ITEM ACTIONS 1. Minutes of Last Meeting

1.1 Minutes of last meeting on 07 February 2015 were approved.

2. News from the Practice

2.1 The practice is now fully staffed, resulting in improved appointment availability, with same day appointments available to book for a longer period of time in the mornings. There are also sometimes next day appointments on offer that can be booked into the afternoon.

2.2 Flu clinic dates have now been agreed, with appointments offered on a similar basis to last year, ie patients will be offered an hour window in which to arrive for vaccination, and certain days will be divided between children, over 65s and patients with chronic conditions. Clinic dates are - Saturdays: Saturday 16 October 8.30am – 12pm; Saturday 07 November 8.30am – 12pm; and weekdays: Wednesday 21 October 4pm – 8pm; Thursday 26 November 4pm – 8pm.

2.3 There is now a recall system in place. Patients will be Hilltops invited during their birth month to attend for an annual check for conditions such as chronic illnesses.

1 2.4 CR is to confirm the current amount accumulated in the book fund. CR

2.5 The Red Cross has contacted Hilltops with a request to attend a PPG meeting, during which they would like to outline the services they can offer to patients. They will be advised of the date for the next meeting in anticipation of an available Red Cross representative attending on that PPG date.

3. Update on PPG

3.1 Finance All documentation required by Lloyds Bank in order to set up the account for PPG funds has been submitted. The PPG awaits completion of the NAPP application form and CR is to update this CR

3.2 PPG members are to repeat the recent survey carried out in April, when time was spent in the surgery talking with patients. BT suggested confining the survey to one question per session. Saturday morning sessions were also suggested. A sub-group meeting will shortly be held during which dates for future in-surgery surveys will be PPG discussed.

3.3 PPG requested a reminder of Zoe Halliday’s email address in order for reminders re outstanding website updates to be sent.

3.4 Hilltops’ contribution to the PPG Spring Newsletter has now been received, enabling BT to complete and publish. BT

4. Future of Teapots

4.1 EC has been in contact with the Church of the Holy Cross on Two Mile Ash, and members of the Church have kindly agreed that PPG can use their hall, at a peppercorn rent of 10p per session, for Teapots.

2 4.2 They are very keen to support Teapots, have had separate discussions and can offer Thursday afternoons – the first Thursday of each month, 2.30pm to 4pm. A six month contract will be required and, following a PPG visit to the Church in August, we can commence in September. A private room is available, with a well equipped kitchen which PPG will also be available to the PPG.

4.3 It was suggested that the PPG distribute leaflets within Hilltops, to CarersMK and Age UK, showing all information about the new Teapots. PPG

5. AOB

5.1 A PPG key fob is now in place in reception, in a clear folder marked PPG.

5.2 New name tags are now available and BT has agreed to collect them. BT

5.3 On behalf of SR in her absence, SD raised a query concerning a patient who had been sent a confusing letter which had been intended to advise the name of this patient’s dedicated GP but lacked the appropriate information. CR requested that SR speak again with this patient in order to obtain details so that this error can be investigated. SR

The next PPG meeting will be held on Tuesday 04 August 2015 at 18.15.
