Please note that all positions being hired will be working on both The 37th Annual EVVY Awards Cutler Majestic Show and Gala unless otherwise specified. All positions will be responsible to fundraise (via USEED) and you must attend weekly Table meetings as well as other required meetings depending on the position. LINE PRODUCER Works With: Executive Producers, Sales and Sponsorship Coordinator, Leads: Production Assistants The directly oversees the EVVYs budget throughout the year, keeping track of all purchase orders, quotes, and business related inquires from all departments. They are responsible for communicat-ing with every department to ensure that every single purchase is accounted for. They will also keep track of any income received for the show, and will work closely with the Sales and Sponsorship Coordinator to ensure we are receiving an accurate amount of funds. They must create the appeal packet for SGA, with the help of the EPs. During production week, the Line Producer manages the logistics of petty-cash, reimbursements, and receipts. They are additionally in charge of hiring and, along with the Unit Production Manager, delegating assignments to the Production Assistants as necessary. Knowledge in “Movie Magic Budgeting” and/or Excel is recommended, but not required.

UNIT PRODUCTION MANAGER Works With: Executive Producers, Theatrical Production Supervisor, Craft Services Coordinator, Line Producer, Production Coordinator Leads: Production Assistants The Unit Production Manager is the point person for communication during build and production weeks. The UPM creates the production schedule for the two weeks leading up to the show with details from all departments. They must communicate between all departments to ensure this schedule is accurate and there are no conflicts. During production week, the Unit Production Manager monitors time and coordi- nates any necessary schedule changes. The UPM will work closely with the Theatrical Production Super- visor to help coordinate load in, tech, and strike schedules. The UPM is also responsible for assisting with scheduling loading docks, rehearsal rooms, and other rooms on campus needed during production week such as rooms for craft services meals. They will also delegate assignments to the Production Assistants as necessary, along with the Line Producer.

PRODUCTION COORDINATOR Works with: Executive Producer, Unit Production Manager, Playbill Coordinator The Production Coordinator is responsible for communicating with OHRL to get necessary housing for students involved with The EVVY Awards. They also oversee nominee and VIP ticketing. The Production Coordinator is also responsible for being in touch with many of the vendors The EVVYs deals with including, but not limited to, trophy vendors and ShirtT vendors. During production week, the Production Coordinator is in charge of distributing paperwork, handling trophies, and assisting the Unit Production Manager with production office needs. 3 CRAFT SERVICES COORDINATOR Works With: Executive Producer, Unit Production Manager The Craft Services Coordinator is responsible for obtaining food and feeding the crew during production week. They must reach out to local businesses to receive donations for snacks and catered meals.

SUBMISSIONS AND NOMINATIONS COORDINATOR Works With: Executive Producer, Judges Coordinator, Production Coordinator The Submissions Coordinator will collaborate with the Executive Producers to create the submissions packet. This person is responsible for the logistics of submissions weeks. During the submissions process, they must be available to troubleshoot any technical problems regarding the submissions process. They must feld emails from students submitting and ensure all submissions go through properly. He or she is responsible for all submissions EXCEPT theater. This position will also work in conjunction with all other members of the submissions and judging teams. In addition to submissions, they will also handle the gathering of nominee info and pass this along to the Production Coordinator.

JUDGES COORDINATOR Works With: Executive Producer, Submissions Coordinator The Judges Coordinator is responsible for securing judges for each EVVYs category, EXCEPT theater. They must communicate with judges to clarify category rules as well as the judging process. This person will hire a team to assist with this process. This position will also work in conjunction with all other mem- bers of the submissions and judging teams.

THEATER SUBMISSIONS COORDINATOR Works With: Executive Producer, Theater Judges Coordinator The Theater Submissions Coordinator will collaborate with the Executive Producers to coordinate all theater submissions. This person is responsible for the logistics of submissions for each show. During the submissions process, he or she must be available to troubleshoot any technical or logistical problems regarding the submissions process. He or she must field emails from students submitting and ensure all submissions go through properly. This person is responsible for theatre submissions ONLY. This position will also work in conjunction with all other members of the submissions and judging teams.

THEATER JUDGES COORDINATOR Works With: Executive Producer, Theater Submissions Coordinator The Theater Judges Coordinator is responsible for securing judges for the theater categories and works closely with the Theater Submissions Coordinator. He or she must communicate with judges to clarify cate-gory rules as well as the judging process. This position will also work in conjunction with all other members of the submissions and judging teams.

4 PRESENTERS COORDINATOR Works With: Executive Producer, Playbill Coordinator The Presenters Coordinator is responsible for securing award presenters for the Majestic show. They must hire a team to contact presenters and assist them during the production. The day of the show, they must make sure presenters feel comfortable, are in the right place, and have all their questions an- swered. This team serves as the voice between the production and the presenters.

SALES AND SPONSORSHIP COORDINATOR Works With: Executive Producer, Line Producer The Sales and Sponsorship Coordinator interacts with professional organizations and businesses to gen- erate funds for The EVVY Awards. They will be working very closely with the Line Producer to ensure we are receiving the expected amount of funds. They are also responsible for selling ads for the EVVYs playbill and contacting individuals for donations and sponsorship.

SPECIAL EVENTS COORDINATOR Works With: Executive Producers, Marketing Division The Special Events Coordinator is responsible for coordinating events in collaboration with other Emer- son organizations throughout the year. The purpose of these events is to display the support of The EVVY Awards through celebrating the work of other organizations. Some events may include nominee night, screenings, mixers, publication release parties, etc.

TECHNICAL MANAGERS Works With: Director, Audio Manager, Master Electrician Leads: Engineers, Equipment Managers, Head Utility, Utilities The Technical Managers are in charge of all technical broadcast elements of the show, including engi- neering and the tech department. The Tech Managers will hire all engineers and utilities, which will assist during production week to ensure a speedy load in/out and tech set up within the Majestic and Tufte PPC Studios. They will work with the director in order to ensure that all cable runs are set correctly based on the director’s camera blocking and vision. The duties of the Technical Managers include overseeing engineering of the show, solving broadcast technical difficulties, creation and upkeep of the production’s tech book, renting gear from internal and external vendor, equipment management and budgeting for the technical needs of the show. AUDIO MANAGERS Works With: Technical Manager, Music Composer Leads: A2s, Stage Audio Coordinators, Broadcast & FOH Mix The Audio Managers are in charge of all audio engineering of the show, which includes both broadcast and theatrical audio. The Audio Managers will hire the audio department and oversee the smooth load in/ out and audio setup within the Majestic. Audio Managers are also responsible for all pre recorded elements, including the announcer bits, promos and pre recorded tracks, working closely with the Music Producer. Other duties of the Audio Managers include overseeing engineering and recording of the show, renting gear from internal and external vendors, equipment management and budgeting. STAGE MANAGER Works With: Director, Theatrical Production Supervisor, Theater Crew Leads: Assistant Stage Managers The Stage Manager is responsible for all stage and theater operations, as well as hiring assistants to carry out daily operations. Must work with the Director, Theatrical Production Supervisor, and Theater Crew to ensure proper communication during the show and production week. Books any rehearsal space necessary.

6 THEATRICAL PRODUCTION SUPERVISOR Works With: Line Producer, Master Electrician, Unit Production Manager, Leads: General Theater Crew The Theatrical Production Supervisor is hired to coordinate and communicate with all theatrical depart- ments including scenic, lighting, sound, and the advising production manager (hired in) throughout the year. They will run weekly or bi-weekly theatre team meetings. The TPS will coordinate with the Line Producer to acquire and maintain all budgets for the theatre team. Throughout the year this posi- tion helps to maintain and update documents such as the load in, tech, and strike schedules, loading dock schedules, the line set schedule, general crew availability and scheduling, and note-taking in meetings. Applying for fire/ haze permitting through Boston Fire Department will be coordinated with the Master Electrician and Technical Director. The TPS is also hired in order to ensure proper load in/out and safety during the building and setup of all lighting and scenic elements. Will be responsible for keeping all theater scheduling on time and making sure that all show operations meet proper building rules and regulations. Works with the theater and broadcast staff. The Theater Production Supervisor is the primary line of communication to the Office of the Arts personnel and will be communicating all that will be happening during build and production weeks. Meanwhile, Office of the Arts will work with the Production Supervisor throughout the year to ensure we are maintaining safe working practices and to acquire advice. In conjunction with the ME(s) and TD(s), the TPS will also help hire the General Theatre Crew. The TPS will also be in communication with the Unit Production Manager about all information that needs to be listed in the production schedule.

MASTER ELECTRICIAN Works With: Lighting Designer, Theater Production Supervisor Leads: Electrics Crew The Master Electrician is responsible for the physical execution of the lighting design for the production. Works with the Lighting Designers in preparation of, hanging, connection and focusing of stage lighting fixtures. Will need to coordinate with other teams to ensure that proper wattage/amperage regulations are met, and that power sources exist for extraneous gear, throughout the space. The ME(s) will source equipment rentals and coordinate with the TPS about delivery times and load in/ strike details. The ME(s) will acquire information for a special effects permit if the lighting designers request it and work with the TPS to acquire a permit. Vector-Works experience is preferred. In conjunction with the TPS and TD(s) the ME(s) will also help hire the General Theatre Crew. 7 PRODUCTION SUPERVISOR Works With: Script Supervisor, Broadcast Director, The Production Supervisor’s primary responsibility is to communicate with the necessary departments to ensure that all information is accurate between the script and the rundown. The Production Supervisor is responsible for working with the Script Supervisor to create a single rundown that will be followed by everyone in the control room. They will be responsible for timing the show and playback elements in the control room and will work closely associated with the director. Meticulous attention to detail and understanding of logistics is a must for this position. They must know the timing of all packages, performances, host bits, award segments, etc. and is responsible for keeping time of the show. They is also responsible for working with the Script Supervisor and Script Coordinator to ensure distribution of production binders and documents. Responsible for all other duties as assigned.

SCRIPT SUPERVISOR Works With: Production Supervisor, Writing Team Leads: Script Coordinator The Script Supervisor is responsible for creating and formatting the broadcast script for the show. They also accurately maintain the script based on any changes made by the Director, Executive Producers, the Production Supervisor or the writing team. They are also responsible for hiring a Script Coordinator and are the main point of contact with the Emerson Print and Copy Center during production week. They should also be in all rehearsals with hosts to assist the head in overseeing script changes and development and ensuring they are transferred to the Production Supervisor. The Script Supervisor must also be sure to secure accurate lengths for all segments, nominee reels and packages. Responsible for all other duties as assigned.

CHOREOGRAPHER Works with: Executive Producer, Head Writer, Director, Music Composer Leads: Dancers The Choreographer is responsible for developing all dance and movement aspects of the show. They will be in charge of choreographing dance numbers, host performances, etc, as well as hiring dancers. They must be available full time two weeks before the show and will work closely with the Music Composer and Head Writer. PERFORMANCE COORDINATOR Works with: Executive Producer, Talent Coordinator The Performance Coordinator will assist the producers in selecting performance acts for the live show that work well with the overall concept of the EVVYs. They are responsible for scouting and contacting various performances and groups around campus. Must be able to attend showings of performances throughout the year to scout potential talent and must be available full time during production week.

HEAD WRITER Works with: Executive Producer, Marketing Director, Script Supervisor, Music Composer Leads: Writing Staff The Head Writer hires a team of comedy writers and directs that group in writing category opens, award intros, and promotional content for both the Gala and Majestic shows. They work closely with the Creative Content EP to develop the concepts for the opening video and collaborate with the Music Composer to write lyrics for the opening number. The Head Writer must be able to adapt to the voices of hosts and presenters. They will ensure a cohesive tone and sense of humor for the EVVYs and are responsible for the finalization of the script and necessary rewrites. They must be available full time during the Gala weekend and Majestic production week.

9 TALENT PRODUCER Works with: Executive Producers, Performance Coordinator Leads: Talent Coordinators The Talent Producer oversees the execution of all creative segments and talent throughout the year. They hire a team of Talent Coordinators who will assist with talent communication regarding schedules of all shoots and rehearsals leading up to and during production week. The Talent Producer will work closely with both the Stage Manager and Production Manager to schedule all rehearsals during production week. Must attend weekly table meetings and be available full time during the two weeks before the show.

VIDEO PRODUCER Works with: Executive Producer, Head Writer, Marketing Director Leads: Video Crew The Video Producer is responsible for producing all pre-taped video elements for The EVVY Awards and all video marketing for the show. They will work with the Creative Content EP to visualize concepts and coordinate all crew and equipment for the shoot. Must be familiar with location permits and script/ concept development, as well as equipment sources such as the EDC, EIV, and the Emerson Channel. A basic knowledge of cameras/equipment, sets, and managing large crews is also helpful.

ROLLINS COORDINATOR Works with: Executive Producer, Video Producer Leads: Rollins Crew The Roll ins Coordinator is responsible for securing celebrity roll in packages for the EVVYs. They must research potential candidates and contact them to organize and schedule shoot details. They will work closely with the Video Producer and the Post Production Supervisor. Responsibilities may also include coordinating with students in the Los Angeles campus to ensure additional roll-ins.

POST PRODUCTION SUPERVISOR Works with: Executive Producers, Lead Graphics Designer Leads: Post Team The Post Production Supervisor is responsible for hiring, managing, and training a team of editors, en- suring the timely editing of video segments for the final show as well as promos and marketing segments throughout the year. In addition to segments, Post is also responsible for any live edit needed during the broadcast of the show. The Post Supervisor will work closely with the Lead Graphics Designer to communicate where and when graphics are needed within post production. The Post Supervisor should have proficient knowledge of Avid Media Composer and Final Cut Pro, as they will be responsible for teaching new team members how to use these programs. Some experience with After Effects is helpful but not required. Must attend weekly table meetings and be available full time during production week. Responsible for all other duties as assigned. Reel material is requested with application. 10 MUSIC COMPOSER Works with: Executive Producers, Head Writers, Choreographers Leads: Musicians The Music Composer will oversee and compose all musical elements of the production, including col- laborating with the writing team to write and score the show’s opening number. They will work closely with the Scenic and Graphic Design teams to create an audio component that is cohesive with the look and feel of the rest of the production. They will be responsible for composing, recording, and delivering any musical elements in the show. This includes original music for walk ups, transitions, and pre taped packages (when necessary), as well as backing tracks for any musical performances throughout the show. They will also act as a vocal coach and work with talent to perform with their music. Responsible for all other duties as assigned. Experience with composition and recording is required. Must attend weekly table meetings, potential design team meetings, and be available during production week. MARKETING DIRECTOR Works with: Executive Producers, Head Writer, Lead Graphics Designer Leads: Marketing Team, Video Producer, Photographer, Web Master The Marketing Director will work with the four Executive Producers and Head Writer to ensure that the show is marketed successfully throughout the year and follows a consistent feel and look. They will be in charge of hiring a team to assist them in their marketing efforts, and will be in charge of filming and executing scripts provided by the writing team and creating new, innovative ways to market the show. They will assist the EPs in the beginning stages of assembling the Brand Book that the entire staff will follow for the remainder of the year. They are expected to keep up with all marketing efforts on a weekly basis, and will be in charge of assisting and supervising marketing initiatives from the planning stages to completion. The Marketing Director is responsible for training the team members, and holding team meetings to check in with the progress. This person will work closely with the Video Producer to ensure that all marketing goals are being met. They will also work closely with the Lead Graphics Designer to ensure that the show’s visual aesthetic is carried out in all marketing materials. The Marketing Director must be able to attend weekly table meetings and complete marketing requests from all departments. They may be asked to attend EP meetings when needed for updates.

WEBMASTER Works With: Executive Producers, Marketing Director The Webmaster is responsible for the overall design for the EVVYs website. They are responsible for col- lecting and updating content for the website. They are responsible for the technical aspects of the website, working closely with other departments to ensure that the website functions as necessary. The Webmaster will work closely with the Marketing Director to ensure all information is up to date and readily available online.

LEAD GRAPHICS DESIGNER Works With: Executive Producers, Post Production Supervisors, Marketing Director Leads: Graphics Team The Lead Graphics Designer is responsible for making the aesthetic concept of The EVVY Awards come to life through still and motion graphics. The designer oversees a team that will create graphics for the show’s marketing and productions. This includes, but is not limited to, graphics displayed on/in promotional material as well as video segments, nomination reels, and transitions during the airing of the show. The designer should have proficient knowledge of Photoshop as well as at least one of the following: After Effects, Motion, Maya, and Flash. The graphics designer will be responsible for hiring and training (if needed) any new graphics members they need on their team for the show. The designer will work closely with the Post Production Supervisor in designing and building graphic elements for all pre- taped segments. The designer will also collaborate with the aesthetic team to create a cohesive look for the show. They will also work closely with the Marketing Director to ensure that the show’s visual aesthetic is carried out in all marketing materials. Responsible for all other duties as assigned. Must attend weekly table meetings, design team meetings, meetings with the director about the graphics during the show, and be available full time during production week. SCENIC DESIGNER Works With: Executive Producer, Lighting Designer, Theater Technical Director, Theatrical Production Supervisor Leads: Assistant Designers The Scenic Designer is responsible for turning the aesthetic vision for the show into the set. The Scenic Designer will work closely with the Lighting Designer and the aesthetic team to to create a cohesive look and design for the show. The designer will be directly in charge of drafting designs for the show during the Fall semester. Once a design is chosen and finalized, the designer will oversee the creation of the set, working closely with the Theatrical Supervisor and Technical Director(s). Both Hand Drafting and CAD experience is preferred. The Scenic Designer will be in charge of hiring assistants and a team to help create their . Responsible for all other duties as assigned. Must attend weekly table meetings, design team meetings, and be available full time during production week. 13 LIGHTING DESIGNER Works With: Executive Producer, Scenic Designer, Master Electricians, Theatrical Production Supervisor Leads: Assistant Designers The Lighting Designer is in charge of creating and executing the lighting looks of the show in line with the aesthetic vision. The Lighting Designer will work closely with the Scenic Designer, Head Graphics Designer, Director, and aesthetic team to create a cohesive look and feel for the show. The designer will be directly in charge of all lighting aspects of the set in its development throughout the year, along with overseeing lighting operations during production week and the show as well as hiring assistants and a lighting team to execute the tasks of the show. This includes the acquisition, build and programming of equipment; coordinating with both theatrical supervision and production management. Responsible for all other duties as assigned. Experience with both theatrical and television lighting is preferred. Vector Works experience is preferred. Must attend weekly table meetings, design team meetings, and be available full time during production week. THEATER TECHNICAL DIRECTOR Works With: Executive Producers, Stage Manager, Scenic Designer, Theatrical Production Supervisor Leads: Assistant Technical Director, Theatre General Crew The Theater Technical Director is responsible for the physical execution of the scenic design for the production. The execution includes helping to budget the set, overseeing scheduling of the Paramount Scene Shop, supervising builds, and helping the Master Electricians and Theater Production Supervisor hire a General Theater Crew to help execute the build during production week. They will also coordinate with the Theater Production Supervisor, Master Electrician, and Audio Managers to create load in, tech, and strike schedule. The Technical Director(s) will also assist the Theater Production Supervisor with acquiring fabric samples for fire permitting. Auto Cad or Vector Works knowledge is preferred. Must attend weekly table meetings, design team meetings, and be available full time during production week. 14 KEY HAIR/MAKEUP ARTIST Works With: Executive Producer, Talent Producer, Leads: Hair/Makeup Team The Hair/Makeup Artist is responsible for the hair and makeup aesthetics of all talent appearing in any and all EVVY related productions (i.e. events, shoots, and shows). The artist will be responsible for hiring and overseeing a Hair/Makeup team in order to carry out talent preparation precisely and efficiently. They will collaborate with the Costume Designer to ensure that they are both carrying out the same artistic vision. They will also correspond with the Talent Producer in order to coordinate where and when talent will receive styling. The artist will also collaborate with the whole aesthetic team to make sure the vision is in line with the rest of the show. Must attend weekly table meetings, design team meetings, and be available full time during production week. COSTUME DESIGNER Works With: Executive Producer, Director, Stage Manager, Head Writer, Production Manager, Theatrical Production Supervisor Leads: Wardrobe Team The Costume Designer is responsible for overseeing and designing all wardrobe related activities throughout the year (i.e. events, shoots, and shows). They will hire and oversee a Wardrobe team to aid in styling and creation of the costumes. The designer will collaborate with the rest of the aesthetic team and incorporate the aesthetic vision into the show. The Costume Designer will work closely with the Stage Manager, Head Writer, Production Manager, Theatrical Production Supervisor, and Director in order to coordinate and assign dressers to specific performers and tasks during production. They will act as the primary liaison between wardrobe team and stage management. Must attend weekly table meetings, design team meetings, and be available full time during production week.
