Job Purpose Reporting to the Director, Advancement Services, the Systems and Data Analyst is responsible for the ongoing user support and maintenance of the portfolio’s Raiser’s Edge CRM database and the Net Community Web CMS software. The role is also responsible for the timely, efficient and accurate development and production of queries, exports, reports, lists, analyses, etc., as well as ensuring the quality and quantity of data input and processing to meet ER&A and university objectives. Their work contributes directly to compliance with CASL and other legislations, and ensures excellent relationships with all stakeholders.
Key Activities
Data Quality and Quantity Under the direction of the Director, Advancement Services:
Plans, implements, monitors and reports on initiatives to strengthen the quality and quantity of data captured, stored and secured in ER&A’s Raiser’s Edge CRM database and other core software, including data enhancement projects. Assists in coordinating, enhancing and monitoring the work of the student data team across its various areas of responsibility. Develops, implements and manages systems and procedures to proactively meet the various information needs of development (separate from philanthropic research), alumni and community relations staff. Personally inputs and ensures the quality and quantity of data in the system: record creation, contact information, communications preferences, links and relationships, attributes and other relevant coding, etc.

Produces complex queries, exports, reports, analyses and lists to meet the needs of ER&A colleagues, university and external clients (e.g. Trent Magazine lists, departmental review contacts, Annual Fund segments, etc.) Leads the production of standard ER&A reports, including monthly, quarterly and annual/year-end financial, donor and other information based reports. Identifies system improvements to optimize ER&A usage and functionality of Raiser’s Edge, and other key software as appropriate (e.g. Campus Call). Supports regular and special analytics projects
Web Support and Maintenance Acts as a subject matter expert and resource for the portfolio’s Net Community Web content management software in relation to webpage building, content management, and user support. Personally ensures the accuracy and correctness of all electronic messages sent using the Net Community software by being both a subject matter expert and the final reviewer of all mass electronic messages.
Collaborate on Other Assignments Provides administrative support to the Director, Advancement Services in relation to processes and procedures, systems development, management and reporting, and infrastructure. Provides support on special projects e.g. campaign events, homecoming.
Analytical Reasoning Complex analytical reasoning is applied to development, management, and reporting on constituent database information. Examples; o Identifying and developing processes to enhance database quality and quantity o Identifying and developing complex queries and exports to satisfy internal and external client needs o Identifying and enhancing system functionality
Decision Making Complex decision-making on a regular basis in the areas identified under key activities. Negotiation and decision-making with colleagues and stakeholders Experience, discretion, tact, and judgment are required.

Job Number: A-332 Page 2 of 4 Last updated: November 15, 2017 o Reputation & fundraising: incorrect lists or information could harm university and undermine campaign efforts; duplicate or missing mailing creates donor frustration and impacts reputation o Efficient and effectiveness: Incorrect reporting could lead to inappropriate or ineffective program design and implementation o Donor satisfaction & fundraising efforts: inappropriately including confidential donors in lists could compromise future support
Education University Degree (4 year), ideally in Computer Science, or a data-oriented specialization in Business, Forensics or other pertinent field.
Experience Required Minimum three years of related experience in computing systems, database management, web management, fundraising or development, library research or other information-related field. Demonstrated analytical and conceptual skills to organize relational database information and initiate and perform complex analyses (including data mining, sophisticated queries, etc.) Demonstrated experience developing webpages that require HTML manipulation and creation. Advanced computer skills, including experience downloading and exporting information between systems and developing robust reports. Experience working with a relational database is a necessity, preferably Blackbaud’s RE NXT or Raiser’s Edge, as well as the Microsoft Office suite of products, including Word and Excel. High commitment to accuracy, great attention to detail sustained over long periods of time Excellent oral and interpersonal skills, including diplomacy required to function effectively with development staff, campus administrators, volunteers, student team and other constituencies to bring projects to completion. Ability to work in a team environment. Demonstrated ability to work independently, prioritize work, and independently manage multiple, diverse and competing priorities while meeting deadlines. Strong project management skills and problem-solving skills and demonstrated ability to work in a demanding environment. Ability to maintain confidentiality and work with sensitive information. Flexibility to work on occasional evenings and weekends. Must be willing and able to travel locally and occasionally regionally.
