Re: August 31st, 2017 Meeting Minutes

Date: September 6, 2017

Attendees: Amanda Virtanen Troy Binnie, President, Hockey Haven Ryan Mason, Hockey Haven Darlene Armstrong, Highland Storm Andrea Mueller, Recreation Manager, Dysart et al Tamara Wilbee, CAO, Dysart et al Autumn Wilson, Manager, Chamber of Commerce Mike Rutter, CAO, County of Haliburton Brian Mulholland, Engineering Assistant/Operations and Approvals, County of Haliburton Dianna Dauphinee, OPP Communications

Agenda:

LOC Introductions  Team members were introduced and responsibilities briefly discussed  It was noted that Alan Clarke was not present, due to an invitation oversight – he will be included in all correspondence and meetings going forward

Summary to Date  Amanda provided a summary of releases and calls that have happened thus far, as well as an overview of site visits that have taken place and a brief review of documents that have been completed/sent to Rogers (e.g. site plans, tourism information, contact information, summary of meetings, etc.)

Update from Andrea Mueller’s research  Andrea had spoken to two towns who have hosted in the past, Petawawa, ON and Cranbrooke, BC  Both towns said they would host again as it was excellent opportunity and experience  Office space was noted as a challenge by towns, as well as security costs (24/7 for the Festival)  Petawawa’s event took place on New Year’s Eve and New Year’s Day; therefore they did not need to do a lot of extra event planning, easy for them to close down the streets. They noted 3-4 security staff was required at all times. Minor hockey provided the extra food service  Cranbrooke said they felt they had “over thought” their events, and didn’t need to do so – the Festival essentially “ran itself” in terms of entertainment. They ran out of all their supplies, turnout was so impressive. They had an ice carver on site which was a success and spent $9,000 on security. They noted the Virtual Reality Booth was very cool and something that they leveraged leading up to the event

Paint the Town Red – needs/thoughts  Team discussed potential areas for exposure; banners in other municipalities,  All marketing material costs are covered by Rogers Sportsnet

Volunteers  Autumn will start recruiting volunteers as soon as she has a poster/wording  Approx. 80 are required, aged 16+

Road Closures/Parking  Discussion of possible road closures of Highland St. and in/around Head Lake Park  Tamara noted Council would need to be looped in and approvals requested  Need to locate where parking will be available (medical centre, schools?)

Brainstorm/Parking Lot  Could the Haliburton Legion be used as extra office space?  Chamber volunteered office/war room space  Involvement of Pond Hockey? Depends on future location

LOC Member To-Do’s:

Amanda to connect with Erica/Kyrsten on the following:  Poster for volunteer recruitment  Introduction to Hockey Haven re: accommodation & catering  Connect to Rotary to find out if they could assist Minor Hockey with food (prep/serving), as volunteers – not representing Rotary per se  Ensure County EMS are aware of up-staffing requirements  Check on security needs; private, OPP, volunteers?  Find out about ball hockey tourney – is it pros, do we help set up?  If we hosted 3 “games” in each municipality leading up to Festival, would that work (e.g. kids battling OPP, etc.) & best way to involve schools  Determine times for road closures  Amanda to ensure Northern Lights Pavilion is booked and determine local entertainment requirements  Find out what ESA requirements are

Andrea/Brian  Determine/scout locations and materials required for Paint the Town Red  Andrea to speak to schools  Brian to find out how early the high school team will be prepared

Troy/Tamara  Gather local hockey “stories” to share

Darlene  Speak to other minor hockey teams  Source 3-4 “hockey ambassadors” in speaking with Rich

Autumn  Begin sourcing volunteers once has wording/poster(s)  Talk to local media  Speak with Joanne Sharpley about opportunities
