WOODCOTE MEDICAL PATIENT PARTICIPATION GROUP

Committee Meeting Wednesday 17 January 2018 at 7:00 pm at Chipstead Valley Surgery, Coulsdon.

Minutes of Last Meeting: (7 November): Approved.

Matters Arising from Minutes: -  KN advised no progress made on telephone messaging due to busy period in December.  Flu vaccinations – copy of flu uptake distributed – current uptake 67%. Vaccinations still available until end of March. There is only one vaccine; no special version for asthma sufferers. Letters have been sent to those aged 65+ & chronic patients who have not had the jab; information also displayed on the online appointments screen. [PMN – LWG supplied copy article confirming current vaccine has protection against H3N2 strain – “Australian flu.”]  Heavy cold virus has hit hard, and often strikes twice.  JC had written to David Seaman (DS) to thank him for his time at Woodcote Medical.  20-minutes appointments for complex patients were going well, although some eligible patients were confused as to why they were offered these. Aim is to coordinate care and replaces AUA. Practice had sent letters to complex patients. Also available to book online. This was put in place by Croydon CCG based on rank scoring, but KN felt that all Croydon surgeries suffered from a lack of guidance from the CCG.  KN to speak to Sallyanne Smeddles to remove option of booking 20-minutes appointments online.  Online appointments – unable to book more than two future appointments, particularly difficult for patients with regular nursing appointments who also need to see a GP. Suggested that nursing appointments should not count against system limit.  VM praised nurse Adela Barsan.  DNA’s – can complex patients be removed from the analysis?  NAPP Fee – Deborah Roberts working on recovery of annual subscription from CCG.

Practice Update: -  Dr Asim Farooq started on Monday (15 January) – very experienced & specialized in diabetes. Will work two full days a week (Monday & Tuesday), Wednesday afternoon & Friday morning.  HCA required to replace DS. An offer had been accepted but applicant then withdrew acceptance for personal reasons. Will advertise open position up to 2 February. Currently training one of the staff members (an ex-nurse) to provide some cover; phlebotomists working extra times & shifts to cover; nursing team also taking up some of the slack.  Kate Ordish (registrar) settling in well.  SN2 Elizabeth Strange working foundation year at Woodcote Medical.  Students – mostly based in Purley.  Receptionists – those on zero-hours contracts asked to cover in the interim in busy periods (Monday morning, lunchtime); this is much appreciated & Practice will recruit if necessary.  GDPR – KN looking into consequences for Practice, but it is more of an issue for employee records than patients’.  Patients’ hard copy records – KN sees as more of a fire risk than GDPR.  Practice can no longer charge patients or insurance companies for access to records.  Out-of-hours GPs do not have access to patients’ records.  Some GPs are not available to book appointments with online. LWG suggests that if an appointment with a specific GP is required the patients should call as may pick up a cancelled time.  Late-running appointments – as the Receptionist had kindly logged JC in and the wipe board was not in use at the time in the Coulsdon surgery he had no way of knowing that Dr Pasha was running C30 minutes late.  VM observed that at the time the wipe board was not in use at Purley.  After the meeting JC emailed LWG and asked her to advise KN that his wife had slipped on the ice outside the Purley surgery (not on a slippery floor inside the surgery) and requested that staff ensure there is adequate gritting on frosty days.  DNAs – December 2018: 5% of total appointments; 6.5% of GP appointments; 15 on-the-day urgent appointments following triage – these to be followed up by the Practice. Reported very quiet over the holiday period as no routine appointments were available, only those as a result of triage.  Triage – SS praised procedure.

Advance Planning for Next Public Meeting KCW had contacted Emily Graham (Mind); referred to local office and sent e-mail to request speaker. LWG to ask Dr. Butt to open meeting for the Practice. JN / MG require soft copy of notice before 29 January if possible. Agreed copies: 6xA3; 20xA4; 30xA5 – no more posters in local shops, etc. JN & LWG to check what refreshments are still available.

Any Other Business Patient feedback: VM reported one comment in Purley box which was passed to KN as referred to named member of staff. JN commented 2 in Coulsdon box should have been posted in the NHS feedback box. Online repeat prescriptions: MG & VM reported issues with two-months' worth of prescriptions being provided over holiday period when only one-month’s was requested, but some items only one-month’s course provided. Next repeat request stuck at “requested” status with no feedback to advise request not being approved. KN to discuss with Pam (pharmacist). SS & VM praised the staff at Purley. PPG Network Meeting 31 January – please refer any questions to JC.

Dates of Next Meetings Annual General Meeting & Public Meeting to be held in Purley on Tuesday 13 March at 6:45pm. MG to check if officers required re-election this year. [PMN – maximum term is three years unless decided otherwise at AGM – so officers are considered up for election every year, and in theory JC, TH & MG have served their maximum... subject to the AGM allowing us to continue!] Committee Meeting to be held in Purley on Tuesday 15 May at 7:00pm.
