, Karen Miller, Safia Baloch, Brad Boren, Gouthami Yalamanchili, Jennifer Vernon, Anitha Deivasigamani, Jill Buss, Karen Roche, Ken Johansen, Lori Powell, Dwayne Hoover, Lisa Hoover, Ed O’Donnell, Jiten Garg, Samantha Peele.

Meeting Minutes 1. Call to order  Samantha Peele - Word from President of PTO 2. New Treasurer  Motion to nominate Ken Johansen nominated as Treasurer – passed 3. 2016-2017 Budget discussion  Samantha Peele - discussion of our current 2016-2017 proposed budget  Total income $135K: 5th grade party, ASEP - incorporating Marvin’s Club, OOTM, Boosterthon (45k to purchase chromebooks for the classrooms), Special events (PTO sponsored IE Volleyball)  Total cost of goods sold / profit $55,800: 5th grade party, art to remember, ASEP, Classroom, Marvin’s club, Math Olympiad  Expenses $4525: Facilities, bank fees, registration fees, postage, printing  Special events expenses $9K: DARE, Event food, Event license, Event rental, Event supplies  Other expenses $30k: Chromebooks  Net Income $7K  Motion to pass budget – passed 4. Boosterthon (Largest fundraiser of the year)  Lori Powell - VP of PTO  Boosterthon fun run - kick off in 2 weeks - teaching kids character (IE - one child created a bully app, trying to boost kids’ morale)  Will donate free T-shirts to the kids, faculty, teachers, etc. each would receive one.  Get information to parents through Connect Ed  Trying to raise $45,000 to purchase chromebooks  Raise money by getting pledges depending on laps. If each child raises $50 we will earn $45k 5. ASEP Volunteers  Safia Baloch is our new ASEP coordinator  Proposing to give gift cards or a percentage discount / credit for classes to parents who are volunteering to assist (IE - give $10 to parents who volunteer more than once)  Need 2 parents - one to check attendance and the other to communicate with office to review which kids are in attendance, and who is missing, etc.  Propose that we cancel classes for the day, if there are no parent volunteers for that day  Propose that we offer a section of the library or lobby equipped with chrome books or iPads to parents who have kids who are underage and need to keep them occupied while volunteering 6. Technology Request  Jill Buss - head of Technology  Requesting 2 iPads to take pics and video & also device case. Approximately $250 (16G)  Currently have a school wide camera but not encouraged to take on personal devices.  Motion to purchase 2 new iPads, cases and hardware (cables and chargers, etc.) to not exceed $1500 from Technology fund - passed 7. Clinic Request  IE undergarments, socks, etc. for accidents  Motion for $150 for new undergarments - passed 8. Math League  Focused on math problem solving  5-6 questions, 30 mins  We are going to initiate this program - no motion 9. First Legos League (FLL)  http://www.firstlegoleague.org/  3 Activities:  (1) core value poster  (2) Do a project - choose how animals and humans interact and how those interactions can improve  (3) Legos - complete obstacles  A little late to start this - competition happens in November  Perhaps we start this in July 10. GEARED UP! (Ashburn Robotics)  http://ashburnrobotics.com/about/  Nonprofit organization, dedicated to the promotion of STEM education  Set up a donation box out front – approved by Karen  Outreach program  Collecting items for the Thanksgiving time frame - clothing for holidays 11. Administration Updates  STEM Night  March time frame  Monetary donation to get supplies  Each grade level has 2 STEM activities - they will come and do other grade level activities. Show parents how to do STEM activities. Last year we had SKYPE with someone from NASA. Loudoun water came to discuss water, pollution, etc. We separate out grades into different sections in the school. 1-1.5 hours (6-7:30) hands-on science.  Can’t do food on STEM night  STEM T-shirts - need to design for purchase  Multicultural Night  January / February time frame 12. Officer Updates  Samantha Peele i. Have 5th graders participate in their 5th grade party fundraising (IE - Bingo night, they created mobile concessions) ii. Spirit Nights scheduled. Suggestion from Karen Miller to have the school mascot or make it more social for the kids attending. Samantha will look into getting a Briar Woods Student to wear the Shark Mascot costume at the FroYo Friday. iii. We need LEAP and MSAC delegates. Follow up with Karen Miller to see if she would like to be one of the representatives.  Lori Powell i. Trunk or Treat, Monsters U, Chili cook-off ii. November - Volleyball iii. December - Bizarre and Bingo Night  Secretary - Lisa Hoover i. Created an e-version of the weekly newsletter - must continue submitting PDF version but can still post HTML version of the newsletter on your Web browser rather than PDF attachment. ii. Updating the monthly newsletter - need to figure out how we want to lay out content for that iii. Update the PTO website - need to refresh the look and feel of the website iv. Process of creating new designs for T-shirts for our estore. Also, possibly allow each student to submit a t-shirt design and have and have a vote. Each grade level will have one winner. v. Members of the PTO will be sending some vendor information 13. Open Forum  PTO i. Perhaps offer pizza and babysitting for parents so that they might bring in their kids, so they may participate in meetings. Samantha will try out for October. ii. Need to update both time and location for PTO meetings. There are several places where the time and location are posted (MSES website, PTO website, weekly newsletter, etc.) Samantha will correct the PTO website.  Open House i. Introduction of some of the programs that the PTO is offering (IE - Odyssey, FLL)  Odyssey of the Mind i. Include something in the next newsletter - we need volunteers otherwise your kid will possibly lose a spot. ii. Complete the latest newsletter for Odyssey - need to secure dates 14. Adjourn
