Request for Proposal Project Name: Woodford Web Hosting Service Contract

RFP Information and Specifications Woodford County Public Schools (WCPS) is taking Request for Proposals from qualified vendors to provide web hosting services and support for our district-wide website contract. This contract will be replacing our current contract that finalizes on June 30, 2014. All proposals must be submitted with the understanding that implementation may be dependent on budgetary requirements and WCPS reserves the right to reject any or all proposals without explanation.

The proposed start date will be July 1, 2014 and run through June 30, 2017.

District Requirements for Proposals  3-year term of contract for web hosting services and support.  Websites maintained will include district site, all school and educational facility sites, and teacher sites for any or all teachers in the district.  Support must be available by phone, email, webinar, etc. with replies back to proper district personnel within 6 hours.  Training for district individuals who will be maintaining the sites and helping those who open new sites.  Initial site(s) collaboration setup is to be provided with daily on call support until site is running to district’s satisfaction.  Website Template – web hosting Service Company will develop full website(s) template for all sites active in the Woodford County School System. Updates and revisions are to be maintained by web Service Company.

All proposals must be submitted in writing by sealed envelope to the attention of: Bob Gibson, Chief Information Officer, Woodford County Public Schools, 330 Pisgah Road, Versailles, KY 40383 by March 12, 2014 at 2:00 PM EDT with the words “Woodford Web Hosting Service Contract” clearly marked on the outside of the envelope.

The Board of Education reserves the right to determine the ability of any vendor to perform the services and meet the requirements above. In determining the qualifications and responsibilities of the vendor, WCPS shall take into consideration the vendor’s skill, experience, facility, previous work standing, financial standing, capacity and ability to handle the work.

Evaluation The factors to be considered in the evaluation of the proposals are as follows:  The proposal that is determined by district staff and the board of education to be the most advantageous to the district.  Reliability of the proposed service and support.  Annual contract costs.  On-going support and maintenance costs.  Costs to upgrade current site(s).  Potential to take advantage of future website technologies.

Timeline Proposals are due by March 12, 2014 at 2:00 PM EDT and should be clearly marked “Woodford Web Hosting Service Contract” to the attention of Bob Gibson, Chief Information Officer, Woodford County Public Schools, 330 Pisgah Road, Versailles, KY 40383.
