Job Description – Administrative Assistant

Job Outline

The role of the Administrative Assistant will be to welcome parents and visitors to the school and to support the Head teacher, Bursar and the Governors in maintaining the efficient and effective organisation and operation of the school.

Hours: 20 hours for 38 weeks of the academic year. It is envisaged that these hours will be in the mornings across the whole school week, Monday to Friday, but there is an opportunity for some degree of flexibility.

Pay Scale: Grade E; Points 13-15: £16 491 - £17 072

Start date: October 2017, or sooner

Specific Duties and Responsibilities

General  be aware of the aims of the school and how these relate to day-to-day work  collaborate with other members of staff in effective team work  receive and welcome visitors to the school and be responsible for ensuring that all visitors are signed in and supervised appropriately during their visit  deal with staff, governor, parent and pupil enquiries in person, by phone or via email  carry out the full range of secretarial duties and office administration, including writing letters, photocopying, filing and distributing documents to staff, parents and governors electronically and otherwise  complete online registrations and updates with external companies and agencies  open and distribute incoming mail  accept and check deliveries including receipting the goods  take cash and cheque payments to the bank

Data  maintain a pupil database on SIMS ensuring all pupil data is up to date and issuing required data returns on time.  file paperwork and maintain pupil record files  carry out administrative procedures relating to the admission of new pupils including the preparation of information packs for new parents/carers  carry out the transfer of details for pupils leaving the school  input and transfer where necessary, Foundation Stage, Key Stage 1 & 2 test results  check the registers for any missing children and chase up accordingly  maintain pupil attendance summaries  complete and return staff absence data to Strictly Education payroll  maintain class lists including distribution details & maintain current email addresses of parents for correspondence electronically

Communication  distribute all newsletters and other school correspondence via parentmail and Twitter  manage the school website in liaison with the Head teacher and other staff members and keep it relevant and updated  maintain noticeboards to ensure information displayed to staff, parents and visitors is relevant and up to date  carry out the administration relating to the school fruit scheme and school milk  type the staff meeting minutes and circulate to all staff  transfer dates from the school diary into a weekly timetable and distribute to all staff

Other  source and complete suitable grant applications in liaison with the Head teacher  attend governor meetings to take minutes and oversee the implementation of subsequent actions  assist in arranging staff cover as required  provide the administration for the school breakfast club  oversee the counting, deposit and ordering of goods, using Tesco, Sainsbury and other voucher schemes  assist with the administration of school concerts and events  assist with the administration of sports competitions  collect contributions and maintain staff tea and coffee supplies

 such other duties as may reasonably be required by the Head teacher, Bursar and the Governors from time to time.

In the interests of effective working, the major tasks may be reviewed from time to time to reflect changing needs and circumstances. Such reviews and any consequential changes will be carried out in consultation with the post holder.
