2.1 Layout When you select a text file, Collabora Online opens the Writer module, with the following structure:

2.1.1 Normal screen • Complete page (with the editing window in the center)

• Main menu on the top (chapter 2.2)

• Toolbar buttons under the main menu (chapter 2.3)

• Document window – with Comment and Tracked Changes accept/reject blocks on the right if there are any (chapter 2.4)

• Status bar (chapter 2.5)

2.1.2 Small screen (responsive layout) On devices with smaller screens, Collabora Online adapts the design, showing less items in the main menu. The non-visible items in the toolbar can be shown with the “” Arrow-down icon on the far right:

In even smaller screens, such as on mobile devices, the main menu changes in to a select and most items from the toolbar are hidden. You can open the main menu by clicking on:

2.2 Main menu The main menu is placed on the top and includes many options, as described below.

2.2.1 File

2.2.1.1 Save Although the document saves automatically very frequently, you can always click the save button to save the document.

2.2.1.2 Print Depending on your browser the print window may appear or a “” Download PDF export? popup shows. You can print this PDF in your favourite PDF reader.

2.2.1.3 See revision history This option is only available for certain integrations.

This opens a read-only version of your document, with a revision history sidebar, which allows you to view and restore revisions.

2.2.1.4 Download as • PDF Document (.)

• Microsoft Word (.docx)

When you edit a file, it’s being saved automatically on the server in its original format. You can choose to directly it directly though, in one of the formats mentioned above.

2.2.2 Edit

2.2.2.1 Repair Select this if you want to jump to a previous state of the document. This is especially useful when other people are editing the document at the same time such that undo may cause conflicts.

2.2.2.2 Undo Undo a document change. In the case that multiple users’ edits do not conflict.

2.2.2.4 Cut

Copy and cut your current selection. When you use the right mouse button menu to cut the current selection you need to choose “”Internal Cut . An internal cut, made with the mouse, can be pasted with the right mouse menu option “” Internal Paste , but not with the keyboard shortcut Ctrl + V and vice versa.

2.2.2.5 Copy Copy your current selection (text and objects, such as images).

When you use the right mouse button menu to copy the current selection you need to choose “”Internal Copy . An internal copy, made with the mouse, can be pasted with the right mouse menu option “” Internal Paste , but not with the keyboard shortcut Ctrl + V and vice versa.

2.2.2.6 Paste

Paste what you’ve copied.

• When you paste content copied from within the same document, the format and elements are maintained. If you copy from another document, in another tab or browser window, of from outside of the browser, the pasted content will be unformatted text. • You can past as unformatted text with the keyboard shortcut: Ctrl + Alt + Shift + V • When you paste text from within the document, formatting will be respected. You can also paste objects, such as images, if they are copied from the document you are working in. When you paste text from outside of the document (another browser window or a desktop application, it will be pasted as unformatted text, You can also not paste object from outside the document. • When you have internal cut or copied content, you can paste this content with the right mouse button menu.

2.2.2.7 Select all Select all the content of the document, except header and footer content, and comments.

2.2.2.8 Track changes

• Record When you turn on Track Changes, Collabora Online marks up new changes made to the document. Select this option again to turn it off.

Changes made by different people are shown in different colors and each tracked change can be accepted or rejected, using the box the appears on the right. You can also add a comment there.

Keyboard shortcut: Ctrl + Shift + E (toggle change tracking recording)

• Show Show the document with all changes applied. Select “” Show again, to see all tracked changes again.

• Previous Move to a previous tracked change

• Next Move to the next tracked change

2.2.3 View

2.2.3.1 Full screen If your browser accepts full-screen mode, you can view the document in full screen, to take optimal advantage of your screen. In most browsers you can leave full screen mode by hitting the Esc-key on your keyboard.

2.2.3.2 Zoom in Zoom in at the document. You can zoom in to 619%, and text, charts, shapes and svg images will stay razor sharp. You may however see pixelation with certain inserted images formats such as jpg’s or png’s.

The new zoom level after zooming in is also shown in the footer menu.

2.2.3.3 Zoom out You can zoom out to 19%, and multiple pages will be shown in the browser at the same time.

2.2.3.4 Reset zoom This will set zoom back to 100%, when it’s at a different value.

2.2.3.5 Formatting Marks Displays (or hides) the non-printing characters: paragraph end, spaces, non-breaking spaces, tabs, breaks and hidden text.

2.2.4 Insert

2.2.4.1 Image You can insert images in Collabora Online trough the insert image option. A browser popup will open, asking you to select an image to upload. When an image is uploaded, it’s inserted directly inside the document.

Please check chapter 6. Images in documents, to read more about how you can handle images inside documents.

2.2.4.2 Comment... In a text document you can insert a comment only on selected text or at the position of a cursor (when no text is selected).

For more information about comments, and how to use them in Collabora Online, check out chapter 9.3 “” Comments .

2.2.4.3 Footnote You can insert a footnote at the position of the cursor or at the end of your selection.

After inserting a footnote, you are directed down to the footer of the page, to insert the text for the footnote.

Numbering of, and positioning of footnotes at the end of each page is done automatically.

2.2.4.4 Endnote You can insert endnotes at the position of the cursor or at the end of your selection.

After inserting an endnote, you are directed down to the last page of your document, where you can insert the text for the endnote.

Numbering of, and positioning of endnotes at the last page is done automatically.

2.2.4.5 Page break Insert a manual page break at the position of the cursor.

2.2.4.6 Column break Insert a manual column break at the position of the cursor, in a multicolumnar text.

2.2.4.7 Special character Insert a special character, by selecting it from a popup. Please check chapter 8 for more about special characters.

2.2.5.2 Text orientation You can set the orientation of the text of a paragraph from left-to-right or right-to-left.

• Set paragraph left-to-right

• Set paragraph right-to-left

2.2.5.3 Spacing You can set the spacing of lines, paragraphs or the indent. For line spacing there are 3 preloaded values (1, 1.5 and 2), so it’s not possible to currently choose other line spacing values. Paragraph and indent spacing doesn’t have this limitation.

2.2.5.4 Align Align the content of a title, subtitle, paragraph, table cell or other object to different positions.

2.2.5.5 Lists You can use the following formatting options for lists.

• Bullets on/off

Hide or show bullet points. When the list is shows with (numbering), and this option is selected, the numbers change in to bullets.

Hide or show numbering. When bullets are shown, and this option is selected, the bullets change in to numbering.

• Demote one level

Move the list item to a lower level.

• Promote one level

Move the list item to a higher level..If it’s already at the highest level, this options does not do anything.

• Demote one level with subpoints

Move the list, and all his sub-items, item to a lower level.

• Promote one level with subpoints

Move the list, and all his sub-items, to a higher level. If it’s already at the highest level ,this options does not do anything.

• Move down

Move the current item down in the list.

• Move up

Move the current item up in the list.

• Move down with subpoints

Move the current item, and all his sub-items, down in the list.

Move the current item, and all his sub-items, up in the list.

• Insert unnumbered entry

Add an item on a new line, without a bullet or numbering.

• Restart numbering

Restart numbering from the current selected item. The current selected item must be part of a numbered list to make this option work

• To next paragraph in level

Move the cursor to the next item in the list.

• To previous paragraph in level

Move the cursor to the previous item in the list.

• Continue previous numbering

Continue with the numbering of the previous item in the list.

• Clear direct formatting

Clear all text and paragraph formatting currently applied to the selection.

• Page

Change the orientation of the page. Currently you can choose between the following 8 most used options:

2.2.6.1 Insert Insert rows and columns. The cursor needs to be in a cell of a table, to make this option active.

2.2.6.4 Merge cells You can merge selected cells. Currently you cannot split cells.

2.2.7.2 About Version information of Collabora Online

2.3 Toolbar The toolbar contains the most used options for daily editing. Toolbar buttons are dynamic, meaning that their state (on or off) depends on different factors.

From left to right:

2.3.1 Save Documents in Collabora Online save automatically, but you can also force saving by hitting this button.

Keyboard shortcut: Ctrl + S Main menu: File → Save

2.3.2 Undo Undo changes you made. The vast majority of editing changes you can make can be undone restoring the document to its original state.

Keyboard shortcut: Ctrl + Z Main menu: Edit → Undo

2.3.3 Redo Re apply changes you reverted with a previous undo.

Keyboard shortcut: Ctrl + Y Main menu: Edit → Redo

2.3.4 Document Repair Jump back to a previous saved edition. This is especially useful if multiple people have been editing the document at the same time.

To jump back to the selected state, select it with the mouse and hit “” Jump to state . This is especially useful for conflicting edits – say when your colleage inadvertently selected all text in the document with Ctrl-a and proceeded to type over it destroying it – while you were concurrently editing.

2.3.5 Style select box Apply a style to a selection or to the current position of the cursor. Currently you can only choose between:

• Graphics To make it easier to select a style, the select includes a search filter.

2.3.6 Font select box Select a font to continue writing with or apply it to a selection. The fonts in the selectbox are incorporated in Collabora Online, and users cannot add new fonts. However, embedded fonts are shown, and selectable from the font selectbox.

2.3.7 Font size select box Select a font size to continue writing with or apply it to a selection. You can select one of the font sizes in the selectbox, or add a custom size in the input on top of the list. You can any positive number here, and use the dot as decimal separator.

2.3.12 Font color Continue writing in the selected color or apply it to a selection. A popup allows you to select the desired color.

When you click on “” Web Colors , it shows the following popup:

When you click on “” History , it shows the last selected colors, since you’ve started editing on the document. The history shares colors you have selected in highlighting.

It’s currently not possible to select other colors in Collabora Online.

2.3.13 Highlighting Continue writing with a highlighted text or apply highlighting to a selection. A popup allows you to select the desired color. This popup is the same as the one in font-color (see above)

2.3.26 Close document Closes the document. It’s not necessary to save before, because it automatically saves.

2.4 Editing in the Document Window

Editing of the document is done inside the document window.

2.4.1 Background By default the background of the document is white. This color cannot be changed.

2.4.2 Header and Footer The header and the footer of the document can be edited, if there is content inside already. If they don’t have content, they can’t b edited.

Page numbers, normally inside the header or footer, work correctly. They can be removed, but not added inside Collabora Online.

2.4.3 Index When a document has an index, this index can be updated with the index menu. Simply click with the right mouse anywhere on the index, and select “” Update index . You can also remove the index with “” Delete index . Currently you can’t insert a new index.

2.4.4 Selecting text You can select text with the mouse, by holding the mouse button and dragging the pointer, followed by letting the mouse button go. Once text is selected, two yellow handles appear, which can be used to change the selection.

The yellow handles are especially handy on touch devices, such as tablets.

When you cut or copy content via the main menu or index menu, you can only paste it inside the document in Collabora Online – an internal cut, copy and paste. When you cut or copy content with the shortcut keys, you can paste it as text into other applications on your device. This difference is caused by weak browsers clipboard API standardization.

2.4.6 Index menu options The index menu is the menu that pops up when you hit the right mouse button. This menu is dynamic and the contents depend on the element that has been clicked on.

The writer module of Collabora Online has the following index menus:

2.5 Status bar The status bar is shown in the footer, and contains several useful options and features.

2.5.1 Searching in the document Search for a string in the document. Searching starts automatically when content is inserted in the search box, and the document window automatically moves to the first result.

Searching is not case-sensitive.

There are three buttons right next to the search box:

• Search backwards

• Search forwards

• Cancel the search (appears only when a text has been searched)

2.5.2 Number of pages In the status bar you can see the current page you are at, and the total number of pages.

2.5.3 Word counter In the word counter in the status bar you can see:

• When no content is selected:

◦ The total number of words and characters

• When content is selected

◦ The total number of words and characters of the selected content

2.5.4 Entering text mode By default you insert text, but if you select the “” insert key on your keyboard (or it’s equivalent on different devices), you overwrite text. The status bar helps you to show what more you are in.

2.5.5 Selection mode By default Collabora Online is in Standard selection mode, meaning that you can click in text to position the cursor, deselecting any other selection.

If you hit “”“” F8 the selection mode changes in to Extending selection : clicking in the text extends or crops the current selection.

“”Adding selection (a new selection is added to an existing selection. The result is a multiple selection) and “” Block selection (a block of text can be selected) does not work in the current edition of the writer module of Collabora Online.

2.5.6 Number of users Collabora Online is made for collaborative editing, so you can see in a glimpse how many users are connected to the document.

2.5.7 Previous and next page When there are multiple pages in the document, the Previous and Next page buttons are activated.

2.5.8 Zoom to 100%, Zoom out and Zoom in At the right of the status bar, there is a set of buttons that allow you to zoom to 100%, zoom out and zoom in.

The current level of zoom is shown in this area.

The maximum zoom in is 619%. Text, charts, shapes and svg images will stay razor sharp, when zooming in, You will only see pixels appear at inserted images, such as jpg’s or png’s.

You can zoom out until 19%, and zooming out allows you to see multiple pages at the same time.

3.1 Layout When you select a , Collabora Online opens the Calc module, with the following structure:

A spreadsheet in Collabora Online is opened in the current locale of the integration. More about this in chapter 3.2.

3.1.2 Small screen (responsive layout) Similar to the Writer module, the layout slightly modifies when a spreadsheet in Collabora Online is opened on a small screen. The only difference is that the formula bar and the sheet bar are shown, and stay shown at any size.

3.2 Localizations There are several menu items, such as formatting as currency, number and date, that depend on localizations. For example, “ en-us ” puts currency in $, and “ de-de ” in € .

When you open a saved file with different locales in different cells, Collabora Online maintains them. So, you can have for example a “ $ ” value next to a “€” value.

Currently it is not possible to change the currency format to suit your locale – new formats follow the locale of the document.

3.3 Main menu The main menu is placed on the top and includes many options, as described below.

3.5.1 Active cell reference With the Active cell reference, also known as Name Box, you can see what cell are currently selected.

In the image above you can see that cells A2 to A4 are selected.

3.5.2 Sum Inserts the sum of a cell range into the current cell, or inserts sum values into selected cells.

3.5.3 Function Start writing a function at the selected cell. If multiple cells are selected, the first cell is automatically selected instead.

The “” = is automatically inserted in the Input line and a click on any cell inserts the cell’s position in the formula.

In the image above, cell A1 was selected and the Function button was clicked on, followed by a click in cell B1 (inserting this cell reference into the Input line).

3.5.4 Input line You can enter formulas in two ways: directly into the cell itself, or at the function Input line. Either way, you need to start a formula with one of the following symbols: “”“”““ = , + or – . Starting with anything else causes the formula to be treated as if it were text.

When the cursor is in the Input Line, the Sum and Function buttons are replaced with Cancel and Accept buttons.

The Cancel button removes the text or formula inserted, or, when it already had a value, it resets back to that value. A click on the Cancel button cannot be undone.

The Accept button does the same as a hit on “” enter . It executes the formula or inserts the text, and selects the cell one row below.

3.6 Editing in the active sheet

3.6.1 Selecting cells You can select cells with the mouse, or by using the shift + arrow keys.

You can also select loose cells with Ctrl + mouse click, as shown in the next image.

3.6.2 Selecting rows

You can select a row by clicking on cells in the left column with row numbers. You can select multiple rows with Ctrl + Mouse click.

3.6.3 Selecting columns You can select a column by clicking on cells in the top column with column letters. You can select multiple columns with Ctrl + Mouse click or Shift + Arrow key left or Shift + Arrow kery right.

3.6.4 Select all rows and columns You can select all rows and columns at once by clicking on the greay block just left of “” A and on top of “” 1 .

3.6.5 Resizing rows and columns You can resize rows and columns by dragging the rows and column handlers, which are placed in the column with row numbers, or row with column letters, exactly between the cells.

Double click set the optimal column width.

3.6.6 Hide and show rows and columns When you right-click on a selected row or column, the index menu shows the options to hide and show hidden rows and columns

To make hidden rows and columns appear, you need to select all rows and columns, followed by a right click on the row with row numbers or columns with column letters. In those menus you can select to show rows or columns, which will make them appear again.

3.6.7 Cut, copy and paste Cut copy and paste work similar to the Writer module, regarding normal vs internal cut, copy and paste. More info in Chapter 2.4.5.

3.6.7.1 Copying cells with cell references When you copy and paste cells with cell references (like “” =A2 ), the formula automatically refers to a new row and/or column. You can change this behaviour by including the $ sign, to set to column or row as fixed.

• “”=$A2 sets the column A as fixed.

• “”=A$2 sets the row 2 as fixed.

• “”=$A$2 sets both the column and row as fixed.

3.6.8 Charts Collabora Online supports visualization of charts, and updates them directly when data has changed. You can also copy and paste charts, move them around and resize them.

Currency you cannot create a chart from scratch, or modify the properties of a chart, except from resizing.

3.6.9 Pivot tables Collabora Online supports visualization and refreshing of pivot tables. You can refresh a pivot table with the right mouse button → refresh.

3.6.10 Index menu options The index menu is the menu that pops up when you hit the right mouse button. This menu is dynamic and the contents depend on the element that has been clicked on.

3.7 Sheet bar Collabora Online supports multiple sheets in spreadsheets. At the bottom of the window – under the main area with all cells – is a sheet navigation and management bar.

3.7.1 Moving to another sheet You can use the sheet navigation buttons to see all sheets in your spreadsheet, in case all sheets don’t fit in the browser window.

• Move list of sheet tabs the left This allows you to see the first sheet.

• Move the list of sheets 1 sheet to the left

• Move the list of sheets 1 sheet to the right

• Move list of sheet tabs the right This allows you to see the last sheet.

Or, you can click directly on the sheets tabs right of the navigation button.

The current active sheet tab is highlighted in white, and the other sheet tabs are shown in light grey.

3.7.2 Insert, delete or rename sheet You can insert, delete or rename a sheet by clicking with the right mouse button on a sheet tab. The index menu gives you the following options:

• Insert sheet before this Inserts a blank sheet before the clicked on sheet tab, naming it automatically “ SheetN” (where N is a number), or its translation, set by the language used in Collabora Online. It opens the sheet automatically and selects cell A1.

• Insert sheet after this Inserts a blank sheet after the clicked on sheet tab, naming it automatically “ SheetN” (where N is a number), or its translation, set by the language used in Collabora Online. It opens the sheet automatically and selects cell A1.

• Delete sheet Allows you to delete a sheet. Confirmation is asked, as shown in the screenshot below. You cannot delete a sheet if it’s the last sheet left. Note: you can undo deletion of sheets by selecting Undo.

• Rename sheet Allows you to rename a sheet. You can enter the new name in a popup. Sheet names must start with either a letter or a number; other characters including spaces are not allowed. Aside from the first character of the sheet name, allowed characters are letters, numbers, spaces, and the underline character. Attempting to rename a sheet with an invalid name leave the sheet name unchanged.

3.8 Status bar The status bar is shown in the footer, and contains several useful options and features.

3.8.1 Searching in the active sheet Search for a cell in the active sheet in the spreadsheet. Searching starts automatically when content is inserted in the search box, and the document window automatically moves to the first cell found.

Searching is not case-sensitive.

There are three buttons right next to the search box:

• Search backwards

• Search forwards

• Cancel the search (appears only when a text has been searched)

3.8.2 Number of sheets In the status bar you can see the current sheet you are at, and the total number of sheets.

3.8.3 Selected range of cells You can see in the status bar the number of rows and columns that you have selected. When there is no range of selection, this area appears empty.

3.8.4 Entering text mode By default you insert text, but if you select the “” insert key on your keyboard (or it’s equivalent on different devices), you overwrite text. The status bar helps you to show what more you are in.

This value only appears when you are typing in a cell.

3.8.5 Selection mode By default Collabora Online is in Standard selection mode, meaning that you can click on any cell to to select it, or select any range of cells, deselecting the previous selection.

If you hit “”“” F8 the selection mode changes in to Extending selection : clicking on another cell extends or crops the current selection.

If you hit “”“” Shift + F8 the selection mode changes in to Adding selection : a new selection is added to an existing selection. The result is a multiple selection, as shown in the example below.

3.8.6 Number of users Collabora Online is made for collaborative editing, so you can see in a glimpse how many users are connected to the document.

4.2.6.2 Duplicate slide Duplicate the current slide, with all content on it. If there is a comment on the slide, the comment is not duplicated.

Deleting slides can be undo, by selecting the undo button or Ctrl + Z.

There must always be one slide in a presentation, so you cannot delete the slide if it’s the only one there.

4.2.6.4 Fullscreen presentation You can start to show a presentation in full screen by selecting this option.

Collabora Online automatically converts the presentation into a modern browser compatible animation, which is opened in full screen in the browser. Some browsers show an “ Entering in full screen” -popup, which has to be clicked on to close.

While Collabora Online is converting the presentation, the first slide is not shown yet. Depending on the size of the presentation, the number of slides and objects inside, it can take from seconds up to a minute or more. Presentations with many embedded high quality images take longer to load.

Once the first slide is shown, you can click on the mouse button to move to the next slide. If there are animations with their respective animation options, it can be that a click will show the next animation, before you can click to enter the next slide.

Although you currently cannot insert or modify animations and transitions in Collabora Online, the fullscreen presentation does support the following transitions, animations and animation options.

4.4 Slide selector

4.4.1 Slide thumbnails On the left side of the Impress module of Collabora Online you find the slide selector, showing thumbnail of the slides in the presentation.

When a slide is being updated, the thumbnail in the slide selector automatically updates too.

You can use the scroll bar on the right of the slide selector to scroll down to see all slides.

Currently you cannot reorder the slides.

4.4.2 Slide selector menu At the bottom of the slide selector you can find four buttons:

4.5 Editing in the active slide

4.5.1 Background By default the background of the slide is white. This color cannot be changed.

4.5.2 Slide elements A slide can have different elements, which can all be dragged around and resized.

4.5.2.1 Title and Text block

A selected block shows a blue border, with 8 handles to resize in different directions. To move a block around, click on the blue border and drag the block to the desired location in the current slide.

When you click on the text, the blue border disappears, and the cursor changes in to the text insertion cursor. You can continue inserting text or use the mouse to select text and format it.

4.5.2.2 Images

When you insert an image it floats on top of the other content. Click and drag the image to move it around.

You can use the centered handles to resize the image, and ones on the corners to rotate. When you resize an image, you can deform it, with the exception of a rotated image – rotated images cannot be deformed and always stay in the same ratio.

4.5.2.3 Objects Although you currently cannot insert new objects, you can manage existing ones in a presentation. They can be resized, dragged around, copied and pasted, and written in to (if applicable).

5.2 Documents and models All Office suites load document formats into an internal model, these are then serialized out again to files. One of the advantages of the Open Document Format (ODF) is that it uses a simplified model, thus having migrated to this format, it is easier to perfectly represent and exchange documents. Anyhow; here is a standard flow:

This approach is used by both and Collabora Online. There are several important things to notice here when reporting issues.

Loading and saving a document, even without editing, through Microsoft Office and GovOffice mutates the document – ie. Document B is not Document A. It passes through two sets of filter code

– and this routinely alters the document structure. Microsoft Office ‘upgrades’ many features silently, and writes different document data, Collabora Office does similar things.

When providing an interoperability report it is important to provide the original ‘A’ document ie. the original document data, rather than a version that may have been loaded and saved either by Microsoft Office or Collabora Online. If we are instead provided with a document ‘B’ generated by Microsoft Office that has been cleaned up we may loose vital information that a document ‘A’ contains. In many cases a transit through a modern Microsoft Office can remove whatever quirks cause an import problem.

It is also important to note that neither import nor export filters are perfect, in some cases they preserve information which cannot be interpreted in the Internal Model, but in the case of advanced and/or uncommon features being embedded into documents, in some cases these can be lost on export. As such, Online implementations are encouraged to use versioning to preserve document originals.

5.3 Fonts Collabora Online comes with a long list of default incorporated fonts.

Collabora Online can show embedded fonts (fonts that are saved inside the document), but when a non-default font is not explicitly embedded, Collabora Online will replace it automatically with the most metrically similar font it has available. 6 Images

6.1 Image file types: You can upload most common image types, including jpg, png, gif, svg and bmp.

6.2 Copy and pasting: You can only copy & paste images within the same document, for example on another page, sheet or slide.

You can’t copy images from outside the document it to the document (you need to use the insert image option), and you can’t copy an image from Collabora Online in to other applications on your computer.

6.3 Resizing and dragging around: When you click on an image, you can see it’s selected. You can resize the image or drag it around. When you want to maintain the image ratio, use the corner handlers to resize the image.

You can drag images to different pages in a text document. You can drag it also inside table cells.

6.4 Image properties: When you right-click on an image, you can set different properties. The options that appear depend on what document you are editing:

7.1 Inserting a table To insert a table you need to use the toolbar button:

This opens a popup layer, that will help you to quickly create a table in the size that you need, with a maximum size of 10x10. If you need more rows or columns, you can insert rows or columns afterwards.

In a text document, the table will be placed at the location of the cursor. In a presentation however, it will be placed in the middle of the open slide, floating on to of the other content as an object.

7.2 Modifying a table In the current version of Collabora you can do the following:

The current font is automatically selected. To change font, use the “” Font Name selectbox. Different fonts may have different special characters, so if you can’t find the character you need, try to change the font.

By default the first Subset is selected. Some font include many subsets, like the example above, which whows the “”“” Noto Sans UI font, with an Arrow -only subset.

87 Collabora Online User Manual 9 Collaborative editing Collabora Online 2.1 includes multiple collaborative editing features, providing teams with the right tools to work together on documents, and increase productivity. Collaborative Editing is available for text documents, spreadsheets and presentations.

9.1 Share the file: To start with collaborative editing you first need to share a file with other users. How to do this depends on the software you use that has Collabora Online integrated, so please refer to their documentation.

Once the file is shared, the people with access to it can enter the same document at the same time and start with collaborative editing.

9.2 Collaborative editing: • Each user gets assigned a color. The cursor of each user will be shown in the assigned color. Note: you will see yourself always as a black cursor, although other will see you with a different color. • In the footer you can see how many users are connected. Click on the user button and you can see the names and the assigned colors. You will see yourself as “” You . ◦ Click on a name to go directly to the position of the cursor of that user. ◦ Collabora Online notifies you with a small notification in the footer when a new user enters or when a user leaves.

9.3 Comments When you insert a comment, a small window pops up, showing your name, the date, a text-only field and “”“” Save and Cancel buttons.

You can only insert plain unformatted text as a comment, with enters to create new lines.

It is possible to paste copied content from the document (unformatted) with Ctrl-V, that has been copied with Ctrl-C.

9.3.1 Writer: • You can insert, modify, remove and reply to comments, which will be shown on the right. • When you click inside the document on text with a comment, this comment is highlighted. • When you click directly on a comment on the right, it shows you what text it applies to. • When you reply to a comment, the reply is shown directly below.

9.3.2 Calc: • You can insert one comment per cell. You can modify the comment afterwards or remove it. • When a cell has a comment, a red dot is shown. • Hover over the cell with a comment to see to comment. • To modify the comment you can: ◦ Hover over the comment and select “” Modify in the comment menu. ◦ Select the cell with comment and go in the main menu to: “ Insert ” → “ Comment ” ◦ Select the cell with comment and click on the comment icon in the toolbar.

9.3.3 Impress: • You can insert, modify and remove comments on each slide. Comments are slide based. • When a slide has multiple comments, you can use the slide navigation buttons to switch between them.

90 Inactive document 10 Inactive document When Collabora Online detects that there hasn’t been any activity in the browser for a while, it puts the document in an “” Inactive state. The document is shown with a transparent grey overlay, with the message “” Inactive document – please click to resume editing .

To continue editing, click on the document and the layover and message disappear. Any changes that may have been made by other users – while collaboratively editing the document – are loaded instantly.
