Customer Service/OHVation Program Expansion

The Ontario’s Highlands Tourism Organization is currently reviewing the materials and email list which was prepared by the Director of Tourism in concert with the stakeholder sub-committee. The goal is to reach out to potential new OHvation participants by the end of June.

Advertising & Marketing

Digital and social media advertising remains a focus. The spring/summer release of the #MyHaliburtonHighlands promotional videos is underway. The Director of Tourism worked closely with Positive Media Productions on this release, which continues to play with the “un”theme, which was launched in winter 2015.

Facebook is performing especially well at this time, with reach of over 30,000 consumers for many posts over the past several weeks.

Pan Am Games

The Director of Tourism was at the Torch Relay and captured photos/content for social media (which was all released same day). The County of Haliburton’s Tourism Department continues to work closely with Minden Hills as activities and plans are released for the Kayak/Canoe Slalom event in July. Tourism staff will be on site.

Tourist Information Centre

Director of Tourism is keeping this initiative on the radar and exploring opportunities as they arise.

Hike Haliburton

Details for the Hike Haliburton program and map are being finalized so that distribution/information can be distributed earlier than in prior years. Sponsorship opportunities are being finalized as well, for those who will be included in printed materials. Adventure has come on board as a $3,000 presenting sponsor.

Recommendation: That Haliburton Tourism Committee receives for information this update on the Food & Culinary Tourism Development initiative and is agreeable to the direction of the newly formed Culinary Tourism Taskforce.

For Information: The Director of Tourism has distributed the Action Plans which were created by the Ontario Culinary Tourism Alliance as a result of their work in the County of Haliburton in 2014. The following Action Plans have been distributed to local stakeholders and the feedback has been positive:

 Executive Summary & Recommendations  Creating Partnerships  Increasing Market Readiness  Leveraging Existing Audiences  Enhanced Marketing Materials

On Wednesday, June 3rd, the first meeting of the “Community Food Network” took place, and the attendees included: Angel Taylor, Rachel Gillooly, Martin, Heather Reid, Andrew von Zuben, Rosemarie Jung, Tourism Committee Chair Carol Moffatt and Director of Tourism. Several items were discussed in terms of projects that are moving forward from the County’s promotional standpoint and many ideas came to the forefront.

The Group collectively decided that “Culinary Tourism Taskforce (CTT)” was a better and more comprehensive name for the future.

It was decided that a Terms of Reference document should be developed by the County’s Tourism Director, reviewed by the CTT and presented to the County of Haliburton’s Tourism Committee at a future meeting. The CTT felt confident that a variety of stakeholder interests are properly represented around the table, but will likely be expanding to include two more members; one from Haliburton Forest and another from Rhubarb/Boshkung Brewing Co.

The next meeting of the CTT will be in 4-6 weeks.

Opening Conversation:

Amanda Virtanen recapped work completed to date: Updated marketing strategy and shared the integration of Food into promotions which included: Destination Guide, Print Magazines (Food & Drink, Food Traveller, etc.), Support of Food & Bev Fest, Heavy integration of food into Hike Haliburton Fest, New Videos focus on food, Pan Am and Tourism website refreshes

Amanda recapped OCTA’s work and the reports that had been distributed to all stakeholders. Outlined the goal of the meeting today was to have members commit to a working committee and to promote the efforts widely to their particular contacts.

A round-table was conducted for each member to discuss their interest in the group, what they could bring to the table, what they heard about the Food Initiative, their thoughts and what their specialty is.

Round Table Conversation Recap:

Angel Taylor: Garlic Fest bringing a professional chef to their event on August 22nd. Farmer’s Market opening day in Minden (Municipal Lot) on June 20th, seeking people to sell “ready to eat” food. Market applied for funding from Foodland Ontario, had yet to hear as of June 3rd. Impressive numbers on Farmer’s Market attendance – all available on their website. Tracked professionally by Fay Martin and placed in reports. 3 locations for Farmer’s Market is very rare for any region – we are lucky to have that.

Heather Reid: Skimmed the Action Plans from OCTA and was stuck that this group is important as will be needed to push all of the learning from these plans forward to the community. Abbey Gardens is seeing very good attendance numbers. Spring event huge success. Education piece about growing is ‘growing’, as well as requests for tours and lunches. Abbey Gardens is very

Page 8 of 24 interested in product development and partnerships, which they have begun. Push is to include more and different businesses onto their property (coffee, pizza, brewing). Heather felt the Ignite Haliburton workshop attendees could be a good group to reach out to for Food promotions, updates.

Andrew von Zuben: Connected to those who “aren’t connected” (homesteaders), has been passing the OCTA action plans along to those folks. Potential is coming, as he’s in contact with a lot of people in early stages of business development in the area of food & culinary. Andrew is tweaking the approach to his own business to continue as it thrives. Home steading is a tourism draw in and of itself. Learned at the Ignite Workshop how easily things can come together when the right people are together. Andrew says his business relies heavily on social media and is doing well on that front. Suggests following a similar model to Ignite Workshop so that people meet their neighbours and partnerships happen organically.

Rachel: Attending conferences on behalf of SPARC network and has heard Haliburton being the example on a few fronts. Feels it is important to facilitate in person discussions between food stakeholders. Have speakers come to this group to share learning, etc. Says partnership is happening between Hunter Creek Ranch and Rhubarb as a result of stakeholder meetings. Should focus on connecting growers to local restos – how could this group facilitate that?

Barrie Martin: Hadn’t heard a lot specifically about the Food project at the County level among stakeholders, but is spreading the word through Wild Edibles program (Carolyn Langdon) and workshops, which have been selling out. Yours Outdoors has a Taste of Haliburton experience which is extremely successful. Agrees with the others on the value of something like Ignite Haliburton. Suggests a FAM Tour, offers to help set up. Speaks to integration of food into Hike Haliburton Fest in 2015, including enhancing the hikes themselves, creating “food stops”, Hike Quarters, etc. Received signage grant from Foodland ($1,000) for Festival. Rachel/Angel suggest perhaps Farmer’s Market being on site at Hike Hali, Barrie speaks to the large picnic idea in Head Lake Park on the Sunday of Fest. Ideas: best blanket contest, world’s largest picnic, etc.

Rosemarie: Seeing more partnerships & packaging happening which seem to be specific to food programming. Seems events are organically happening. Suggests perhaps golf courses as a neat place to partner, as she hears they are looking. Hearing considerable talk about local food in the community. Could communicate more specifically about food on a regular basis to the Chamber’s nearly 300 members via eComms.

Carol Moffatt: Need to develop a ‘terms of reference’ for this group. 8-10 seats perhaps. Focus on “educating and engaging”. Speaks to success of Stanhope Heritage Day and attendance. Citron Marmalade always a sell-out (partnership between Stanhope Museum & Abbey Gardens). 1,000 people at Heritage Day – great place to feature food.

Group: Decides “Culinary Tourism Taskforce” is a solid name, suggestion to come forward to Tourism Committee.

Background & Purpose of RFP

The County of Haliburton is embarked on a new brand and marketing strategy for Tourism in the Haliburton Highlands at the end of 2013, which included the launch of the new #MyHaliburtonHighlands brand.

With respect to this specific RFP the County of Haliburton is seeking a Contractor to create and install new gateway signage at potentially up to five entrance points to the County (depending on cost of each sign structure, as submitted).

Budget

Re: Gateway Signage Report

Recommendation: That Haliburton Tourism Committee accepts the recommendation to proceed with County Sign as the vendor to complete the Gateway Signage project and review potential designs at a future Tourism Committee meeting.

For Information: The Gateway Signage project is supported by the Rural Economic Development Funding, as received by the County of Haliburton at the end of 2014. As a result of this, a Request for Proposal was distributed on May 22, 2015 to source an appropriate vendor to design, create and install the Gateway signs at 3-5 locations (replacing the current Canadian TODS Limited signs), depending on overall budget.

The Tourism Department received two responses to the RFP: County Sign and Sensational Signs Company Inc. The Director of Tourism recommends proceeding with the most cost effective (and local) vendor, County Sign.

As per County Sign’s response, they will be able to create and install durable signage at an approximate total cost of $3,914 per sign ($6,554 total per sign, with landscaping included). Sensational Signs Company Inc. provided a quote of $10,120 per sign (landscaping not included).

The budget for the project is $25,000. At $3,914 per sign, that is a total of $19,570 (or $32,770 with the landscaping option for each sign). If the landscaping option is preferred by the Tourism Committee, the Director of Tourism recommends moving some of the budget from the “Advertising” line to cover any additional signage costs.

County Sign has indicated they are quite flexible with the look/feel of the signs and are happy to present a variety of options for the County, if they are selected to work on this project.

The cost to replace the panels themselves by Canadian TODS Limited is $1,600 per site (total of $8,000 for 5 sites). The Director of Tourism will coordinate with the Public Works Department, to ensure that the sign replacement is coordinated between the Vendor and TODS, as perhaps there could be a cost savings for the installations.

Recommendation: That Haliburton Tourism Committee approve the #MyHaliburtonHighlands by ROOTS Collection be sold at three additional locations within the County of Haliburton, at a municipally run facility in Algonquin Highlands, Highlands East and Dysart et al.

For Information: The #MyHaliburtonHighlands by ROOTS Collection is currently sold exclusively out of the Tourist Information Centre on Highway 35 in Minden Hills. The Director of Tourism received a request from Dave Drobitch, Parks, Recreation and Trails Manager, Township of Algonquin Highlands to carry some items from the #MyHaliburtonHighlands by Roots clothing collection as well as potentially mugs and other branded items.

Mr. Drobitch has suggested both the Water Trails office and the Dorset Tower, as both locations currently sell merchandise.

In addition to the locations recommended by the staff at Algonquin Highlands, the Director of Tourism suggests expanding to Highlands East and Dysart et al. For those locations, perhaps the Municipal offices could be a location for sales, or in the Dysart et al, Information Caboose.

The items carried would be on consignment to each municipality.
