JOB DESCRIPTION - Farm Manager 37.5 hours per week with some weekend and evening work £32,799 per annum plus pension contribution

About City Farm(SCF) Located in the heart of borough of Tower Hamlets minutes away from , and a stone’s throw from the City of London SCF is a community space that inspires and that everyone can enjoy. Projects run at the Farm aim to develop people, encouraging sustainability and increase local community participation and access to the Farm as a resource. Current activities include environmental education, volunteering, animal care, environmental play and corporate volunteering. SCF is a registered charity and a company limited by guarantee. A volunteer Trustee Board have overall responsibility for the Farm. Currently there is a small staff team of 5 full time and 5 part-time employees with a bank of sessional workers. The latest annual turnover was £402k. The Farm has made a concerted effort to build reserves and would look to the Farm Manager to continue developing the financial sustainability of the Farm. 2018 will also see the Farm celebrating 40years in operation.

PURPOSE The Farm Manger will ensure the effective development and delivery of the Organisations Business Plan and in particular be responsible for the sustainable management of Operational, Personnel and Administrative functions at the farm. Communicating with and responsible to the Management Committee, the Farm Manager will carry out the following tasks. ______Strategic Planning  Produce, implement review and follow current Strategic and Business Plan  Foster a collaborative relationship between Management Committee, staff and volunteers  Ensure that SCF is active in discussions and involved in local developments e.g. Allen Gardens,, local planning forum, east end traders association, Goodsyard Development etc  Develop and manage internal processes & policies mapped to strategic development, vision and aims

 Support staff in the strategic development and planning of projects to take forward the Farm’s aims  Sustainably develop the Farm, through reviewing models of sustainable community organisation, upskilling to be commission ready and developing an income strategy

Staff Management/Personal  Oversee and manage the recruitment of staff within the organisation & support line managers through any recruitment processes  Develop & review processes to be clear, supportive and meaningful e.g. through meetings, one to ones, reflective reporting, collaborative planning  Ensure adequate skill mix to deliver the Farm’s business plan  Line manage appropriate staff and support other line managers, including providing regular individual supervision and annual performance appraisal  Review and manage a staff development policy for Spitalfields City Farm  Keep abreast of current Human Resource law and ensure the farm’s HR policies and procedures are kept up to date and effectively implemented

Communication & Marketing  Oversee and ensure good quality internal and external communications  Act as the external contact point for the Farm and ensure staff are linked into and active within local networks  Manage and develop the Farms communication & marketing plan  Facilitate inter-programme development & support and ensure good communications in the team through regular meetings & skills sharing  Ensure effective monitoring and evaluation systems are implemented for all Farm activities  Attend and supervise weekend and evening events  Ensure the annual Goat Race continues and other external events (e.g. annual comedy event with Sara Pascoe and Santa’s Grotto as two examples)  Work with external organisations to run events

Financial Management Work with the Treasurer, Finance Manager and programme staff to agree the annual budget for Spitalfields City Farm

 Develop a 3 year organisational budget to understand the Farm’s longer term position and aid planning to include acting as a Social Enterprise  Ensure that there is effective management of the organisation’s budgets and accounts  Provide a framework for, and support project staff in the management of project finances, reporting and monitoring where needed  In the Finance Manager’s absence, carry out core financial tasks  Prepare salaries for outsourced payroll  Pay invoices in a timely fashion  Keep a regular check on cashflow  Balance Petty Cash weekly  Prepare all banking 

Social Enterprise Ensure that plans are in place to market and enhance the farms social enterprise ventures: o On site Café o Supper clubs o Birthdays Parties o Space rental for meetings, weddings, filming, corporate events, family days and like events (to include all parts of the farm, yurt, safari tent and beautiful shed when completed) o On site shop – develop a plan to enhance the range of items on sale o Develop the garden space into a community garden or forest school o Mobile farm o Outreach to local community projects (e.g. garden support to local school)

Quality  Oversee the good management of farm projects  Manage the attainment and retention of quality assurance schemes (currently Investors in People, Quality in Play, Matrix, Learning outside the Classroom and Green Mark)

Office administration & reporting  Oversee reporting for relevant stakeholders, including funders where appropriate  Provide monthly written reports to the Management Committee  Attend monthly Management committee meetings in the evening

 Meet with the Chair of the Board on a regular basis  Deal with day-to-day IT queries, problems and requests  Liaise with external IT support

General

 Manage the physical development of the farm  Ensure that office premises, furniture and equipment are properly managed and maintained  Monitor supplies and services and ensure that the Farm is appropriately resourced  Contribute to core activities and share in general duties as necessary  Undertake development training as agreed  Undertake any other duties as required from time to time  Farm Manager is responsible for all Heath and Safety on Site  Ensure that Risk Assessments are kept up to date  Liaise with Tower Hamlets Facilities team  Secure best possible contracts for services on site

PERSON SPECIFICATION

ESSENTIAL

Flexible approach to hours and days worked Agreement with the Farm’s vison, mission, aims and objectives Minimum 3 years’ experience in a management role Educated to degree level or above, preferably with a Community Learning and Development qualification and/or background Experience of working with and bringing together communities Excellent people and project management skills Experience on developing and delivering a business plan Experience in negotiating contracts and/or service level agreements Experience of producing budgets and managing finances Excellent communication skills both oral and written Experience of report writing to a variety of audiences Experience of delivering presentations to a wide variety of audiences Experience of conflict management Understanding of charity accounting and full cost recovery model Drivers Licence
