POSITION DESCRIPTION

Title: Government Relations and Finance Department Division Assistant, and Minnesota Hospital Political Action Committee Coordinator Reports To: Vice President of Government Relations Organization: Minnesota Hospital Association FLSA Status: Non-Exempt EEO CODE: Office/Clerical

SUMMARY: The Government Relations and Finance Divisions Coordinator provides a variety of administrative support services for the Vice President of Government Relations and the Vice President of Finance. This individual works directly with both Vice Presidents assisting in various projects as assigned. This individual manages the scheduling of and materials for the MHA Policy & Advocacy Committee and the MHA Finance Committee. Working with the Government Relations Division, this individual assists with the day to day operations of the Minnesota Hospital Political Action Committee.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 Provide assistance to the Vice Presidents of Government Relations and Finance; with scheduling, communications, research, list maintenance and other projects as directed.  Working with the VP of Government Relations, coordinate meetings of the MHA Policy & Advocacy Committee, this includes preparation of materials, scheduling, assistance with AV equipment, etc.  Working with the VP of Government Relations, coordinate meetings of the in- house Government Relations Officers.  Working with the VP of Finance, coordinate meetings of the MHA Finance Committee, this includes preparation of materials, scheduling, assistance with AV equipment, etc.  Working with the VP of Finance, coordinate meetings of the Workers’ Compensation Working Group, Critical Access Hospital Working Group, Medical Account Managers Association, and other finance meetings as requested.  As directed by the VP of Finance, assist in the coordination of the Healthcare Financial Management Association’s (HFMA) educational conferences and annual meeting.  As directed by the VP of Government Relations, assist in the coordination of the Health Care Auxiliary of Minnesota (HCAM) day at the Capitol and other HCAM activities.  Working with both the VP of Government Relations and the VP of Legal Services, prepare and maintain all reporting information for Minnesota’s Campaign Finance Disclosure Board. This includes both the annual lobbyist reporting information and the state PAC reports.  Working with the Government Relations Division, assist with the day to day operations of the Minnesota Hospital Political Action Committee. These responsibilities include, but are not limited to the following: o Processing of PAC contributions o Processing of thank you notes o Updating PAC contribution reports, with progress towards AHA and MHA goals o Maintaining contribution lists, with the various Club level information o Maintaining hospital reports, system reports, verification reports and transmittal reports to AHA o Assisting with the PAC solicitation communications, mail merge reports, emails, annual report, etc. o Updating of the PAC website

 Provide relief staffing at the MHA front desk. This is estimated to be approximately five to eight hours a month.

EDUCATION and/or EXPERIENCE A high school diploma or general education degree (GED) is required. Three years of experience working as a professional assistant is strongly recommended, with a preference for an individual who has employment experience with health care policy professionals or with the Minnesota Legislature and/or legislative process.

CERTIFICATES, LICENSES, REGISTRATIONS None required.

SUPERVISORY RESPONSIBILITIES Position has no supervisory responsibilities.

LANGUAGE ABILITY Ability to read and comprehend instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to fellow MHA staff members and potentially MHA members.

COMPUTER SKILLS General computer skills are necessary to perform this job satisfactorily. This includes proficiency with Microsoft Office, Word, PowerPoint, mail mergers and some use of Excel. WORK ENVIRONMENT
